Franchise pricing controls usually come with POS or management software. Compare central publishing, local exceptions, permissions, reporting, and full costs before choosing.

For most franchise businesses, pricing controls come bundled with a multi-location point-of-sale (POS) or franchise-management platform rather than a standalone pricing tool. The best fit is the system that matches your network’s rules: what headquarters sets, what regions or franchisees may change, who approves exceptions, and how every update is tracked and reconciled.

Vendor product pages describe different approaches, but they are not independent tests or comparable quotes. Use the feature comparison and demo questions below to assess fit, then request a complete cost breakdown for your locations and operating model.

What pricing software does a franchise need?

Start by distinguishing price administration from price optimization. The products described here focus on managing menus or catalogs, publishing prices across locations, permissions, and operational reporting. The supplied vendor evidence does not establish a neutral ranking of price-optimization engines or prove that any one platform is best for every franchise.

Pricing controls are often part of a broader platform that also manages POS transactions, products, promotions, inventory, labor, or franchise operations. That can reduce the need to maintain separate location-level catalogs, but it also means the price-update workflow must work with the rest of your stack: in-store sales, online ordering, discounts, taxes, modifiers, and reporting.

For a franchise network, the central design question is the boundary between consistent brand pricing and approved local discretion. A platform should make that boundary configurable and visible, rather than forcing every unit into identical pricing or leaving exceptions unmanaged.

Features to compare before choosing

Central publishing scope

Ask whether headquarters can publish a price or catalog change to the whole network, selected regions, or specific locations. Franpos says a central update to a product, price, or promotion can be pushed to a store, region, or network. Andromeda describes a head-office master menu that cascades to sites. Treat these as vendor feature claims and confirm the exact workflow and supported destinations in a demonstration.

Local exceptions and approvals

Find out whether a franchisee or regional manager can adjust only designated items, use approved price bands, or request an exception that headquarters must approve. Andromeda describes configurable local overrides, including regional pricing and store-specific promotions. Franpos describes local controls such as hours or local offers. Those examples do not establish that every vendor supports your specific approval rules.

Roles, permissions, and change history

Map who may draft, approve, publish, or reverse a price change. Check whether permissions can differ by role, brand, region, and location, and whether the system records who changed what and when. Andromeda describes audit trails; Franpos and Square describe access or permission controls. Ask whether change history can be searched and exported, and whether it captures approvals as well as edits.

Channels, integrations, and update failures

A price is only consistent if the update reaches every channel where a customer can buy. Verify what happens to in-store POS, online ordering, delivery channels, payment or accounting integrations, and any other systems your business uses. Ask how quickly changes propagate, how failed or delayed syncs are reported, and what happens when a location is offline. The cited product pages do not establish a common propagation time or recovery method.

Reporting and royalty workflows

Check whether reports can compare sales by location, region, and brand, and whether they can support the way your franchise calculates royalties. Franpos says it can calculate royalties from transaction data; Square describes royalty calculation for franchise organizations using multiple Square accounts and locations. Neither claim alone confirms how your own contract, accounting process, adjustments, or reconciliation needs will be handled. Ask to trace a sample royalty figure back to source transactions and export the underlying data.

Rollout and adding locations

Ask how the vendor loads an existing catalog, applies your permission structure, trains operators, and brings new locations online. Confirm whether a new unit inherits the master catalog and regional rules automatically or requires manual setup. Ask about data migration, support during rollout, and what happens when a location changes ownership or leaves the network; the cited pages do not establish uniform onboarding procedures.

How the named platforms describe their fit

The table summarizes vendor-published positioning, not independently verified performance. Vendor pages were reviewed on October 7, 2026; the pages do not provide reliable publication dates, so features should be confirmed directly.

FranchiseMS is a separate published pricing example, not evidence of a specialized price-optimization engine or a directly comparable replacement for the POS platforms above. Its pricing page lists a £25 monthly head-office fee, a core platform from £15 per location monthly, and add-on modules from £1 per location. These are indicative rates on the page reviewed October 7, 2026; VAT is excluded, the page gives an illustrative five-location total, and exact charges depend on locations and selected modules. Questions to ask in a software demo

  1. Can headquarters publish a master price list to all locations, selected regions, or selected units? Ask the vendor to demonstrate each scope, including how a change is previewed and scheduled.
  2. Can local operators make approved exceptions? Show how to limit edits to specified items or price bands, and how an exception is routed for approval.
  3. Who can draft, approve, publish, and reverse a change? Ask to inspect the audit history and confirm whether it can be searched and exported.
  4. Which systems and sales channels receive a price update, and how quickly? Test what the system reports if a location is offline or a sync fails, and how a user retries or resolves it.
  5. How do location-specific prices interact with taxes, modifiers, discounts, bundles, online ordering, and promotions? Ask for a realistic example from your operation rather than a simple price-only change.
  6. Can reports compare performance by store, region, and brand? Ask to reconcile a sample royalty calculation to source transactions and test the export your accounting team needs.
  7. What is included in the quote? Request charges by location, user, brand, account, module, transaction, or payment volume, as applicable, plus implementation, training, hardware, support, integrations, and data migration.
  8. Can the vendor provide references from comparable franchise networks? Compare references by vertical, geography, outlet count, and operating model.

How to compare the total cost

Do not compare a per-location subscription with a platform quote until you know what each includes. Ask every shortlisted vendor for the same network assumptions: number of locations, users, brands, regions, sales channels, and integrations, plus your expected rollout and support needs.

Request recurring and one-time charges separately. The quote should make clear whether pricing depends on locations, users, accounts, modules, transactions, or payment volume, and whether implementation, training, hardware, support, integrations, and migration are included or billed separately. Square’s franchise page directs organizations to request pricing based on their needs; FranchiseMS publishes the indicative rates described above. These different disclosures are not enough to rank vendors by price.

Set permissions to match the franchise relationship

Software can enforce the permissions configured in it; it cannot determine whether a pricing policy is lawful or consistent with a franchise agreement. In the United States, the FTC says franchisors commonly control aspects of franchise operations, including what goods or services may be sold and some sales practices, and notes that these controls can limit a franchisee’s business judgment. The FTC’s Franchise Rule requires disclosure documents with 23 specific information items for prospective buyers. These sources are U.S.-specific; they do not determine whether a particular price mandate is valid under your agreement or in another jurisdiction.
