Neither is automatically the better-value or more secure choice: compare the editions, services, controls, and migration requirements you would actually pay for and use.
What are you comparing?
“Gmail” in this decision usually means Gmail included with Google Workspace, not a free personal Gmail account. Workspace combines email with other Google services, and features vary by edition and administrator settings. Microsoft Exchange Online is hosted email available as a standalone subscription or within some Microsoft 365 bundles. Those are different kinds of packages, so comparing only the mailbox price can give a misleading result.
Google describes an integrated Gmail experience that can include email, direct messages, Spaces, and audio or video meetings, with file sharing and shared tasks in Spaces. Administrators control whether some features are available to users. See Google’s overview of the integrated Gmail experience.
How do the options differ in everyday work?
Google Workspace: collaboration inside Gmail
Workspace may suit teams that want email alongside Google Chat, Spaces, and Meet in a connected experience. Whether users see and can use particular features depends on their edition and administrator settings; the integration is not a guarantee that every feature is enabled in every account.

Exchange Online: hosted email, standalone or bundled
Exchange Online can be bought as a standalone hosted-email service, while some Microsoft 365 subscriptions include Exchange with other services. It may fit organizations whose email and work routines are already built around Outlook and Exchange. The specific bundle matters: a standalone Exchange plan is not equivalent to a broader Microsoft 365 package.
Neither workflow is inherently more productive. Consider which tools staff already use, which collaboration features they need, and whether a change would simplify or disrupt established routines.

What do Microsoft’s listed Exchange plans cost and include?
Microsoft’s US Exchange Online business-plan listing gives the following standalone plan details. Prices are in US dollars per user per month with annual payment; they are not worldwide prices or a comparison with a similarly priced Google Workspace edition.

These are Microsoft’s plan specifications and US listing, not independent market averages. Check Microsoft’s Exchange Online plans and pricing for current terms in your market. Microsoft Learn also documents limits by subscription; mailbox and archive capacity should be checked against the exact plan rather than treated as one universal Exchange limit: Exchange Online limits by subscription.

A comparable current Google Workspace price is not established here. To compare costs fairly, identify the Workspace edition and Microsoft plan or bundle that meet your needs, then compare the prices and billing terms available in your country. Include services you would otherwise buy separately, and avoid counting bundled services you do not need as a saving.
What should you check before moving from Exchange to Workspace?
A migration is not simply a transfer of messages between two interchangeable mailboxes. Google documents Exchange email migration, with folder hierarchies mapped to Gmail labels, and identifies settings or features that may not transfer. The documented limitations include send-as settings and delegation; calendar behavior also has limits. The outcome depends on your organization’s configuration and the migration method.
Google’s Admin Help says the tool “doesn’t delete or modify existing data in Exchange Online, but some features are not supported in Workspace.” That assurance about existing Exchange data does not mean every setting, workflow, or item will be reproduced in Workspace. Review the Exchange Online migration documentation and the Workspace Migrate Exchange support and limitations before planning a cutover.
Migration checks for an organization
- Mail and folders: Identify mailbox data and folder structures users rely on, and decide how Gmail labels will work for them.
- Shared access: Inventory shared mailboxes, delegation, and send-as settings; do not assume those arrangements will transfer unchanged.
- Calendars: Check recurring events and other calendar behavior against Google’s documented limits.
- Other Exchange data and configuration: Identify archives, public folders, legal holds, and compliance dependencies that matter to your organization, then verify their support in the intended migration path. The cited migration pages do not establish that every such item will transfer.
- Pilot and cutover: Test representative accounts and workflows before scheduling a full migration. Use the results to plan user changes and confirm that required data and access are accounted for.
Google’s documentation says Workspace Migrate for Exchange Online will no longer be available starting October 2026 and points administrators to its advanced data import tool. As October 2026 begins, verify Google’s current instructions and the supported tool before setting a schedule; the documented transition is time-sensitive. How should you compare security and compliance?
Start with the controls your organization must meet, then verify that the specific edition or subscription offers them. Do not infer that the services are equivalent—or that one is categorically more secure—from general security descriptions.
Google says Workspace encrypts data at rest and in transit between its facilities, and that Gmail uses TLS with other email providers. Google’s client-side encryption (CSE) is edition-dependent. It adds encryption to message bodies, inline images, and attachments, but not to headers such as the subject, timestamps, and recipients. Google also describes conditions for administrators and recipients. Review Gmail client-side encryption requirements and coverage if your organization is considering CSE.
Microsoft highlights built-in data loss prevention (DLP) in Exchange Online Plan 2. That plan feature alone does not establish a full comparison of the providers’ security, retention, or eDiscovery capabilities. Confirm the relevant controls, edition eligibility, retention obligations, and data-location requirements directly in current provider documentation before choosing.
Which service is likely to fit your organization?
- Lean toward Workspace if your organization wants Gmail with Google collaboration features and the edition and administrator settings support the workflow you need.
- Lean toward Exchange Online if standalone hosted Exchange or a Microsoft 365 bundle better fits your existing Outlook and Exchange routines, or if a specific plan’s published mailbox and archive capacities meet your requirements.
- Pause before switching if your organization depends on delegation, send-as settings, shared access, calendar behavior, archives, public folders, legal holds, or other configurations whose migration support has not been verified.
Before committing, compare the full package and local price, required storage, security and retention controls, and migration results from a representative pilot. If any required control or workflow remains unverified, resolve that gap before making the change.
