The best time tracking software depends on what you need the hours to do after they are recorded. A freelancer may care about billable-time reports and project profitability, while an employer may need payroll approvals, GPS, or attendance records. These are different jobs, and choosing a tool built for the wrong one can create unnecessary subscription costs and unreliable records.
For most freelancers, consultants, agencies, and other professional-service businesses, Toggl Track is the strongest all-around choice. Clockify is the best low-cost starting point for a small team. QuickBooks Time makes the most sense when hours must connect to QuickBooks payroll or accounting. The recommendations below use current advertised pricing and account for important plan limits.

1. Toggl Track: best overall for billable work
Toggl Track is the best default for freelancers, consultants, agencies, and other service businesses that need dependable project time records without making surveillance the center of the product.
#1 Best Overall
- 💡 Visual Countdown Display – Watch time pass at a glance as the energy bar gradually decreases, flashing red when time is up.
- ⏱ Customizable Presets – Unlike fixed-time timers, each preset can be customized to your preferred countdown and automatically saved for future use. Includes a count-up mode for greater flexibility.
- 🔔 4 Alert Modes – Choose from Loud, Soft, Silent, or Vibration alerts to match any environment, from classrooms and offices to libraries and study spaces.
- ⏳ Built for Focus – Dedicated 5- and 25-minute presets support focused work, study sessions, and regular breaks—ideal for structured focus-and-break routines.

Its paid plans support billable rates, project estimates and alerts, team reporting, revenue analysis, project tasks, and collaboration. The Premium plan adds profitability analysis, fixed-fee projects, scheduled reports, timesheet approvals, customizable reports, Jira and Salesforce integrations, and single sign-on.
The free plan is useful for individuals who mainly need a timer and basic time records. Starter is listed at $9 per license per month. Premium is advertised at $14 per license per month for the first year of annual billing, then renews at $18 per license per month.
How to start a timer
- Open the Timer page.
- Click the pink clock icon in the upper-right corner to enter Timer mode.
- Click the pink play icon or press
N. - Enter a description, project, and tag.
- Stop the timer with the red stop icon or press
S.
What to watch before subscribing
- Toggl bills paid plans by licenses, not simply by people who actively track time. Removing a member may leave a vacant paid license until an administrator removes it from the subscription.
- The Premium price of $14 is a first-year annual-billing price, not the permanent renewal price.
- The desktop app can track while offline and synchronize later, but idle detection cannot determine whether inactivity was legitimate work. It asks you whether to discard, keep, or add the idle time.
- Detailed time-entry exports come from Detailed Report. Workspace-wide exports are under Settings → Data Export, and the generated download link is valid for 72 hours.
Choose Toggl Track if: you need clean client and project reports, billable rates, estimates, or profitability analysis. Look elsewhere if: payroll, job-site attendance, GPS, or screenshots are the primary requirement.
2. Clockify: best free team tracker
Clockify is the most practical starting point when the main goal is recording hours at the lowest possible cost. Its free plan supports unlimited tracked time and up to four invited people, making it useful for a very small business or a founder testing time tracking before committing to a paid system.

