Organize contacts, make it easy for interested people to sign up, send relevant information on a considered schedule, and check every message for accuracy and compliance before it goes out.
Start with the audience and purpose
Decide who a message is for and what it should help them do or understand. Separate campaigns when their purposes differ—for example, local market updates, buyer or seller education, listing information, and follow-up for people who asked to be contacted. This is a practical way to keep messages relevant, not a prescribed segmentation formula.
Match the content to the recipient’s stated interest. A market update should explain the area and time period it covers; a listing email should use accurate property details; an educational message should answer a real buyer or seller question. Avoid sending every contact every message simply because the list is available.
Build the list through clear signup paths
Invite people who have a genuine reason to hear from you. The National Association of REALTORS® (NAR) identifies website signup forms, syncing leads from other sources, connecting SMS marketing, offering free events, and adding a signup link to an email signature as possible list-growth methods. Explain what people are signing up to receive and make the signup process straightforward. If contact details are gathered online, REALTORS® intending to share or sell that consumer information should disclose that possibility in a reasonable and readily apparent manner under the 2026 NAR Code of Ethics.
Keep contact records usable
Contacts can end up scattered across phones, spreadsheets, and customer relationship management (CRM) systems. Realtor.com PRO describes this organizational challenge and discusses consolidating contacts. A CRM may help an agent keep records and follow-up in one workflow, but the right setup depends on how the agent works; the cited source does not establish that a particular product is best. - Keep contact information accurate and remove or correct outdated records.
- Record the context of the relationship and any expressed interests so messages can be appropriately targeted.
- Keep signup and opt-out status current, and ensure the campaign system uses it.
- Before adopting a tool, verify its current features, integrations, pricing, and opt-out controls rather than assuming they are included.
Plan scheduled follow-up without treating automation as a guarantee
NAR describes a drip campaign as a sequence sent on a schedule that can change in response to a recipient’s actions. For an agent, that could mean planning a series of useful follow-ups for people who requested information, while adjusting or stopping messages when their needs change. Before scheduling a sequence, decide what each email contributes and what should happen if the recipient replies, opts out, or takes the action the sequence is meant to support. Review the schedule for relevance rather than choosing a frequency based on an unsupported universal rule.
Make commercial emails accurate and compliant
Federal CAN-SPAM requirements apply to commercial email, including business-to-business messages. The Federal Trade Commission (FTC) says commercial messages must use truthful header and routing information, avoid deceptive subject lines, identify the message as an ad where required, include a valid physical postal address, and provide a clear way to opt out. The opt-out method must remain available for 30 days after sending, and requests must be honored within 10 business days. Review the FTC’s CAN-SPAM compliance guide for the requirements and details.
Using an email platform or another service does not remove the business’s responsibility: the FTC says responsibility may apply to both the promoted business and the sender or service. NAR also flags state law for intrastate communications, so federal CAN-SPAM should not be treated as the only potentially relevant rule. - Accuracy: Are listing details, market figures, dates, and other claims correct and clearly scoped?
- Sender and subject: Do they identify the sender honestly and describe the message without misleading recipients?
- Required details: Are the valid postal address and clear opt-out method present?
- Opt-out operation: Does the link or process work, and will requests be honored within the required period?
- Links and presentation: Do links work and lead where their labels indicate?
The FTC’s guide explains that responsibility remains even when a business uses an outside sender or service. A final check should therefore include both the content and the system settings that determine who receives the email and whether opt-outs are respected.

Choose tools to fit the workflow
Email campaign software and real-estate CRMs serve related but distinct needs: one may focus on sending and scheduling messages, while another may help organize contacts and follow-up. The sources cited here do not compare named vendors or verify current features, prices, or partner programs. Before choosing a tool, check whether it supports the tasks your process actually requires:
- Contact organization and signup-form or lead-source handling
- Scheduled or behavior-based follow-up, if needed
- Integration with the CRM or other systems already in use
- Working opt-out handling and compliance controls
- Usability for the agent and team, along with current pricing
Do not assume that a tool’s automation, integration, or compliance functions are available on every plan; confirm those details directly with the provider.
