Zoho Invoice is the strongest general-purpose choice if you want more than a quick PDF. The US free plan currently allows up to two users, three projects, and 500 invoices per year. It is designed for ongoing invoicing rather than a single document, making it useful for freelancers who need client records and repeat billing.

Customization is available through a free Zoho Invoice account, where you can use customizable account templates. Do not confuse that with Zoho’s separate browser-based free invoice generator: its blank invoice can be filled out and downloaded, but its template itself cannot be customized.

Wave’s Starter plan costs $0 and includes unlimited estimates, invoices, bills, and bookkeeping records. It is a sensible choice for a freelancer who wants invoicing and basic financial records in one place.
To create an invoice, go to Sales & Payments > Invoices > Create an invoice. Wave lets you edit the business address, contact details, title, summary, logo, notes, terms, footer, currency, discounts, and invoice details. You can also select taxes from the line-item Tax dropdown.

Also, Wave does not automatically save an unfinished invoice. Select Save and continue, then Approve draft when it is ready. If you leave the page first, your draft may be lost.

3. Square Invoices: best if you already use Square
Square Invoices has no monthly subscription fee on the Free plan. It is especially convenient if you already use Square for point-of-sale transactions or payment links, because payments and invoice records remain in the same ecosystem.

Free users can add a logo and brand colors. However, Square’s more useful design features are not all free. Custom layouts, reusable custom templates, and custom fields require Square Invoices Plus or an applicable Plus or Premium plan.
Depending on the Dashboard version, find templates under Orders & payments > Invoices, Invoices & Payments > Invoices, or Payments > Invoices. Then choose + New Template. For an existing template, use Customization > Layouts to preview the original, modern, or classic layout.
One accounting detail matters: Square recognizes the sale when the invoice is fully paid, not when you send it. Deposits also do not adjust inventory.
4. PayPal Invoicing: best for PayPal and Venmo payments
PayPal does not charge to create or send an invoice, and customers can often pay through PayPal, Venmo, guest checkout, cards, Apple Pay, or ACH. That makes it practical when your clients already expect to use PayPal.
You can add a company name, logo, brand colors, taxes, discounts, shipping, notes, contact details, and purchase-order information. The invoice can therefore look considerably more tailored than a basic payment request.
The invoice is free to create, but payment is not necessarily free. Current US domestic invoicing transactions are listed at 3.49% + $0.49 through PayPal, Venmo, or guest checkout. Cards and Apple Pay are listed at 2.99% plus the applicable fixed fee, while ACH is 1%, capped at $10. Confirm the rate shown in your account before choosing a payment method.
5. Invoice Ninja: best for features with a small client list
Invoice Ninja’s free plan supports up to five clients and unlimited invoices. It offers more functionality than a simple PDF maker, so it can suit a contractor with a small, recurring client roster.

Free accounts include four templates and logo branding. The limitation is often misstated: full invoice-design customization and removal of Invoice Ninja branding are paid features. If your priority is an entirely white-label invoice, the free tier may not meet it.
6. Hiveage: best for unlimited invoices to a few clients
Hiveage’s $0 plan includes five clients, unlimited invoices, unlimited estimates, time tracking, expense tracking, and payment gateways. The five-client ceiling is the deciding factor. It works well for a consultant or solo service provider with a stable client list, but not for an agency adding new customers every week.
To customize a template, go to Settings > Account Customizations > Templates. The Default template is not customizable. The Elegant template allows preset or custom colors. Create an invoice from the left-side Invoices icon and select New Invoice. After saving, open the invoice’s More menu and choose Send Invoice.
7. Invoicely: best for occasional PayPal invoicing
Invoicely’s free plan is suitable for very light use: five monthly invoices, three saved clients, PayPal payments, 100 emails per month, and branded PDFs.
It is not a good fit for a growing service business. Full business branding, recurring invoices, card payments, and higher invoice and client limits are paid features. The free PDF remains branded, so check the document before sending it to a client who expects a completely white-label invoice.

You can add invoice details, a logo, a customized customer message, a theme color, and fonts. QuickBooks also provides Word, Excel, Google Docs, Google Sheets, and PDF templates. This makes it flexible for someone who wants to edit the file offline, but it should not be mistaken for free access to QuickBooks’ full invoicing and accounting platform.

How to choose the right free invoice generator
- Decide whether you need records or only a PDF. Choose Zoho Invoice, Wave, Square, PayPal, Invoice Ninja, or Hiveage if you need ongoing invoice records. Choose Adobe Express, Canva, Invoice Home, or the QuickBooks generator for occasional documents.
- Count your clients and invoices. Five clients is the ceiling on Invoice Ninja and Hiveage’s free plans. Invoicely allows only three saved clients and five invoices per month. Bookipi’s three-document rolling limit is shared across document types.
- Check the branding rules. A logo does not necessarily mean a fully branded invoice. Invoice Ninja and Bookipi retain restrictions or watermarks on free plans, while Invoicely explicitly provides branded-only PDFs.
