Use it as a transaction record—not as a replacement for the rest of your bookkeeping. The IRS does not prescribe one special cash-receipt form for businesses; it allows a paper or electronic recordkeeping system suited to the business, provided it clearly shows income and expenses.
What a cash receipt form is for
A cash receipt is a written record that a person or organization received money. It can document a sale, service payment, reimbursement, rent payment, or another transaction. For a business, receipts support entries in its books and tax records alongside documents such as invoices, deposit slips, and canceled checks. The IRS recognizes receipt books as one example of records supporting gross receipts.
A completed receipt helps identify an individual payment, but it does not by itself establish every detail needed to support a transaction or its tax treatment. Keep related records when they apply, such as an invoice, contract, deposit record, or bookkeeping entry.
Fields to put on a general cash receipt
For a clear general-purpose record, include:
- Receipt number: Use a unique number if you issue receipts regularly, so you can match the receipt to your records.
- Date received: Record the date the payment was actually received.
- Received from: Identify the payer, customer, or other source of the money.
- Amount: State the amount received, including the currency if it could be unclear.
- Payment method: Note cash, check, money order, or another method. A receipt for a payment that was not physical cash may still be useful, but label the method accurately.
- Purpose or description: Identify what the payment covers, such as an item sold, service, invoice number, or rent period.
- Received by: Name the business or person receiving the payment; a signature or initials can help identify the person who handled it.
- Balance or status, if relevant: Indicate whether the payment is a deposit, partial payment, or payment in full.
These are practical fields for making a transaction understandable, not a universal IRS-mandated checklist. Tailor the form to the transaction and your recordkeeping process.

Choose a paper or electronic workflow
The IRS says businesses may choose a recordkeeping system suited to their activity, including paper or electronic records, as long as it clearly shows income and expenses. The right format depends on how you issue receipts and reconcile payments; the cited IRS guidance does not identify one format as best.

Record individual payments and reconcile the totals
A receipt form is most useful when its information flows into the business’s books. The IRS Publication 583 illustrates a daily summary of cash receipts. Where a business has no cash register, the example explains that cash sale slips and other cash received can be totaled for the day. That is an illustrative bookkeeping method, not a required receipt format.

- Issue or complete a receipt for the payment, recording its date, payer, amount, method, and purpose.
- Keep the business copy or electronic record with any related supporting documents.
- Enter the payment in the bookkeeping system and include it in the appropriate cash-receipts summary.
- Compare recorded totals with cash on hand, deposits, and other payment records, and investigate differences.

Donation receipts follow a separate rule
A receipt for a charitable cash contribution is not simply a seller’s receipt under another name. For a donor using the written-communication route described in IRS Publication 526, the communication from the qualified organization must show the organization’s name, the contribution date, and the amount. This is a donor substantiation rule, distinct from a business’s record of a sale or other payment received. Does the IRS require a particular cash receipt form?
The cited IRS guidance does not require businesses to use one special cash-receipt form. It says a business may choose a recordkeeping system suited to its activity if that system clearly shows income and expenses. A receipt form or book can be part of that system, but it is not the entire system.

Use a form that has enough room for the transaction details and can be retained with your other records. If you are preparing a form for printing, make sure it includes the fields above and space for a receipt number if you use one. For a handwritten workflow, a duplicate receipt book is another option; the IRS lists receipt books among examples of records supporting gross receipts. No specific downloadable file format is implied here, so use only the format actually offered with the form you choose.
