The Best IT Management Tools: How to Choose by Job

IT management software covers several different jobs. Compare service desk, endpoint, asset, and monitoring tools by the workflows and systems your organization needs.

There is no single best IT management tool for every organization: service-desk software, endpoint management, asset management, and infrastructure monitoring solve different problems. Start with the workflow you need to improve, then shortlist products that fit your devices, integrations, and operating model. Microsoft Intune, ServiceNow, and ManageEngine are useful examples of products and product families in this market—not an independently tested ranking.

First, identify the kind of IT management you need

“IT management tool” is an umbrella term. A ticketing platform will not automatically manage device policies; an endpoint manager is not necessarily a full asset-lifecycle system; and an infrastructure monitor does not replace a service desk. Some vendors offer products across several categories, but that does not mean every function is included in one product or edition.

These examples reflect the vendors’ official product descriptions and catalogs. They are not evidence that one product performs better than another. Treat each named product as a starting point for evaluating the specific module and edition you would use.

Which tools fit each job?

For managing devices and work apps: Microsoft Intune

Microsoft describes Intune as a cloud-based service for managing devices and apps. Its documented functions include device enrollment, configuration, endpoint security, app deployment and protection, and keeping devices current. Microsoft lists support for Android, iOS/iPadOS, Linux, macOS, tvOS, visionOS, and Windows. That list is a starting point, not a guarantee that every feature works with every device or operating-system edition; verify the exact capabilities your fleet requires.

Intune supports two distinct approaches that matter when employees use personal devices:

  • Mobile device management (MDM): enroll and manage the device as a whole. This is generally the relevant model for organization-owned devices that IT needs to configure and control.
  • Mobile application management (MAM): manage work apps and their data without managing the entire personal device. This can suit bring-your-own-device (BYOD) situations where the organization needs to protect work information without taking control of personal content.

MDM and MAM can be used independently or together. Microsoft also says Intune depends on Microsoft Entra ID for identity, groups, and Conditional Access signals, so account and access-management requirements belong in the evaluation as well as device support.

Advanced Intune capabilities may be available through Microsoft 365 plans, Intune Suite, or standalone subscriptions. Microsoft’s documentation also mentions a 30-day trial. Plan contents and availability can change, so check the current licensing details for your country rather than assuming a particular feature or trial is included in a given plan.

For connected service workflows and asset lifecycles: ServiceNow

ServiceNow describes its ITSM offering as connecting incident, problem, change, and request management on its AI Platform. Its ITAM offering covers hardware, software, and cloud-asset lifecycles and describes connections with procurement, contracts, the CMDB, and service operations.

That combination makes ServiceNow an example to consider when an organization wants service workflows and asset records connected on a platform. The vendor descriptions do not establish that it is easier to run, less expensive, or a better fit than alternatives. Check the implementation, integrations, administration demands, and specific licensed products against your requirements.

For a broader product catalog: ManageEngine

ManageEngine’s catalog spans service management, IT asset management, endpoint management and security, IT operations and observability, and products aimed at managed service providers (MSPs). Named offerings include ServiceDesk Plus, AssetExplorer, Endpoint Central, patching products, and monitoring tools.

This breadth can make the catalog worth exploring if you are comparing several IT functions, but a vendor catalog is not one all-inclusive product. Confirm which individual product, edition, and modules deliver each required capability, and whether they integrate as you expect.

Compare candidates against your environment

Once you know the primary job, use these checks to rule out tools that do not fit. A product that covers many categories may still be the wrong choice if it misses a mandatory operating system, integration, or deployment constraint.

  • Primary job: Decide whether you need ITSM, endpoint/UEM, ITAM/software asset management, monitoring and observability, identity or security tooling, or a deliberate combination.
  • Environment: Inventory operating systems, mobile and BYOD use, cloud and on-premises requirements, and whether managed devices can reliably reach the service.
  • Workflow and integrations: Identify requirements for your identity provider, device inventory, CMDB or asset records, ticketing, security tools, APIs, and existing platform investments.
  • Controls: Check compliance reporting, role separation, device and app policies, data handling, auditability, and remote-support needs.
  • Operating model: Determine whether the system is for one internal IT team or an MSP, and assess multi-tenancy, automation, reporting, implementation burden, and the skills needed for ongoing administration.
  • Economics: Compare the pricing basis—such as users, devices, or assets—and include editions, add-ons, implementation, migration, training, and administration. The available product descriptions do not establish a like-for-like price comparison.

A practical way to make the shortlist

  1. Write down your three highest-priority workflows. Be specific—for example, handling incidents, protecting work data on personal phones, or tracking hardware from purchase through retirement.
  2. Count and classify what you manage. Record users, device types and operating systems, assets, locations, and any BYOD or MSP requirements that affect access and administration.
  3. List mandatory integrations and deployment constraints. Separate requirements that a product must meet from features that would merely be useful.
  4. Eliminate candidates that fail a mandatory check. Verify support for the actual operating-system versions, devices, product editions, and capabilities in scope—not just a vendor’s broad platform list.
  5. Trial representative workflows with realistic data. Evaluate both whether the workflow works and how much effort it takes to configure, operate, report on, and maintain.

What can—and cannot—be concluded from the available product information

The official descriptions establish that these vendors offer products across distinct IT-management categories and describe the capabilities each vendor says its products provide. They do not establish an independent performance ranking, a complete market-wide shortlist, or comparable current prices. Use them to identify candidates, then confirm fit and licensing directly for the deployment you are planning.
