The right supplier is the one that can meet the documented requirements and delivery plan at an acceptable total cost—not necessarily the one with the lowest unit price.
1. Define exactly what the project needs
Before requesting quotes, prepare one bill of materials or schedule of requirements and send the same version to every supplier. This makes the offers comparable and gives you a basis for checking what arrives.
Include the details that apply to your plans and contract:
- Species or acceptable equivalents, dimensions, quantities, and required grades.
- Required treatment and any specified moisture condition or exposure rating.
- Engineered-wood products and their required designations.
- Delivery dates or sequence, plus any required sourcing or chain-of-custody documents.
Ask suppliers to identify exceptions and proposed substitutions in writing. A quote that silently changes a grade, dimension, treatment, or product designation is not a like-for-like offer.

2. Check product quality and supporting evidence
Ask which grading agency and grades will apply, and how the delivered material will be marked or documented. Compare the marks and documents with the project requirements; a quality mark applies only to the product and assurance scope it identifies, not automatically to everything sold by the merchant.
For engineered wood, confirm that the specific product offered has the applicable mark or supporting evaluation documentation for the intended use. APA says its trademark represents independent, third-party quality verification for products in its program (APA – The Engineered Wood Association, For Builders). APA also maintains a certified manufacturer directory; its certification information should be matched to the specific product rather than treated as blanket approval of a supplier’s inventory.

Keep the quote mapped to the bill of materials and retain product documents, photos of marks where useful, and receiving records. If moisture condition is specified, ask what condition is being quoted and how it will be documented at shipment. A moisture meter may be useful for some receiving checks, but the cited guidance does not require one for every delivery or endorse a particular model.
3. Compare the full delivered cost and terms
Compare the total cost of getting the specified material to the job, not just a per-piece or per-foot figure. Ask for an itemized written quote showing products, quantities, delivery charges, minimums, payment terms, quote date, and validity period. Make proposed substitutions visible as separate line items or exceptions.

Prices and stock vary by supplier and location, and no current market price or general lead time is established here. Obtain dated quotes for your project and check whether the quoted availability is confirmed stock, an order-in item, or an estimate.
4. Confirm delivery, unloading, and storage arrangements
Delivery capability is part of supplier fit. Confirm the dates the supplier can commit to, delivery windows, vehicle access, unloading equipment, drop location, and who is responsible for safe offloading. Agree how the supplier will notify you of a delay or shortage and how material will be protected before delivery.

APA’s builder guidance recommends coordinating delivery timing to reduce jobsite storage. It also says glulam wrapping should be removed after installation in an enclosed space so the member can stabilize naturally during construction (APA builder tips). Follow the product-specific handling instructions and project requirements rather than assuming all lumber should be stored or unwrapped the same way.
5. Put shortage, damage, and substitution procedures in writing
Before accepting a quote, ask how the supplier handles material that arrives short, damaged, incorrectly graded, or different from what was ordered. Clarify how quickly issues must be reported, what evidence is needed, who pays related costs, and whether replacement or another remedy is available. Inspect deliveries against the order and document discrepancies promptly.

There is no universal lumber-merchant claims or returns policy established by the available guidance. The governing terms are the ones agreed with that supplier and applicable to your project, so retain the quote, contract terms, delivery records, and communications.

Sourcing and chain-of-custody requirements depend on the project and jurisdiction. For UK public procurement under the Timber Procurement Policy, the Timber Procurement Advice Note, 7th edition, updated 26 November 2025, describes evidence of legal and sustainable origin and checks that claims carry through to delivery records. It identifies FSC-, PEFC-, and Grown in Britain-certified products as Category A evidence under that policy and explains how other evidence may be assessed.
Under that UK policy, check that a certificate is valid for the supply period, that the supplier is the certificate holder or can provide acceptable evidence for a broken chain, and that invoices or delivery notes identify the claimed certified product. A supplier certificate by itself does not establish that the particular product delivered is the product promised. These are UK policy details; elsewhere, follow the applicable law, owner requirements, and contract specification.

Questions to ask before accepting a quote
- Can you quote this exact bill of materials and list every exception or proposed substitution?
- Which grades and grading agency will apply, and how will the material be marked or documented?
- Which items are physically available, which must be ordered, and what delivery dates can you commit to?
- What delivery equipment, unloading, and placement services are included?
- What protection and handling instructions apply before and after delivery?
- How should shortages, damage, incorrect material, and replacement requests be documented and reported?
- If required, can you provide current certificate details and product-specific chain-of-custody evidence?
- What are the quote validity, payment, delivery, cancellation, and substitution terms?
