Most Quicken users do not need to archive each year. Quicken says year-end copies are no longer necessary or encouraged for ordinary storage reasons; using reports with year-specific date ranges is usually simpler. If you do want a separate historical file, Quicken Classic for Windows still offers a Year-End Archive, but it does not simply remove every transaction before a cutoff. Back up first, then choose the workflow that matches your goal.
Choose the right kind of archive
“Archive” can mean several different things in Quicken. Choosing the wrong one can leave you with a file that is less useful than expected.
- Year-End Archive: A Quicken Classic for Windows feature that creates an archive file and can optionally remove some older transactions from the current file.
- Copy or Template: A separate file made for a selected date range, with more control over the included transactions and information.
- Complete backup: A safety copy of your current data file for recovery. It is not the same as an archive and should be made before you reorganize files.
- Investment transaction archive: A separate operation for closed investment positions. It creates an account with an “-archive” suffix inside the same data file; it is not a year-end archive.
- CSV export: A portable transaction-data export, not a native Quicken file. It does not preserve the full Quicken structure, such as all account relationships, investment logic, reminders, and reports.
Quicken’s guidance is to use reports for ordinary year-by-year review rather than routinely splitting financial history into annual files. Keeping one complete file makes it easier to compare years and follow payees, categories, transfers, accounts, and investments over time. Separate files can still make sense for a documented recordkeeping policy, a historical snapshot, a handoff, or a genuinely unwieldy file. Archiving alone is not a guaranteed performance fix; Quicken recommends a broader troubleshooting process for slowness (Quicken performance troubleshooting).
Before creating a Windows Year-End Archive
Do not start by deleting transactions manually. First make a complete backup, confirm the correct file is open, and decide whether the current file should remain intact or be trimmed. Then review the items that can affect what Quicken keeps:

- Reconcile accounts through the intended cutoff date, and investigate older unreconciled transactions.
- Review investment accounts and closed positions; historical transactions may be needed for performance and cost-basis calculations.
- If you use Home & Business features, check unpaid invoices, bills, rents, customer balances, and security deposits.
- Choose a clear archive filename and safe destination. Keep the original file and a separate backup until you have verified the archive.
Create a Year-End Archive in Quicken Classic for Windows
- Open the Quicken Classic for Windows data file you intend to archive.
- Select File > Copy or Backup File.
- Select Create a year-end archive, then select Next.
- Under Current File, choose either My current data file will remain unchanged or I only want transactions in my current data file starting with this date. The first option leaves the current file unchanged; the second asks Quicken to trim qualifying older transactions from it.
- Under Archive File, review the filename and destination. Quicken saves the archive in the current file’s folder by default; use the browse control if you want another location.
- Select Save Archive. At the success prompt, choose whether to continue in the Current File or the Archived File.
- Open the archive separately and verify the records and balances you need before relying on it or changing the original.
Quicken’s Year-End Copy guidance and Windows file-copy help describe this workflow. The trimming option is not a command to erase every transaction before January 1: in general, it removes qualifying reconciled, non-investment, non-transfer transactions. Other older transactions can remain by design.
What may remain in the current file after the cutoff

Quicken explains these retained records in its guidance on transactions that appear after creating a Year-End file. If older entries remain, that does not necessarily mean the archive failed.

When a Copy or Template is a better fit
Use Create a copy or template when you need a defined date range—for example, a file covering one calendar year—or when you want a separate review or testing copy without trimming the original. It offers more control than Year-End Archive, including options affecting uncleared and investment transactions.
- Select File > Copy or Backup File.
- Select Create a copy or template, then select Next.
- Choose the date range to include and review the optional information and transaction choices.
- Choose a destination and save the copy.
- At the prompt, choose whether to continue in the original file or the new copy.
A date-bounded copy is not automatically a self-contained historical accounting file. If you exclude transactions needed for opening balances, transfers, linked accounts, or investment calculations, the resulting file may not support the analysis you expect. Open and test it before giving it to an accountant or relying on it for records. Quicken’s copy and template help describes the options; its Year-End transaction guidance also discusses using a regular copy for particular date-range needs.

Quicken Classic for Mac: use reports, not the Windows procedure
Quicken Classic for Mac does not offer the Windows Year-End Copy option. Keep the complete file, make a backup before major maintenance, and use reports with a custom date range to review a particular year. If you need a portable external record, export the relevant report or transactions and store them with your financial records. Do not assume Windows menu paths or archive behavior apply to Mac; Quicken documents the platform difference in its Year-End Copy guidance.
Quicken Simplifi is not a Classic archive viewer
Quicken Simplifi and Quicken Classic use different data models. Simplifi cannot directly open a Quicken Classic data file, so a Classic archive is not a way to view those records in Simplifi. Quicken’s pages on Simplifi versus Classic and Classic-data compatibility explain the distinction.

Simplifi supports transaction export to CSV in its web app; users can filter transactions before exporting, and split details may need to be displayed to include them. Simplifi also supports manual transaction import from CSV in the web app. CSV can move transaction rows, but it does not recreate the complete Classic file, and importing Classic categories is not supported according to Simplifi’s help. Bank downloads may also provide only a limited history, and mobile capabilities can differ from the web app. See Simplifi’s instructions for exporting transactions and manually importing transactions.

- Open the archive file independently and confirm its name and location.
- Run a transaction report for the archived period and check that the expected records appear.
- Check account balances around the cutoff and inspect transfers between accounts.
- For investment accounts, review holdings and performance; for business or rental files, review open invoices, bills, rents, and deposits.
- Keep the original complete file and a separate backup until the archive has passed these checks.
An archive file is disconnected from connected services: downloads, sync, bill pay, and credit-score activity in it do not affect the primary file. Treat it as a historical record, not as a second live copy. For long-term preservation, keep the complete original, a pre-archive backup, the archive, and another backup in a separate location. A brief note recording the cutoff, date made, Quicken product and platform, whether the current file was trimmed, and filenames will help you identify the right file later.

Quicken’s Data Access Guarantee applies to the subscription release of Quicken Classic Deluxe and higher under its stated terms. Quicken says local data access remains available after a subscription ends for those editions, while online services such as transaction downloads, quotes, mobile sync, and support end; Starter has different limitations. These terms do not describe Simplifi, so check Quicken’s Data Access Guarantee for the applicable edition.
If the archive is wrong or you cannot find it
If you selected the wrong option or the resulting file is not usable, stop making changes in it. Close Quicken if possible, reopen the untouched original or restore the pre-archive backup, and check account balances and reconciliation status before trying again. If the archive seems missing, check the destination shown during creation, the folder containing the current file, and the filename; do not delete or overwrite the original until you have opened and checked the archive.
If older transactions remain, check them in this order: reconciliation status, investment activity, transfers, linked cash accounts, then open invoices, bills, rents, or deposits. Compare the current file and archive rather than deleting entries manually. Manual deletion can damage reconciliation history, transfer relationships, investment calculations, and tax reporting.
