What counts as a cash register today?
A traditional register records sales, calculates tax, and holds cash. A modern point-of-sale (POS) register can also connect checkout to inventory, customer records, reporting, online sales, and other business tools. It might be a dedicated countertop device, a tablet or phone with a reader, or a combination of hardware and POS software.
For a physical checkout station, check whether the setup needs a cash drawer, receipt printer, barcode scanner, or installation—and confirm that each accessory is compatible with the POS provider and device you choose.

Shopify POS: for online and storefront retail
Shopify describes POS features including inventory synchronization, staff tools, customer profiles, reporting, and loyalty tools. That makes it a natural candidate when the same retail business needs to manage its online shop and physical checkout together. The costs are not just a register: compare the Shopify plan and POS tier, hardware, and processing for the transactions you actually take. Square: for a straightforward register or mobile sales
Square offers countertop registers and mobile readers, with support described for retail scanners and printers and inventory shared across online and in-person sales. Its business-specific POS options may help you match the software to your workflow. The physical Square Register (2nd generation) has two screens. Square’s official US product page, accessed October 7, 2026, lists the device at $899 or $44 per month for 24 months, and lists a 2.6% + 15¢ card-present fee on Square Free. Treat those as the page’s published price and fee, not a quote for every plan or merchant.
Lightspeed: for deeper inventory and multiple stores
Lightspeed is aimed at retailers that need more than a basic product list: its cited capabilities include catalog and stock-level management, multi-store features, promotions, reporting, and integrations. Those needs can justify looking beyond a basic register, but monthly subscription and hardware costs may increase setup expense. Clover: for a dedicated hardware ecosystem
Clover combines POS devices with inventory, sales analytics, customer engagement, and employee-management tools. It may suit an owner who wants a purpose-built station and related operational features rather than assembling a tablet-based setup. The crucial purchase details are the merchant agreement and hardware terms: review the written offer for contract duration, cancellation, and whether you can change processors. Toast: for restaurant and food-service operations
Toast is designed around restaurant tasks such as menus and orders, kitchen display systems, tableside devices, online ordering, and restaurant management. That workflow is materially different from retail inventory and ecommerce, so a restaurant should assess order routing and service needs rather than choosing a register based only on hardware price. Compare pay-as-you-go with hardware-upfront arrangements, and verify the current subscription and offer terms. How to compare total cost
A register’s device price is only one part of its cost. Build a like-for-like estimate using your sales pattern, number of locations, and required equipment. POS fees and terms can vary by geography, plan, device, and merchant agreement.
- Hardware and setup: Include the register or terminal, tablet or phone if needed, cash drawer, printer, scanner, and installation. Check compatibility before buying peripherals.
- Software: Add the base plan, POS tier, per-location or per-register charges, and any paid apps or services required for your workflow.
- Payment processing: Compare card-present, keyed, and online transaction fees. A published rate may apply only to a particular plan or payment method. For example, Shopify’s 2025 comparison listed in-person rates of Shopify 2.6% + 10¢, Square 2.6% + 15¢, and Lightspeed 2.6% + 10¢; it listed Clover starting at 2.3% + 10¢ and Toast at 2.49%–3.09% + 15¢ depending on payment or hardware arrangement. - Commitment and flexibility: Read the merchant agreement for contract term, cancellation, hardware restrictions, and the ability to change processors. Confirm the terms in your own written offer.
- Connectivity and payments: Ask which payment types work offline, what limits apply, how long transactions may remain queued, and which POS functions stop during an outage.

Check inventory, channels, and outage behavior
Before signing up, map your actual workday. A retailer with size and color variants, frequent stock changes, or several stores should verify catalog capacity, stock alerts, and location-level inventory. If you sell online as well as in person, confirm how orders and stock sync across channels. A restaurant should instead validate menu changes, order routing, kitchen displays, and tableside service.
Offline support is conditional, not a promise that every transaction and POS function works without internet. Square says its offline transactions must be uploaded after reconnecting within 24 hours. That condition applies to Square’s offline transaction feature; check the provider’s current rules for eligible payments, limits, and what happens if the deadline is missed. Square’s Register page describes its device, and Square’s offline guidance gives the upload condition.

Choose by workflow, not by headline price
- List the jobs the register must do. Identify whether the priority is in-store checkout, online and store inventory, multiple locations, mobile selling, or restaurant order and kitchen management.
- Specify the station. Decide whether you need a countertop register or can use a tablet or phone, then list any drawer, printer, or scanner and verify compatibility.
- Estimate monthly cost at your volume. Include software and add-ons, hardware payments if applicable, and processing for in-person, keyed, and online transactions.
- Review written terms and outage rules. Confirm contract, cancellation, processor restrictions, offline eligibility, and reconnection deadlines for your device and plan.
- Request a current quote for your setup. Published prices and fee comparisons are snapshots; obtain the terms that apply to your location, plan, and merchant account before committing.
