A professional email address is only as useful as the service behind it. The right provider should deliver messages reliably, support your own domain, make account recovery manageable, and avoid turning a low monthly price into an expensive migration later.
For most small businesses, Google Workspace is the best all-around choice. Microsoft 365 Business Basic is stronger for companies already using Outlook and Office. Zoho Mail offers the lowest-cost serious setup, while Fastmail and Proton Mail are better fits when privacy and a clean inbox matter more than collaboration tools.
Best email hosting services compared
| Provider | Best for | What you get | Main drawback |
|---|---|---|---|
| Google Workspace | Most small businesses | Custom email, Gmail, Drive, Calendar, Meet and strong spam filtering | Per-user pricing can become costly as a team grows |
| Microsoft 365 Business Basic | Outlook and Microsoft users | Custom email, Outlook on the web, OneDrive, Teams and Office web apps | Administration is more complicated than some alternatives |
| Zoho Mail | Low-cost custom email | Domain email, aliases, calendars and business administration at a low price | Apps and support are less familiar to many users |
| Fastmail | Simple, private email | Custom domains, aliases, calendars and excellent mail search | No full office suite or built-in document collaboration |
| Proton Mail | Privacy-conscious users | Encrypted mailbox, custom-domain support on paid plans and privacy-focused tools | Some convenience and interoperability features differ from mainstream suites |
| Purelymail | Technical users on a strict budget | Low-cost custom-domain hosting with aliases and forwarding options | Smaller service with a less polished interface and fewer business tools |
Prices change by country, billing term, tax and promotional offer. When comparing plans, use the annual total, not just the advertised monthly figure. Also check whether the price is per user, per mailbox, or per domain.
1. Google Workspace: best overall
Google Workspace remains the easiest recommendation for a typical small business that wants email to work without much maintenance. It combines a familiar Gmail interface with custom-domain email, shared calendars, Google Drive, Meet and centralized administration.
#1 Best Overall
- DUAL-BAND WIFI 6 ROUTER: Wi-Fi 6(802.11ax) technology achieves faster speeds, greater capacity and reduced network congestion compared to the previous gen. All WiFi routers require a separate modem. Dual-Band WiFi routers do not support the 6 GHz band.
- AX1800: Enjoy smoother and more stable streaming, gaming, downloading with 1.8 Gbps total bandwidth (up to 1200 Mbps on 5 GHz and up to 574 Mbps on 2.4 GHz). Performance varies by conditions, distance to devices, and obstacles such as walls.
- CONNECT MORE DEVICES: Wi-Fi 6 technology communicates more data to more devices simultaneously using revolutionary OFDMA technology
- EXTENSIVE COVERAGE: Achieve the strong, reliable WiFi coverage with Archer AX1800 as it focuses signal strength to your devices far away using Beamforming technology, 4 high-gain antennas and an advanced front-end module (FEM) chipset
- OUR CYBERSECURITY COMMITMENT: TP-Link is a signatory of the U.S. Cybersecurity and Infrastructure Security Agency’s (CISA) Secure-by-Design pledge. This device is designed, built, and maintained, with advanced security as a core requirement.
Its biggest advantage is the complete package. A new business can set up email, shared files and video calls without stitching together several unrelated services. Gmail’s search, filtering and spam protection are also unusually dependable for everyday use.
Why choose it
- Excellent inbox search and spam filtering.
- Simple user experience for people already familiar with Gmail.
- Useful collaboration tools for teams.
- Good support for aliases, groups and shared calendars.
- Strong account-security controls, including two-step verification and security keys.
Where it falls short
Workspace charges by user. Five employees generally means five paid accounts, even if only two people send most of the email. Google’s storage, retention and administrative settings can also become confusing when a company needs legal holds, complex routing or strict data policies.
Best for: freelancers who expect to collaborate, agencies, consultants and small companies that want one familiar productivity suite.
2. Microsoft 365 Business Basic: best for Outlook and Office users
Microsoft 365 Business Basic is the natural alternative for organizations built around Outlook, Word, Excel, OneDrive and Teams. It provides business email through Exchange Online and includes browser and mobile versions of core Office applications.
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Exchange is particularly useful for calendars, meeting invitations, shared mailboxes and company-wide address lists. If clients already send Outlook calendar invitations or your team works in Excel and Teams, Microsoft 365 can create less friction than moving to a Google-centered setup.
Why choose it
- Excellent integration with Outlook, Teams and OneDrive.
- Strong calendar and meeting-management features.
- Shared mailboxes can handle addresses such as sales@ or support@.
- Good fit for businesses already paying for Microsoft software.
Where it falls short
The admin center has more moving parts than a basic email service. DNS records, Exchange settings, aliases, shared mailboxes and security policies are powerful but can overwhelm a sole proprietor. Desktop Office applications are also not included in every business plan, so check the license before assuming Word and Excel are part of the deal.
Best for: businesses that already use Outlook or need Microsoft’s calendar, Teams and Office ecosystem.

