A professional email address is only as useful as the service behind it. The right provider should deliver messages reliably, support your own domain, make account recovery manageable, and avoid turning a low monthly price into an expensive migration later.

For most small businesses, Google Workspace is the best all-around choice. Microsoft 365 Business Basic is stronger for companies already using Outlook and Office. 3. Zoho Mail: best value for custom-domain email

An email host should be judged on more than storage. The practical tests and checks that matter are:

  1. Custom-domain setup: whether the service gives clear instructions for MX, SPF, DKIM and DMARC records.
  2. Deliverability: whether messages reach Gmail, Outlook and business domains without unnecessary spam-folder problems.
  3. Administration: how easily you can add users, reset passwords, create aliases and suspend accounts.
  4. Security: support for two-factor authentication, passkeys or security keys, encryption and audit controls.
  5. Migration: import tools, IMAP compatibility and the ability to keep old mail during a domain switch.
  6. Cost control: per-user charges, storage limits, renewal pricing and charges for aliases or extra domains.
  7. Exit options: whether you can export mail and move to another provider without losing your domain identity.

How to choose without overpaying

Choose the mailbox model first

An individual mailbox has its own login and inbox. An alias delivers mail to an existing inbox but usually cannot be used as a separate account. A shared mailbox lets several people manage one address. These are not interchangeable, and the provider’s billing rules may differ for each.

Calculate the real annual cost

Use this calculation:

(paid users × monthly rate × 12) + domain renewal + paid add-ons + applicable tax

For example, a low per-user price can become more expensive than expected if every employee needs a separate account, extra storage is required or desktop Office applications are added later.

Do not use your web host’s email by default

Web-hosting email can be adequate for a very small site, but it often has weaker spam filtering, less dependable support and limited migration tools. Separating website hosting from email also means a server problem is less likely to take down both your site and your inbox.

How to set up business email on your domain

  1. Buy or confirm the domain. Keep the domain registered in an account controlled by the business, not a former contractor.
  2. Create the email service account. Start with one administrator and enable two-factor authentication immediately.
  3. Verify domain ownership. The provider will usually ask you to add a TXT record at your domain registrar.
  4. Change the MX records. These tell the internet where incoming mail should be delivered. Do not delete the old records until you are ready to switch.
  5. Add SPF, DKIM and DMARC. SPF identifies approved sending servers, DKIM signs messages, and DMARC tells receiving servers what to do when authentication fails.
  6. Create users and aliases. Use individual accounts for people and aliases for addresses such as info@ or receipts@ when a separate login is unnecessary.
  7. Test delivery in both directions. Send messages to Gmail, Outlook and another business domain, then reply back. Check headers for SPF, DKIM and DMARC results.
  8. Migrate old mail. Use the provider’s import tool or an IMAP client, and retain the old service until the archive is verified.
  9. Document recovery. Store registrar access, administrator recovery codes and billing details in a password manager or other controlled business record.

Our verdict

Google Workspace is the best email hosting service for most small businesses in 2026 because it balances usability, deliverability, security and collaboration. Choose Microsoft 365 Business Basic instead if Outlook and Office are already central to the business.

For a lower bill, start with Zoho Mail. For a focused and privacy-friendly mailbox, Fastmail is the cleaner choice; Proton Mail is better when privacy is the deciding factor. Purelymail can reduce costs further, but only if you are comfortable trading convenience and support for price.
