How to Use Square: A Step-by-Step Guide for New Users

A practical U.S. guide to setting up Square, building an item library, choosing a payment method, running sales, managing fees and transfers, and troubleshooting.

Square combines payment processing, point-of-sale (POS) software and business-management tools. In the United States, a new seller can start with a verified account, a bank account and a payment method such as an invoice, payment link or Tap to Pay—hardware is optional. A reliable setup order is: verify your account, connect your bank, configure taxes and permissions, build your item library, test checkout, then learn transfers and reports.

What Square does—and what you need to begin

Square is more than a card reader. Its tools cover in-person and online payments, invoices, payment links, item catalogs, inventory, customer records, staff permissions and sales reporting. Which tools you need depends on your business; a mobile service provider may need little more than payment links and a phone, while a restaurant may need menus, modifiers and kitchen workflows. Square’s U.S. product and support pages describe the available setup areas at Square Support.

Before signing up, gather the information and materials Square may request:

  • Your business or seller identity, business structure, address and contact information.
  • Personal identity and taxpayer information when requested for verification.
  • A bank account for transfers.
  • A list of products or services, prices, tax treatment and receipt preferences.
  • A compatible iOS or Android device if you plan to use the POS app, a Reader or Tap to Pay.
  • Reliable internet access for setup and ordinary payment processing.

Square says account creation is for account owners and verification requirements vary by business type and ownership structure. Approval, payment limits, reserves, reviews or delayed transfers may apply; do not assume funds will be available immediately. See Square’s get-started guide for the account setup overview.

Create and verify your account

  1. Sign up for a Square account and select the business structure that accurately describes your business.
  2. Enter the requested business and personal identity details carefully, matching official records.
  3. Complete any verification steps and respond to requests for additional information.
  4. Add and verify the bank account where you want transfers sent.
  5. Review available transfer settings, then sign in to Dashboard or the POS app.

Square’s setup instructions cover account activation, bank linking, items, transfers and team setup. If verification or bank linking fails, check the details you entered and Square’s account-information requests. Use the account help topics for identity verification, bank linking, missing transfers and account status, or contact Square Support rather than opening a duplicate account. Resolve identity and bank issues before relying on the account for substantial sales.

Know where to work: Dashboard or POS app

Square Dashboard is the browser-based management area; the Square Point of Sale app is primarily the frontline selling tool. Some tasks overlap, and exact options depend on your product setup.

Square POS app Starting sales, choosing items or entering amounts, taking payments, issuing receipts, and viewing sales or orders; some customer, team and inventory tasks are also available.

Square’s current sign-in instructions say to open Dashboard in a supported browser, enter the account email, select Continue, enter the password and select Sign in. In the POS app, open the app, select Sign in, and enter the account credentials. To sign out of the app, tap More and then Sign out. Labels may change; Square’s instructions are at Sign in and out of Square Point of Sale.

Configure the business before checkout

Locations, taxes and receipts

Set up each location if prices, inventory or tax rules differ. Configure sales-tax rules and assign them to the appropriate items; check online and in-person behavior separately. Square supplies tax settings, but the seller remains responsible for determining legal obligations and configuring collection accurately. Choose receipt preferences that fit your workflow, such as print or digital delivery where available. Review the business name, address and refund-policy information customers will see. Set tip prompts and discounts deliberately: test percentage and fixed discounts, order-level and item-level discounts, and the tax calculation behavior configured for your business.

Team access and security

Add employees with only the permissions they need. A cashier may need to take payments but not change bank details, issue unrestricted refunds, access payroll or view every report. Square recommends team setup as part of preparing to sell in its get-started guide. Use available account-security controls, including two-step verification, and keep owner credentials private.

Build the item library

Set up products and services before routine sales. A well-organized library improves checkout consistency and makes tax, inventory and reporting records more useful. Square’s onboarding guide includes item-library setup: Create and manage items.

For each item, consider the relevant fields:

  • Name, price, category and description.
  • Variations such as size or color, and modifiers such as add-ons.
  • SKU or barcode when useful.
  • Tax treatment, inventory tracking and location availability.
  • Online availability and images if you sell through Square’s online tools.
  • Cost information where applicable, or service duration and appointment settings for service businesses.

Use consistent names and categories, and decide whether stock should decrement when an item sells. Avoid duplicate one-off items when a reusable catalog item is more appropriate. For restaurants, menu organization, modifiers, kitchen routing and item availability are distinct configuration needs; a generic retail catalog may not represent that workflow.

Choose how customers will pay

Square offers different payment paths; you do not have to buy hardware to begin. Square’s U.S. pricing page describes options including invoices, payment links, Virtual Terminal and Tap to Pay on iPhone or Android: Square POS pricing and features.

Payment approach Useful when Consider
Tap to Pay on a compatible phone You take occasional or mobile in-person payments. Check device and eligibility requirements; a dedicated reader or register may suit repeated checkout better.
Square Reader You want a compact contactless-and-chip device with a compatible phone or tablet. It is not a standalone register.
Terminal, Stand or Register You need a dedicated checkout device, countertop workflow or receipt printing. Hardware and accessories add upfront or financed costs.
Invoices or payment links You bill remotely or want customers to pay from a link. Payment channel can affect processing fees.
Online store or Virtual Terminal You sell online or enter payments in an administrative workflow. Check plan, device and payment-method requirements for your use case.
Cash, checks or Square Gift Cards You accept non-card tenders or gift-card payments where enabled. Record the tender accurately; cash and checks do not incur Square payment-processing fees according to its fee help page.