- Dual-band Wi-Fi with 5 GHz speeds up to 867 Mbps and 2.4 GHz speeds up to 300 Mbps, delivering 1200 Mbps of total bandwidth¹. Dual-band routers do not support 6 GHz. Performance varies by conditions, distance to devices, and obstacles such as walls.
- Covers up to 1,000 sq. ft. with four external antennas for stable wireless connections and optimal coverage.
- Supports IGMP Proxy/Snooping, Bridge and Tag VLAN to optimize IPTV streaming
- Access Point Mode - Supports AP Mode to transform your wired connection into wireless network, an ideal wireless router for home
- Advanced Security with WPA3 - The latest Wi-Fi security protocol, WPA3, brings new capabilities to improve cybersecurity in personal networks
3. Zoho Mail: best value for custom-domain email
Zoho Mail is aimed at businesses that want proper domain email without paying for a complete Google or Microsoft suite. It supports mailboxes, aliases, domain administration, calendars and business-oriented controls at a lower cost than the major productivity platforms.
Recommended Free Tools
That lower price makes Zoho especially attractive for a small firm with several addresses. A business can create individual accounts for employees while using aliases such as billing@, hello@ and appointments@ without necessarily paying for every public-facing address as a separate user.
Why choose it
- Usually one of the least expensive credible options for multiple users.
- Supports custom domains, aliases and administrative controls.
- Includes useful business apps without requiring a large software subscription.
- Can be a practical replacement for email bundled with a web host.
Where it falls short
Zoho’s interface and ecosystem are not as universally familiar as Gmail or Outlook. Businesses that depend on Google Drive, Microsoft Office files or advanced third-party integrations should test those workflows before migrating.
Best for: small businesses that prioritize mailbox cost and do not need a full office suite.
4. Fastmail: best for a clean, private mailbox
Fastmail focuses on email and calendars rather than trying to become an entire office platform. It supports custom domains, aliases, masked email addresses, strong search and a fast interface across desktop and mobile.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →This makes it a good choice for a consultant, family business or small team that already has file storage and collaboration covered elsewhere. Its masked-email feature is also useful for reducing spam: a unique address can be used for each website or vendor and disabled later.
Why choose it
- Fast, uncluttered mail experience.
- Excellent aliases and masked addresses.
- Custom-domain hosting on paid plans.
- Good calendar support without the overhead of a large productivity suite.
Where it falls short
Fastmail is not a replacement for Google Drive, Microsoft Office or Teams. It also does not offer the same broad business-app ecosystem as Google and Microsoft. Its value is highest when you specifically want dependable email, not a bundle of workplace applications.

- NIGHTHAWK WIFI 6 ROUTER FOR YOUR WHOLE HOME: Delivers fast, reliable WiFi across every room of your apartment or small home for streaming, gaming, video calls, and smart home devices, all running at the same time without slowing each other down.
- WORKS WITH YOUR EXISTING INTERNET SERVICE: Pairs with your existing modem or gateway via ethernet. Compatible with most cable, fiber, DSL, and satellite providers. Some gateways and modem router combos may require bridge mode. No coax needed.
- SET UP AND MANAGE YOUR NETWORK WITH THE NIGHTHAWK APP: Download the free Nighthawk app on iOS or Android for guided setup. Manage WiFi, run speed tests, pause devices, and set up guest networks from anywhere. Active internet required.
- READY FOR THE DEVICES YOU ALREADY OWN: Your phones, laptops, and TVs work right out of the box. WiFi 6 delivers speeds up to 1.8 Gbps across 2.4 GHz and 5 GHz bands. Backward compatible with WiFi 5 and earlier.
- COVERAGE IN EVERY ROOM: Covers up to 1,500 sq. ft. for up to 20 connected devices. Walls, floors, and interference can reduce range. Larger or multi-story homes may benefit from a NETGEAR Orbi mesh WiFi system.
Best for: individuals and small teams that want focused email, privacy features and fewer distractions.
5. Proton Mail: best for privacy
Proton Mail is the strongest pick in this group for people who place unusual importance on privacy. Paid plans support custom domains and provide a privacy-focused mailbox, aliases and related Proton services depending on the subscription.
There is an important distinction, however: email sent to ordinary providers is not automatically end-to-end encrypted from sender to recipient. Proton protects data within its own systems and offers encrypted-message options, but normal email still has to interoperate with the wider email network.
Why choose it
- Privacy-centered company and product design.
- Custom-domain support on paid business-capable plans.
- Useful aliases and account-security features.
- A good fit for sensitive professional correspondence when configured correctly.
Where it falls short
Some organizations will find its collaboration and administration features less familiar than Google Workspace or Microsoft 365. Before switching, test shared mailboxes, calendar invitations, CRM integrations and any compliance requirements that are important to your business.
Best for: privacy-conscious professionals, journalists, advisers and small teams that do not need a full office suite.
6. Purelymail: best ultra-budget option for technical users
Purelymail is worth considering when the main goal is inexpensive custom-domain email and the administrator is comfortable handling DNS records and troubleshooting. It is not designed to compete with Google or Microsoft on collaboration features.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteThe trade-off is straightforward: lower cost in exchange for a smaller service, a less polished experience and fewer enterprise conveniences. That can be perfectly reasonable for a personal domain, a side business or a handful of low-volume mailboxes.

