A job letter of intent should quickly explain the opportunity you want, why this employer interests you, and what relevant evidence shows you could contribute. First check the employer’s instructions: “letter of intent” may mean an application letter for a posted vacancy, or an unsolicited letter introducing your interest in an organization. The terms overlap with “cover letter” and “letter of interest,” so follow the wording and process in the specific posting.
What is a letter of intent for a job?
Employers and career services do not use the term consistently. Indeed distinguishes a general letter expressing interest in an employer from a cover letter submitted for a particular advertised job. The University of Victoria describes an unsolicited approach as a “letter of interest” or prospecting letter, while the University of Pennsylvania notes that cover letters are sometimes called letters of intent or letters of interest. Check the vacancy or application instructions rather than assuming the name alone tells you what to send.
In practice, the distinction that matters is whether you are responding to a named vacancy or contacting an employer without a matching opening. The content and closing should fit that situation.

For a posted job, use the exact title from the posting and follow its requested submission channel, document name, length, and attachment rules. For an unposted opportunity, be clear that you are making an introduction, not responding to an announced vacancy.

What to include in a letter of intent
- Contact details or an email subject. For a document, use professional contact details consistent with your resume. For email, make the subject specific—for example, “Interest in the [team or field] at [organization].”
- A suitable greeting. Address the hiring manager by name if you know it. Otherwise, use a relevant team or hiring-manager greeting; do not guess a person’s name.
- A direct opening. State the role you are applying for, or the kind of opportunity you hope to discuss. Explain briefly why this employer, team, or position interests you.
- One or two relevant examples. Choose evidence from work, study, volunteering, or projects. Say what you did and what contribution or result followed, then connect it to the employer’s needs. Add a measurable result only if you can substantiate it.
- A specific employer connection. Give a truthful reason for your interest, grounded in the organization’s work or the position. Generic praise that could be sent unchanged to any employer is weak evidence of fit.
- A clear close. Thank the reader and say you would welcome a conversation or next step. For an application, mention or attach materials only as the employer’s process requests.
Use the body to explain the significance of your experience rather than pasting resume bullets or listing adjectives. Penn Career Services recommends pairing relevant skills with specific stories and connecting your experience to the role. Monster’s guide also emphasizes company-specific details, accomplishments, and a clear call to action.
How to write one for a posted job
- Read the posting and application instructions. Note the exact role title, relevant requirements, requested documents, submission method, and any length limit.
- Select a small number of relevant requirements. Identify the skills or knowledge the employer emphasizes. For each one you choose, prepare a specific example that shows it in practice.
- Connect the evidence to the role. Explain what you did and how it relates to the stated requirement. Avoid simply repeating the job-ad wording or claiming a skill without supporting it.
- Follow the requested process. Submit the letter through the stated channel, use the requested document name and format, and include only the attachments requested.
Penn Career Services advises identifying employer keywords and pairing them with a specific example. The South African Department of Employment and Labour’s application-letter guidance similarly recommends naming the position and matching qualifications and experience to it. These are useful approaches, but the employer’s own instructions take precedence.

How to write a letter of intent when no job is posted
A prospecting letter can introduce you to an employer or team before a suitable opening is advertised. Name the area of work you are seeking, explain why this organization is a considered choice, and briefly show what relevant experience or contribution you could bring. Close by inviting contact about a suitable or future opportunity. Do not write as if a vacancy exists unless the organization has announced one.
Indeed and the University of Victoria describe this unsolicited, employer-focused use of a letter of intent or interest. Keep the message focused enough that the recipient can understand both why you chose the organization and what kind of work you are looking for.

These brief examples illustrate the difference between applying to a posted position and making an unsolicited introduction. Replace bracketed text with accurate details, and do not claim results or qualifications you cannot support.
Example opening for a posted position
“I am applying for the [exact role title] at [organization]. Length, tone, and final checks
Aim for one focused page unless the employer specifies another format or limit. Penn Career Services and South Africa’s Department of Employment and Labour both offer one-page guidance for application letters; those are practical examples, not a universal rule for every country or employer. Keep the language direct and professional, and make sure every paragraph helps establish your interest or fit.
- Confirm the employer’s name, the role title or team, and the recipient’s name if used.
- Check spelling, punctuation, dates, contact details, and consistency with your resume.
- Verify that every attachment is included and that the submission follows the posting’s instructions.
- Remove generic statements, unsupported claims, and details that do not help explain your fit.
Templates can help with organization, but do not send one unchanged. Replace every placeholder and tailor the employer, role or team, and evidence. Penn Career Services warns that generic form cover letters can be recognizable and may indicate a lack of interest.
Getting feedback on a draft
A career service may be able to review your letter. The University of Victoria invites readers to consult its Co-op and Career staff; access and eligibility depend on the reader’s institution and circumstances.