Payment rates are not one universal Square fee: they can depend on payment type, plan and product. Square notes that invoice payment rates may differ according to whether payment is online, in person, manually entered or card-on-file. Manually entered payments can also carry greater fraud or dispute exposure than card-present transactions. Review the current Square fee explanation for the payment method you intend to use.

Take a sale and test the workflow

  1. Open the POS app and select an item, or enter a custom amount when appropriate.
  2. Add variations or modifiers, customer details, discounts, tax and tip as applicable.
  3. Review the items and total before charging the customer.
  4. Select the tender method and have the customer tap, insert, swipe, pay on the device, or provide cash or a check as supported.
  5. Wait for the approval or completion screen before treating a card payment as successful.
  6. Offer or send the receipt, then confirm the sale appears in sales or order history.

For cash, enter the amount tendered, check the change due and keep the drawer balanced. Record cash or checks as those tenders; do not mark a card payment as cash to avoid processing fees.

Before launch, test a low-value transaction using clearly understood real or test conditions. Confirm that the item, tax, receipt and payment record behave as expected, then learn how to locate the refund and transfer records. Avoid repeatedly charging and refunding transactions as a testing shortcut; it can complicate operations or draw account review.

Refunds, cancellations and disputes

Find the transaction or order, review whether you need to cancel an order or refund a completed payment, and select a full or partial refund when available. Confirm the amount and communicate the outcome to the customer. A payment refund and an order cancellation are not interchangeable: cancellation addresses the order workflow, while refunding returns payment funds. Check whether returned items need a separate inventory adjustment.

Keep receipts, order details and customer communications organized. A card dispute requires a response through the applicable Square workflow and supporting evidence; issuing a refund does not automatically resolve a dispute. Square says it does not charge a separate fee for chargeback and dispute management, but that does not make disputes cost-free or guarantee how processing costs are treated on a refund. Confirm current terms for the transaction type in Square’s fee guidance.

Understand fees, hardware costs and transfers

In the United States, Square Free has no monthly subscription cost, but that does not mean using Square is cost-free: payment processing, hardware, add-ons and faster transfers may add expenses. Square advertises 30-day trials for Plus and Premium; plan features and processing rates differ. The following figures were displayed on Square’s U.S. pages between August 16 and 18, 2026, and should be checked on the linked pages before purchase:

Estimate cost with this model: subscription fees + hardware + processing fees + optional add-ons + faster-transfer fees + accessories + taxes. Square says custom processing rates may be available to businesses processing more than $250,000 annually; ask for a quote and compare effective costs rather than assuming a headline rate applies.

How transfers work

After activation and bank linking, Square describes automatic Next Business Day transfers as its standard schedule. A faster transfer may be available for a fee, subject to eligibility. Weekends, holidays, holds, reviews and account conditions can affect timing; next business day does not mean immediate access. Review reports and close the day

Use Dashboard reports to reconcile sales activity and bookkeeping records. Useful figures include gross and net sales, taxes, tips, discounts, refunds, tenders, processing fees, transfers, inventory movement and cash-drawer differences. Square’s account help covers reporting and close-of-day settings at Square account help.

  1. Count cash and compare it with the expected drawer amount.
  2. Review refunds and voids for accuracy.
  3. Compare card and other digital-payment totals with sales records.
  4. Check tips and discounts.
  5. Review the transfer schedule and note any expected delay.
  6. Save or export reports needed for bookkeeping.
  7. Record discrepancies promptly while transaction details are easy to verify.

Offline payments and connectivity problems

Offline payments are not a guaranteed substitute for a connection. Square’s U.S. pricing page says offline payments process when the device reconnects and may be declined if it does not reconnect within 24 hours of the first offline payment; it also places responsibility for expired, declined or disputed offline payments on the seller and notes that some older Readers do not support offline payments. However, Square’s sign-in support page says pending offline payments should be uploaded within 72 hours. Because these official pages give different windows, do not treat either period as universal: check current instructions for your device and software, reconnect promptly, and understand that the seller bears risk. Fix common setup and checkout problems

  • Can’t sign in: Verify the email and password, confirm you are using the correct app or Dashboard login, and follow Square’s account recovery prompts.
  • Bank account will not link or a transfer is missing: Check the entered account details and verification status, review the transfer schedule and account requests, then use Square’s bank and transfer help.
  • Payment is declined: Confirm the customer’s payment method and connection, then use another accepted tender if appropriate. Do not record an unsuccessful card attempt as cash.
  • Reader will not connect: Check device compatibility, Bluetooth and power, then reconnect the Reader using the current in-app prompts.
  • Item is missing or tax looks wrong: Confirm the item’s location availability, visibility, tax assignment and catalog settings before the next sale.
  • Employee cannot perform a task: Review that employee’s assigned permissions rather than sharing owner credentials.
  • Offline payment is pending: Restore connectivity and follow the device-specific upload instructions; unresolved offline payments may be declined.
  • Account is restricted or under review: Check Dashboard and email for Square’s information requests and respond through official support channels; do not create another account to bypass a review.

Choose a setup that fits your business

The retail figures are listed at Square for Retail. Square may be a weaker fit if you require highly customized interchange-plus pricing, complex multi-entity accounting, extensive international operations, guaranteed advanced offline acceptance, or a fully custom payment architecture. These are comparison criteria rather than universal limitations; higher-volume businesses should request a custom quote and compare total effective costs.

When to compare alternatives

Square is not the only option, and the right comparison depends on what anchors your business workflow. Prices are not included here; verify current terms directly.