We have preset 5, 25 minutes for you, you don’t have to set it every time by yourself. Other similar cube timers in the market are not real 5/25 timers as they don’t have preset 5, 25 minutes.
- Rotating Productivity Timer with Gra vity Sensor. We have preset 5, 25, 10, 50 minutes for gra vity sensing mode. You only need to flip the timer to the preset number with facing upwards, and then it will automatically start to countdown. Flip the timer screen facing upwards to stop the timing; Flip the timer screen facing downwards to reset it to zero.
- Support Custom Modes. You can also adjust this digital timer to other values that you want as it supports 00-99 minutes and 59 seconds timing. You can also adjust it to countdown mode or stopwatch mode.
- 3 Volume Levels: Silent/High Volume/Low Volume. In silent mode, the vibration is noticeable at your desk without disturbing others nearby. High volume: 90-100dB; Low volume: 70-80dB.
- Great for Work, School, Office, Kitchen. This cube timer with stylish and aesthetic design is a great present for students, friends, or coworkers, and families, people with ADHD, using it for work/ office, back to school & off to college/ classroom/study, workout, kitchen, etc.
How to track time
- Open the workspace and select Time Tracker from the sidebar.
- Click the clock icon in the upper-right corner to enter Timer mode.
- Enter what you are working on, the project or task, billability, and tags if needed.
- Click START.
- Click STOP when finished.
Clockify limits that matter
- The free plan is not unlimited for users: it currently allows up to four invited people.
- Free-plan projects can only be public. Private project visibility requires a paid plan.
- Active and invited users count as paid seats. Deactivated users do not occupy seats.
- Only one active timer is allowed within a single workspace. Separate workspaces are needed for simultaneous tracking.
- If someone forgets to start the timer, the correction is to edit the entry or add the missing time through Timesheet.
- Under Workspace settings → Permissions, Force Timer disables split and duplicate time entries.
Choose Clockify if: you want a low-cost way to record project hours and can work within its free-user and visibility limits. It is less compelling if you need payroll integration, sophisticated invoicing, or detailed workforce controls.
3. QuickBooks Time: best for payroll-connected timekeeping
QuickBooks Time is designed for businesses whose recorded hours need to reach QuickBooks accounting or payroll. It is not a standalone budget time tracker: a QuickBooks Online account is required.
Free tools Windows power users keep installed
One-click scans. No signup required.
The Time Premium plan is listed at $20 per month plus $8 per user per month, with promotional pricing sometimes shown separately. The base fee includes one administrator. This structure can be worthwhile if it replaces manual payroll entry, but it is expensive if all you need is a simple timer.
Clock in through QuickBooks Online
- Sign in to QuickBooks Online.
- Go to All apps → Time → Time entries.
- Select Clock in.
- Choose a job or customer, then select Clock In.
- Use Switch jobs when changing work.
- Use Take break and select the break type for a break.
- Select Clock out when the shift ends.
In the separate QuickBooks Time interface, the path is Time Clock → choose a job or customer → Clock In. Select a new job and Switch to change tasks, then select Clock Out at the end of the shift.
Approval and mobile-app issues
- After a worker submits a timesheet through Submit Time → Submit Week, the worker cannot edit it unless an administrator rejects it.
- Approving a timesheet locks it against further changes.
- Mobile time entry, GPS, geofencing, mileage, notifications, and related permissions must be configured by an administrator.
- The current mobile app is called QuickBooks Workforce. Older comparisons may still call it TSheets or the QuickBooks Time app.
- QuickBooks Online currently places time functions under All apps → Time → Overview or All apps → Time → Time entries, while the separate classic site still contains advanced settings and reporting.
Choose QuickBooks Time if: approved hours must feed payroll or accounting with minimal re-entry. Do not choose it solely for price: include both the QuickBooks Online subscription and the Time base fee in your comparison.
4. Jibble: best free attendance and field-work option
Jibble is aimed at attendance and workforce timekeeping rather than agency-style project profitability. Its free plan advertises unlimited users, mobile and web clock-in, GPS, facial recognition, basic timesheets, time-off management, payroll-ready reports, and integrations with Slack, Microsoft Teams, and QuickBooks.

- 3 Volume Levels: Mute/Vibration/Alarm. In vibration mode, the vibration is noticeable at your desk without disturbing others nearby. Alarm volume: 70-80dB. In mute mode, the screen will flash to remind you which is suitable for using in the library.
- Great for Work, School, Office, Kitchen. This hexagon timer with stylish and aesthetic design is a great gift for students, friends, or coworkers, and families, people with ADHD, using it for work/ office, back to school & off to college/ classroom/study, workout, kitchen, etc.
Its main areas include Dashboard, Attendance, Timesheets, Locations, Time Off, Kiosk, and Reports. Offline clock-in is supported, with entries synchronized when the device reconnects.
Jibble is the better fit when the question is, “When and where was each employee working?” Toggl Track, Clockify, or Harvest are generally better when the question is, “How profitable was each client, project, or task?”
GPS, geofencing, face recognition, selfie verification, and kiosk workflows have privacy, biometric-data, and employment-law implications. Before enabling them, explain what is collected, when it is collected, who can access it, and how long it is retained.
5. Harvest: best for time tracking plus invoicing
Harvest combines time tracking, expenses, project budgets, reports, and invoicing. That makes it a sensible choice for an agency or consultant that wants to turn approved project hours into client invoices without moving data between several systems.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsThe free plan is limited to one seat and two active projects. Teams starts at $9 per seat per month annually or $11 monthly. Enterprise starts at $14 per seat monthly annually or $17.50 monthly. Harvest also states that additional invoices, projects, clients, and tasks can create usage-based charges, so the seat price is not always the complete cost.
Teams includes time tracking, team reporting, invoicing, and integrations with Stripe, QuickBooks Online, Xero, and Deel.

- Flip to Switch work modes: Effortlessly cycle through all modes with a natural flip. Instantly access Countdown, Stopwatch, Pomodoro, and Quick Presets (1, 5, 10-min) without any complex menus. This fluid gesture keeps your workflow uninterrupted and boost your productivity

