Edward Don & Company is using AI to help its sales and merchandising teams match complex customer requests for proposal (RFPs) to the distributor’s product catalog. In a case study published January 19, 2026, Technology Executives Club reports that the system processed a 1,600-line RFP in about 20 minutes, while employees review and correct its suggested matches. The case’s speed and accuracy figures are publisher-reported, not independently audited.
What problem is Edward Don trying to solve?
Foodservice customers can submit RFPs containing hundreds or thousands of product line items. Requests may use inconsistent descriptions and include customer-specific requirements, preferred manufacturers, or distribution constraints. The case study says Edward Don’s employees previously spent weeks analyzing some proposals, with much of that work depending on a small group of experienced staff.
The business aim is to handle more RFPs without scaling the workload simply by adding employees. CIO Tim Walter’s framing, as quoted by Technology Executives Club, is: “Where is friction preventing us from serving customers and growing revenue?”
How does the AI-assisted RFP workflow work?
- Gather the proposal information. The described system takes in RFP documents, competitor quotes, product images, and product descriptions, including inconsistent ones.
- Match items to Edward Don’s catalog and rules. It compares the requested products with the company’s catalog and applies relevant customer or vendor requirements.
- Suggest matches for employee review. The system proposes products; sales and merchandising employees validate or correct the suggestions rather than leaving final recommendations to AI alone.
- Use corrections as feedback. The case says employee corrections help improve customer-level recommendations over time. It does not identify the software provider or describe a reproducible method for measuring accuracy.

Why employee oversight and adoption matter
Product matching is consequential: an apparently similar item may fail to meet a customer’s specifications, preferred-manufacturer rules, or delivery constraints. The described workflow keeps people responsible for checking suggestions and correcting errors. That makes employee review part of the operating model, not an optional final safeguard.
The case also emphasizes change management. Staff needed expectations that accuracy would improve through use rather than be perfect at launch. The reported pilot accuracy should therefore be understood alongside the human review process and the source’s lack of a published evaluation method.

It also lists barcode and radio-frequency technology for order picking, data warehousing for customized reporting, online product information, a broad supplier network, and distribution services. The page presents these as operational capabilities, not as AI systems.
A separate Descartes customer case describes cloud route planning, optimization, and dispatch across six Edward Don distribution centers, and reports $100,000 saved in the first year. That is a logistics deployment; the available accounts do not establish that Descartes supplied the RFP matching system.
