To spot a potentially fake paystub, check whether its identity details, pay calculations and year-to-date totals make sense, then compare it with independent records. A spelling error, unusual layout or round number is a reason to investigate—not proof of fraud. The reliable next step is authorized confirmation from an employer, payroll provider or relevant records.
1. Check the identity and source details
Start with the basics: the worker’s and employer’s names, addresses, pay dates, pay period and employer information. Compare them with other documents you are authorized to review. Ask whether the employer is clearly identified and whether the stub is complete and legible.
Misspelled names, inaccurate names or addresses, and details that conflict with other documents are screening red flags identified in a 2010 FFIEC guide. Fannie Mae’s mortgage documentation guidance likewise calls for the employer and information source to be clearly identified and documents to be complete and legible. These are prompts for follow-up, not a finding of fraud.

2. Reconcile the pay math
Check whether gross pay minus deductions equals the stated net or take-home pay, allowing for the paystub’s presentation and any adjustments. Then compare year-to-date (YTD) totals with earlier stubs: the current period’s earnings and deductions should generally fit the cumulative figures shown, taking account of corrections or changes in pay.
- Compare gross pay, deductions and net pay within the same stub.
- Check whether YTD earnings and deductions are consistent with prior periods.
- Look for figures that appear squeezed into the document, totals that do not add up, or deductions that do not fit the stated pay.
The FFIEC lists round YTD earnings, squeezed-in numbers, inconsistent deductions and totals that do not add up as warning signs. But a neat number or unusual layout alone does not establish that a stub is false. Pay structure, irregular work and payroll corrections can affect what looks typical.

3. Compare the stub with other records
A paystub is strongest when its figures and employer details agree with records that have a separate source. Depending on the purpose and what you are authorized to review, compare it with other stubs, W-2s or tax records, bank statements showing payroll deposits, or confirmation from the employer or payroll provider.
These records differ in independence, time coverage and detail. An employer or payroll confirmation may come from a source other than the person who supplied the stub; a bank record can corroborate a deposit but may not show gross pay or deductions; annual tax records cover a longer period but may not establish current earnings. Choose records that fit the question—employment, benefits, rental screening or lending—rather than assuming one document type is universally best.
The FFIEC recommends cross-checking employment with credit reports, bank statements showing direct deposits and tax returns. For certain dwelling-secured transactions, CFPB Regulation Z identifies payroll statements, financial institution records, W-2s, tax returns, and employer or third-party records as examples of evidence creditors may use to verify income or assets. The rules depend on the transaction; this is not a universal standard for landlords or all lenders.

4. Escalate discrepancies through an appropriate source
If something does not match, pause the decision and identify the exact field or calculation at issue. Ask for clarification, then seek permission to verify through the employer, payroll provider or other suitable independent records. Follow the authorization, privacy and screening rules that apply to your role and location.

Examples include altered or missing fields, inconsistencies within a stub or across stubs, inaccurate information and illegibility. A discrepancy may also have an innocent explanation, such as a payroll-provider change, irregular work, a correction or poor document quality. Clarify it before drawing a conclusion.

For mortgage reviews, use the requirements applicable to the specific loan. Fannie Mae describes employer, payroll and third-party verification routes in its own documentation guidance; CFPB Regulation Z addresses records creditors may use in covered transactions. Neither source establishes a universal rule for every lender or landlord.

HMRC also provides a route for workers to report suspected payslip fraud. This UK guidance is distinct from the US mortgage and wage-verification examples above.

Use proportionate, authorized verification
Do not treat visual inspection or a generic document-checking tool as a substitute for confirming information at its source. If a consumer report is used for an eligibility decision, the Fair Credit Reporting Act (FCRA) requirements may apply; consumer reports must not be repurposed outside permitted uses. The proper process depends on the decision, jurisdiction and your role.
