Usually part of a broader field service management system, it links messages and updates to work orders, schedules, technician activity, and job status—so people can coordinate using the same service record rather than relying on disconnected calls and texts.
What field service communication software does
The term does not describe one standardized product with a fixed feature list. It usually refers to communication capabilities within field service management software: tools that help customer service staff, dispatchers, technicians, and customers coordinate a service visit. Depending on the product, that can include assignment alerts, dispatcher-to-technician messages, appointment reminders, status updates, customer tracking, and records of work performed.
Communication is most useful when it is connected to the operational workflow. A message can be triggered by a booking or job-status change, while the work order remains the record of what is scheduled, what the technician did, and what still needs attention. Microsoft describes Field Service as supporting a service-to-cash flow from the initial request through final billing, with communication among a wider set of capabilities that includes work orders, scheduling, mobile work, assets, inventory, billing, and analytics (Microsoft Dynamics 365 Field Service overview).
How it works from service request to closeout
- A service request becomes a job. A customer call, email, case, agreement, web portal request, sales order, or connected-device alert may lead to a work order. The record can hold the job location, customer and equipment details, required skills, checklist, parts, and billable labor.
- Dispatch assigns the work. A dispatcher reviews the job and selects a resource based on factors such as location, availability, skills, and priority. Software may support manual scheduling, scheduling assistance, or automated optimization.
- The technician receives the assignment. A mobile app can show the technician’s schedule, directions, instructions, and customer or equipment history. The technician may also record notes, photos or videos, time, inspection results, parts used, and a customer signature, depending on the app.
- Messages follow job events. A system may send a customer a booking confirmation, reminder, rescheduling notice, en-route update, arrival notice, or completion message. Internal alerts can flag a job at risk or a reassignment, while dispatchers and technicians may communicate through a traceable workspace. Available channels and triggers vary by product.
- The work record is updated. The technician marks the job complete or identifies follow-up work. The completed work order can update service history and inventory and support billing.
The sequence matters because a text message alone does not necessarily keep a service operation coordinated. When communication is tied to the job record, staff can see what changed and the customer can receive updates that reflect the actual schedule or job status.

Who communicates, and through which channels
Office and dispatch to technician
Internal communication can cover new assignments, changed job details, dispatch messages, and follow-up instructions. Microsoft documents push notifications for mobile-app events such as new assignments. ServiceNow’s Australia-release documentation describes dispatcher messaging to agents through a Microsoft Teams-connected sidebar, with communication documented and tracked in the workspace (ServiceNow: Set up communication from Dispatcher Workspace). These are examples of particular vendor implementations, not features guaranteed across the category.
Business to customer
Customer-facing messages commonly relate to appointment booking, reminders, delays or rescheduling, technician progress, completion, and next steps. ServiceWorks describes email, SMS, and automated robocalls, with templates associated with business events (ServiceWorks customer communication software). A buyer should confirm which channels a specific system supports, what events trigger messages, and whether recipients and wording can be configured.

Customer self-service and technician tracking
Some systems offer a customer portal or temporary technician tracking. In Microsoft’s documented Field Service portal approach, tracking requires the Field Service mobile app, location sharing enabled in Field Service and permitted on the technician’s device, plus supported SMS and email providers or connectors. Microsoft also states that tracking is unavailable once a booking is marked In Progress, because the system assumes the work is taking place at the designated location (Microsoft: Track a technician on the Field Service portal). That is a product-specific setup and limitation; “real time” tracking should not be assumed without checking a vendor’s configuration, connectivity requirements, and status rules.
Why the technician’s mobile app matters
The mobile app is the technician’s operational workspace, not just a place to receive messages. Depending on the software, it can provide assigned jobs, navigation, work instructions, service history, and tools to record work, attach media, track time, complete inspections, or create follow-up work. Salesforce’s Field Service mobile documentation also describes functions such as offline capability, geolocation, notifications, and service reports; exact features and edition requirements can change (Salesforce Help: Field Service Mobile App).

Check offline behavior in the actual workflow
Offline support is a product and configuration question, not something established by the presence of a mobile app. Microsoft documents offline use when administrators configure the relevant capabilities and data profile, but says its refreshed mobile experience does not currently support offline work. Salesforce documents offline capability for its Field Service mobile app. Before choosing a system, test the exact app and workflows technicians will use in low-connectivity locations: which job details are available, what can be recorded without a connection, and how changes synchronize after connectivity returns.

- Channels and triggers: Does the software support the channels you need, such as email, SMS, voice, in-app alerts, or team messaging? Which booking and job events trigger messages? Can you tailor templates and recipients?
- Connection to job records: Do messages attach to work orders, schedules, customer histories, and status changes, or must staff manually update separate systems?
- Technician workflow: Can technicians access the assignment, instructions, customer and equipment details, and the tools they need for notes, photos, forms, inspections, and signatures?
- Connectivity and synchronization: Which app version and workflows work offline? What information is available offline, and how are updates synchronized? Test your configuration rather than relying on a general “mobile” claim.
- Tracking and privacy: What location information is shared, when is it shared, and what device permissions, administrator settings, and messaging providers are required? Check the controls and any status-based limits.
- Integrations and operating fit: Verify connections to the CRM or contact center, messaging, mapping, identity, and back-office systems your operation actually uses. Confirm that roles and processes match how your team assigns and completes work.
