To claim an Indian GST refund, file the refund application for the relevant category through the official GST Portal, save the ARN receipt, and track the application under Services > Refunds > Track Application Status. Use the GST Portal to follow tax-officer processing; use the Public Financial Management System (PFMS) separately to check bank validation and payment disbursal. A sanctioned claim or payment order does not by itself confirm that the money has reached your bank.
Before filing: identify the refund category
GST refund applications are not a single universal form with identical supporting documents. The applicable eligibility rules, fields and evidence depend on the reason for the refund. Select the category that fits your circumstances and follow the current instructions shown on the official GST Portal for that category; do not assume another category’s annexures or requirements will apply.
Because the category-specific requirements differ, this guide focuses on the common online workflow and tracking rather than prescribing a document checklist that may not fit your claim.
File the application and keep its ARN
Use the GST Portal’s refund service to prepare and submit the application for your category, supplying the details and supporting material requested there. After filing, retain the acknowledgement reference number (ARN) and download or save the receipt. The ARN is one of the identifiers used to track the application.

If you need to reopen an application or retrieve its receipt, GSTN guidance describes the route as Services > Refunds > My Saved/Filed Applications. Submitted applications and saved drafts can be accessed there; click the ARN link to download the receipt for a filed application. Portal labels can change, so follow the current interface if it differs.
Track the application on the GST Portal
- Sign in to the official GST Portal and open Services > Refunds > Track Application Status.
- Select the filing year or enter the ARN, then search.
- Review the application tracking information to see the processing stage and whether action is pending with the tax officer or taxpayer.
The GST Portal tracks the application-processing side of the refund. Its status should not be read as proof that a bank transfer has completed. GSTN’s 2022 functionality update describes possible RFD-06 outcomes as refund sanctioned, partially sanctioned or rejected, and says tracking details include the transmission date and time. These are examples from that update; check the current portal for the labels and details displayed on your case.

Check bank validation and payment in PFMS
PFMS is the separate system to check bank-account validation and payment disbursal. GSTN and the Controller General of Accounts describe two validation stages: after the refund application is filed in RFD-01, and again after the officer issues the RFD-05 payment order. A payment order and final bank credit are different milestones.

Validation after filing RFD-01
For a validation check after filing, the GSTN advisory says to choose GST Registered in PFMS, enter the GSTIN or account number, and view the report.

Validation after the RFD-05 payment order
For the later validation stage, choose GST Successfully Processed. If the record is not shown there, the advisory says to check GST Under Process for validation errors.
After successful validation, further processing may include DDO/PAO approval, online scroll generation and submission to the bank for final disbursal. Check PFMS for those payment-side stages rather than treating the GST Portal’s application status as confirmation of receipt.

What to do if validation fails or the status stalls
Incorrect bank details
GSTN’s advisory says that when incorrect account details cause a validation failure, the taxpayer must update the bank account in the refund application and the officer must re-issue RFD-05. Check the relevant PFMS lookup to establish that the issue is a validation failure before pursuing this correction.
Technical file-exchange error
The advisory distinguishes incorrect details from technical file-exchange errors. In the latter case, the GST System may correct the issue and send the record to PFMS for revalidation. Check the status again rather than assuming the same corrective action applies to both types of failure.

A sanction or payment order is not the final disbursal. Check PFMS for validation and payment progress, including whether the record has moved through the subsequent approval and bank-submission stages. The official material cited here does not establish a universal processing time, so it would be misleading to promise a number of days.
Can you track a refund without logging in?
A historical GSTN functionality notice describes a pre-login route: select Refund and enter the ARN to view stages and the current status. Because that notice is historical, use this option only if it is still available on the live GST Portal. The sign-in route under Services > Refunds > Track Application Status remains the documented tracking path.
