For many small businesses, a cloud-hosted VoIP plan is the first option to compare: employees can call through desktop or mobile apps, and you can add compatible desk phones if your team wants dedicated handsets. Before choosing, compare the actual plan terms, call-management features, integrations, device support, and any provider-specific setup requirements.
What counts as a business phone system?
A business phone system combines a calling service with the devices or apps employees use to make and receive calls. Cloud-hosted VoIP is a common option to compare because calls can be handled through apps as well as compatible desk phones. If desktop or mobile apps meet your team’s needs, dedicated office hardware may not be necessary. - Check integrations and support. Compare whether the system works with the tools your business already uses, and assess what support is available when employees cannot place or receive calls.
- Compare the full plan terms. Check the billing period, number of users or lines included, taxes, fees, add-ons, and any limits that affect your workflow. For a specific setup—such as a base station with speakerphone capability and support for a wireless headset—confirm the exact model’s features and provider compatibility before purchase. A compatible headset or conference phone may also suit desk-based or group-calling workflows.

Tech.co’s 2026 VoIP desk phone comparison lists the Polycom VVX 601 and gives examples of provider compatibility. Its displayed $70 price is a dated article figure, not a current-price guarantee. Check that the model is still available and supported by your chosen service before buying.
Do you need special network equipment?
Not necessarily. Network recommendations can depend on the provider and configuration. TechRadar reports that GoToConnect recommends a business-standard router, a QoS-capable Ethernet switch, and firewall configuration for relevant traffic. That is specific to the reported GoToConnect guidance; it should not be treated as a universal requirement for every VoIP service. - Get current pricing and billing terms directly from the provider, including taxes, fees, add-ons, and what the quoted plan includes.
- Confirm that the plan supports your must-have call features and the number of users and locations you need.
- Check compatibility for every intended desk phone, headset, and other endpoint; do not assume a VoIP handset works with every provider.
- Ask about provider-specific network setup and emergency-calling requirements for your location.
- Compare support expectations and how the service fits with your existing business tools.
