How to compare free plans fairly

“Free” can mean a permanent but restricted plan, a plan for only one or two users, a free database with paid modules, or a temporary trial. Treat those as different offers. Pipedrive’s 14-day access is a trial, not a permanent free edition.

Before importing customer data, check the vendor’s plan page for each of these items. Where the comparison table says a limit is not stated, do not assume the feature is unlimited.

  • Number of users and whether every employee who needs access counts as a paid seat.
  • Contact or record limits, and whether marketing contacts are counted separately.
  • Whether automations, email synchronization, reporting, and integrations are included.
  • Whether calling, AI, storage, or email volume consumes credits or triggers extra charges.
  • Whether the offer is permanent or expires, and whether a payment card is required to start.

Also check whether the displayed monthly equivalent requires annual billing, whether there is a seat minimum, and whether taxes apply. A vendor may charge by users and also by contacts, emails, calls, storage, or AI usage. Higher tiers can bundle functions that otherwise require add-ons, so compare the configuration you will actually use rather than the cheapest headline plan.

For a solo operator, Bigin’s free offer is explicitly one user and 500 records, while HubSpot’s free plan covers up to two users. For a five-person team, neither of those user limits means five free seats: compare the paid-seat cost for all required users, plus the functions the team needs. Pipedrive’s displayed annual-billing equivalent alone would be $70 per month for five Lite seats or $195 for five Growth seats, before applicable taxes or add-ons; these are arithmetic totals based on its listed per-seat rates, not a month-to-month quote. Other vendors’ prices should be checked directly rather than inferred from unverified comparisons.

Free CRM or paid CRM?

A free plan is often enough when one or two people need shared records, a single pipeline, manual follow-up, and basic visibility. Paying becomes more compelling when the business needs additional users, reliable automation, advanced reporting, permissions, sequences, support, or integrations that are unavailable on the free edition.

Do not upgrade simply because a feature exists. First identify a repeated bottleneck—missed follow-ups, manual data entry, poor handoff, or lack of visibility—and check whether the paid feature solves it. Conversely, a free plan that excludes a necessary integration or forces staff into workarounds can cost more in time than a modest subscription.

Set up the CRM before importing everything

  1. Define the workflow. Choose one initial pipeline and write down what must be true for a deal to enter or leave each stage.
  2. Clean the source spreadsheet. Remove duplicates, standardize names and dates, and decide which fields are genuinely needed.
  3. Check the migration details. Test CSV field mapping, duplicate handling, custom fields, pipeline-stage mapping, and whether historical email, activities, and attachments can move.

A CRM does not make a business compliant by itself; obligations depend on configuration, geography, industry, contracts, and data handled.
  6. Start with the essentials. Keep fields and automation lean. Assign a next action to every open deal and name one internal owner for the system.
  7. Train the team and review use. Establish a weekly pipeline review and check after 30 days whether users are entering timely, useful data before adding complexity.

Adoption is often a bigger risk than missing features. A simpler CRM with consistent records is more useful than a complex one employees avoid.
