To delete a recorded bank deposit in QuickBooks Online, open its bank account register, select the deposit, choose Edit, then More > Delete. First note the payments included in the deposit, and check whether it has been reconciled: deleting a recorded deposit is different from undoing a downloaded bank-feed item or removing one payment from a deposit. The menu path below is for QuickBooks Online; labels may differ as Intuit updates the interface.
How do I delete a deposit in QuickBooks?
These instructions apply to a recorded bank deposit in QuickBooks Online, not every QuickBooks edition. Intuit documents the deletion route while explaining how to correct a customer name on a payment included in a combined deposit. In that scenario, the deposit is deleted and then rebuilt from its component payments.
- Go to All apps > Accounting > Chart of accounts. If your account shows different labels, use the closest equivalent; interface wording can change.
- Find the bank account where the deposit was recorded.
- In the account’s Action column, select View register.
- Select the deposit and choose Edit.
- Before proceeding, record the payments included in the deposit or print a copy of the full page for reference.
- Choose More > Delete and confirm if prompted.
Intuit’s documented correction workflow is to update the original payment, create a new bank deposit, enter the date, add the original payments—including the corrected payment—and save. That is a specific way to correct a customer-name error in a combined deposit, not a rule that every deposit mistake should be fixed by deleting and recreating the whole transaction. See Intuit’s deposit correction instructions.
Before deleting: check what is wrong and whether it was reconciled
“Deposit” can refer to more than one kind of QuickBooks entry. Identify the object and the intended correction before changing records.
#1 Best Overall
- Recorded deposit in the bank account register: Use the register steps above if this is the transaction you intend to remove.
- Downloaded bank transaction added incorrectly: Use the bank-feed Undo action instead of deleting a recorded deposit; the distinction is explained below.
- One payment included in a deposit: You may only need to remove that payment from the deposit, rather than delete the full deposit.
- Possible duplicate: Compare the QuickBooks entries with the bank statement to determine whether the bank transaction itself was posted twice or whether only the books contain a duplicate.
Also establish whether the deposit has been reconciled. Intuit warns that removing a cleared transaction changes the beginning balance for the next reconciliation. Before changing a reconciled transaction, Intuit’s support guidance says: “If you already reconciled the transaction you want to unmatch or change, reach out to your accountant for advice.” Read Intuit’s reconciliation guidance and its advice on reconciled bank transactions.
Delete, void, or undo: choose the action that matches the record
| Action | Use it for | What happens |
|---|---|---|
| Delete | A recorded transaction, such as a bank deposit, that should be removed. | It disappears from ordinary records but remains in the audit log. Intuit says the transaction number does not change; the audit log can be used to re-enter a deleted transaction. |
| Void | A transaction that should remain visible in the records but no longer carry value. | The transaction stays in the records with a zero value and does not affect totals. |
| Undo | A downloaded bank-feed transaction that QuickBooks added or processed incorrectly. | QuickBooks resets the transaction it tried to create and returns the bank-feed item to Pending so it can be categorized again. |
Deletion and voiding are not interchangeable. Choose based on whether the record should disappear from ordinary transaction lists or remain there as a zero-value entry. Intuit explains the difference between voiding and deleting.

How do I undo a deposit in QuickBooks Online?
If you mean a downloaded bank-feed transaction that QuickBooks added incorrectly—not a recorded deposit in the register—open All apps > Accounting > Bank transactions. Open the relevant account’s Posted tab, find the transaction, and select Undo. It returns to Pending for review and recategorization; it does not delete the recorded bank deposit.
If the downloaded bank-feed deposit was added as new income even though the customer payment was already recorded, Intuit’s duplicate guidance says to undo the added deposit and match the bank-feed transaction to the existing payment. Confirm what appears in QuickBooks against the bank statement before treating an entry as a duplicate. See Intuit’s bank-feed instructions and its guidance on duplicate transactions.

How do I remove one payment from a bank deposit?
If the deposit itself is correct but one customer payment should not be included, Intuit documents a separate correction: open the payment using its blue date link, uncheck the payment in the deposit, and save. The payment returns to Undeposited Funds. This changes which payment is included; it is not the same as deleting the entire deposit. See Intuit’s instructions for payments in the Bank Deposit window.

Pause before deleting or otherwise changing a reconciled transaction if you are unsure of the accounting effect. Intuit says removing a cleared transaction changes the beginning balance for the next reconciliation, and recommends confirming that the transaction is actually the source of the discrepancy before changing it. Its separate instructions for removing a single transaction from a reconciliation describe changing the register status from reconciled to cleared to blank, then saving. That is a reconciliation-status adjustment—not a general instruction to delete a deposit.
When the transaction was already reconciled, consult your accountant before changing or unmatching it if you need advice on the accounting consequences. Review Intuit’s steps and cautions for reconciliation changes.