Ultimate flexibility for libraries, offices, or noisy kitchens.
- Magnetic function: The magnetic base has a strong magnetic force and can be firmly attached to refrigerators or any steel surface to serve as a kitchen timer. When you are giving reports and presentations at work, you can use it to time. When the time is up, the product will not fall to the ground due to vibration. The magnetic force is very strong.
- Portable and rechargeable: It is rechargeable, featuring a durable built-in lithium battery and a USB-C charging interface, which saves the cost of disposable batteries and is more environmentally friendly.
Using the current navigation
Harvest’s newer navigation makes Timesheet the home for time tracking. It includes Day, Week, and Calendar views, along with timesheet and expense submission for approval. The older navigation is no longer maintained.
There is also a checkout trap: after a free trial, the checkout page may preselect Enterprise with annual billing. Change both the plan and billing interval if that is not what you intend to purchase. Legacy accounts created under older plans may have different prices and features, and downgrading from Enterprise can remove activity logs, profitability reports, required notes, saved or shared reports, and SAML SSO.
6. Hubstaff: best when employee monitoring is intentional
Hubstaff combines time tracking with activity levels, screenshots, app and URL tracking, idle-time controls, scheduling, attendance, payments, payroll, and workforce analytics. That makes it a materially different product from a basic project timer.
Annual pricing starts at $4.99 per seat per month for Starter, $7.50 for Grow, $10 for Team, and $25 for Enterprise. Hubstaff lists a two-seat minimum. Starter includes limited screenshots and app or URL tracking. Grow adds reports, idle timeout, project budgets, expenses, and one integration. Team adds unlimited screenshots and app or URL tracking, scheduling, attendance, payments and payroll, and unlimited integrations. Enterprise adds options such as SSO, SCIM, HIPAA compliance, SOC 2 Type II compliance, silent background tracking, and locations.
Monitoring features should not be enabled casually. Workers should be told what is recorded, when screenshots or activity data are collected, who reviews it, and the retention period. A screenshot-based system can create employee-relations, privacy, and legal problems even when the software is technically functioning correctly.
Choose Hubstaff only when monitoring is a documented business requirement. If you simply need accurate billable hours, Toggl Track or Clockify is usually less intrusive.

7. TimeCamp: best for automatic activity tracking
TimeCamp is worth considering when manually starting and stopping timers is the main source of inaccurate records. It offers automatic app and website tracking alongside regular time tracking.
There is a free plan, with paid plans starting at $3.99 per user per month annually or $5.49 monthly. Premium automatic tracking starts at $6.99 per user per month annually. It is a better fit for people who want activity data collected automatically than for businesses seeking a full payroll, attendance, or field-work system.
How to choose the right time tracker
- Define the financial outcome. Do you need to invoice clients, calculate project profitability, run payroll, prove attendance, or understand where work time goes?
- Count billable and administrative users. Check whether the vendor charges for invited users, licenses, or a minimum number of seats.
- Test correction and approval workflows. Ask what happens when someone forgets to clock in, submits a timesheet early, or needs to correct an approved entry.
- Check integrations before signing up. A tracker that connects to QuickBooks, Xero, Stripe, or your project-management system may save more money than a cheaper standalone timer.
- Review privacy controls. GPS, facial recognition, screenshots, app tracking, and URL monitoring require a clear internal policy.
- Export a sample report. Confirm that the report includes dates, project or customer, duration, billable status, rates, and the format your accountant or payroll provider needs.
- Calculate renewal pricing. Introductory annual prices may rise at renewal, and usage charges or vacant licenses may continue after your team changes.
What comparison lists often get wrong
- “Clockify is free for unlimited users.” The free plan currently supports unlimited tracked time but up to four invited people.
- “Toggl Premium costs $14 indefinitely.” The advertised $14 rate applies to the first year of annual billing; renewal is listed at $18.
- “Harvest has only a flat per-seat price.” Additional invoices, projects, clients, and tasks can create usage-based charges.
- “QuickBooks Time is standalone.” A QuickBooks Online account is required.
- “All time trackers do the same job.” Toggl Track, Clockify, and Harvest focus on projects and billable time; QuickBooks Time and Jibble focus more on payroll and attendance; Hubstaff focuses on monitoring; TimeCamp emphasizes automatic activity tracking.
FAQ
What is the best time tracking software for freelancers?
Toggl Track is the strongest overall choice for freelancers who track billable client work, project estimates, rates, and profitability. Harvest is a better alternative if built-in invoicing is more important than advanced project analysis.
What is the best free time tracking software for a small team?
Clockify is the best general free starting point, but its free plan currently allows up to four invited people. Jibble is better if the team needs free attendance, GPS, kiosk, or field-work features.
Is QuickBooks Time worth the cost?
It can be worth the cost when approved hours must flow into QuickBooks payroll or accounting. It is usually poor value for someone who only needs a simple timer because it requires QuickBooks Online and adds a monthly base fee plus per-user charges.
Should employers use screenshots or GPS time tracking?
Only when there is a documented business reason and a clear policy covering collection, access, retention, and employee notice. GPS, facial recognition, screenshots, app tracking, and URL monitoring can create privacy and employment-law concerns.
The Bottom Line
For most billable professional work, start with Toggl Track. It balances ease of use, project reporting, billable rates, estimates, and profitability tools. Choose Clockify when minimizing subscription cost is the priority, QuickBooks Time when payroll and accounting integration are central, Jibble for attendance and field work, Harvest for invoicing, Hubstaff for documented employee monitoring, and TimeCamp for automatic activity tracking.
Before buying, price the actual number of licenses, include renewal rates and usage charges, and run a test export. The cheapest timer is not necessarily the cheapest system if it leaves you manually rebuilding invoices, payroll, or project-profit reports.