What we evaluated
An email host should be judged on more than storage. The practical tests and checks that matter are:
- Custom-domain setup: whether the service gives clear instructions for MX, SPF, DKIM and DMARC records.
- Deliverability: whether messages reach Gmail, Outlook and business domains without unnecessary spam-folder problems.
- Administration: how easily you can add users, reset passwords, create aliases and suspend accounts.
- Security: support for two-factor authentication, passkeys or security keys, encryption and audit controls.
- Migration: import tools, IMAP compatibility and the ability to keep old mail during a domain switch.
- Cost control: per-user charges, storage limits, renewal pricing and charges for aliases or extra domains.
- Exit options: whether you can export mail and move to another provider without losing your domain identity.
How to choose without overpaying
Choose the mailbox model first
An individual mailbox has its own login and inbox. An alias delivers mail to an existing inbox but usually cannot be used as a separate account. A shared mailbox lets several people manage one address. These are not interchangeable, and the provider’s billing rules may differ for each.

Calculate the real annual cost
Use this calculation:
(paid users × monthly rate × 12) + domain renewal + paid add-ons + applicable tax
For example, a low per-user price can become more expensive than expected if every employee needs a separate account, extra storage is required or desktop Office applications are added later.
Do not use your web host’s email by default
Web-hosting email can be adequate for a very small site, but it often has weaker spam filtering, less dependable support and limited migration tools. Separating website hosting from email also means a server problem is less likely to take down both your site and your inbox.
How to set up business email on your domain
- Buy or confirm the domain. Keep the domain registered in an account controlled by the business, not a former contractor.
- Create the email service account. Start with one administrator and enable two-factor authentication immediately.
- Verify domain ownership. The provider will usually ask you to add a TXT record at your domain registrar.
- Change the MX records. These tell the internet where incoming mail should be delivered. Do not delete the old records until you are ready to switch.
- Add SPF, DKIM and DMARC. SPF identifies approved sending servers, DKIM signs messages, and DMARC tells receiving servers what to do when authentication fails.
- Create users and aliases. Use individual accounts for people and aliases for addresses such as info@ or receipts@ when a separate login is unnecessary.
- Test delivery in both directions. Send messages to Gmail, Outlook and another business domain, then reply back. Check headers for SPF, DKIM and DMARC results.
- Migrate old mail. Use the provider’s import tool or an IMAP client, and retain the old service until the archive is verified.
- Document recovery. Store registrar access, administrator recovery codes and billing details in a password manager or other controlled business record.
Our verdict
Google Workspace is the best email hosting service for most small businesses in 2026 because it balances usability, deliverability, security and collaboration. Choose Microsoft 365 Business Basic instead if Outlook and Office are already central to the business.

FAQ
What is the best email hosting service for a small business?
Google Workspace is the best general-purpose choice for most small businesses because it combines custom-domain email with strong spam filtering, calendars, storage and collaboration tools. Microsoft 365 Business Basic is a better fit for teams that already use Outlook and Office.
Is custom-domain email worth paying for?
Usually, yes. An address at your own domain looks more professional, remains yours if you change email providers, and avoids tying the business to an address from an internet service provider or free email account.
What is the cheapest reliable email hosting?
Zoho Mail is generally one of the strongest low-cost choices for custom-domain business email. Technical users may find Purelymail cheaper, but it offers fewer business tools and requires more hands-on administration. Check current annual pricing and mailbox limits before buying.
Do I need Google Workspace or Microsoft 365 just for email?
No. Fastmail, Proton Mail and Zoho Mail can provide custom-domain email without requiring a full office suite. Paying for Google or Microsoft makes more sense when you will also use their storage, calendars, document tools, video meetings or team administration.
What DNS records are needed for business email?
You normally need MX records to receive mail, SPF and DKIM records to authenticate outgoing mail, and a DMARC record to define how receiving servers should handle messages that fail authentication. Your email provider supplies the exact record values.
Can I change email hosts later without changing my address?
Yes. Keep control of the domain, export or migrate the mailbox data, and replace the provider’s MX records when the new service is ready. Keep the old account active during the transition so delayed messages and old mail can be checked.
The Bottom Line
Best overall: Google Workspace. Best for Microsoft users: Microsoft 365 Business Basic. Best value: Zoho Mail. Best focused mailbox: Fastmail. Best for privacy: Proton Mail.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Before purchasing, compare the complete annual cost, confirm the number of paid users, check renewal pricing and make sure the provider supports the aliases, shared addresses and migration method your business actually needs.
