Do not treat a Bitcoin payment as settled just because it appears in a wallet or checkout dashboard. A broadcast transaction is still unconfirmed and can be contested by another transaction spending the same inputs. Set confirmation rules according to the potential loss and whether you can reverse or recover delivery; for costly, irreversible fulfillment, wait for confirmations—six is the cited minimum recommendation for high-value transfers, not a guarantee of finality.
Why an unconfirmed Bitcoin payment can be reversed
Before a transaction is included in a block, the payer can broadcast a conflicting transaction that spends the same inputs elsewhere. Only one conflicting version can ultimately be confirmed. Because transactions propagate asynchronously, different network participants may see them in different orders. Bitcoin Core puts it plainly: “Bitcoin transactions are relayed across an asynchronous distributed system where there is no such thing as a globally consistent ‘first’.” (Bitcoin Core’s Opt-in RBF FAQ.)
This is why seeing a payment first does not prove that it will confirm. Nor does a wallet’s indication that a transaction is non-replaceable: a node may simply not have seen a conflicting transaction yet. RBF is not the source of the underlying risk; conflicting unconfirmed spends and incomplete network visibility are.
Set a confirmation threshold that matches the sale
A confirmation means the transaction has been included in a block. More confirmations reduce the risk of a reversal, but no confirmation count should be presented as absolute finality. Bitcoin.org recommends six confirmations as the minimum for high-value transfers; the Bitcoin Developer Guide likewise advises at least six for high-value or otherwise fraud-exposed payments when waiting is not possible.

Choose the threshold using two factors: the amount you could lose and how reversible or recoverable fulfillment is. A low-cost digital entitlement that you can revoke presents a different exposure from an expensive shipment or an irreversible service. The sources do not establish a universal dollar cutoff, so set one using your own margins, loss tolerance, and ability to recover goods or access.
Account for confirmation delays without promising a deadline
Bitcoin.org says blocks are added approximately every 10 minutes on average. That is an average, not a service-level guarantee: a confirmation may arrive sooner or much later, and there is no guaranteed minimum or maximum delay. A transaction with an insufficiently competitive fee can take longer to confirm. Build this uncertainty into checkout messaging and staff procedures rather than promising that payment will clear within a fixed number of minutes. (Bitcoin.org: Some things you need to know.)

Build controls into checkout and fulfillment
1. Separate “observed” from “accepted”
Use distinct internal states such as broadcast or pending, confirmed, and settled under your processor’s definitions. Check what a dashboard label means before allowing it to trigger fulfillment. BitPay warns that fulfilling an invoice marked “Paid” while its payment remains unconfirmed can expose a merchant to double-spend risk. 2. Gate delivery by loss exposure
Require the confirmation threshold you have chosen before releasing expensive goods or providing an irreversible service. If you choose to accept zero-confirmation payments, document the loss you are willing to absorb and define which transactions or customers require escalation. The Bitcoin Developer Guide describes manual high-risk flags and a safe mode that pauses automatic acceptance.

3. Watch for conflicting spends, but treat alerts as signals
A node or monitoring service can compare unconfirmed transactions reported by multiple peers and flag spends of the same unspent transaction output (UTXO). If a conflict is reported, hold fulfillment pending confirmation or review. Monitoring is not proof that a payment is safe: one node sees only part of network activity, and an unseen conflict can appear later. Third-party APIs may provide conflict monitoring, but an alerting service cannot guarantee that every double spend will be detected. 4. Make urgent fulfillment recoverable where possible
If waiting is commercially impractical, prefer delivery you can pause, revoke, or recover: for example, a software license that can be disabled or a shipment that can be held before dispatch. BitPay describes recoverable fulfillment and transaction risk scoring as ways to offset exposure, not eliminate it. Decide in advance what staff should do if a risk score or conflict alert appears.

5. Define a safe mode
Pause automatic fulfillment and route transactions for manual review when a payment is disputed, multiple peers report conflicts, or the chain appears abnormal. A safe-mode rule should identify who can pause acceptance, how pending orders are handled, and what confirmation or review is needed to resume.

What not to rely on
- A wallet notification or dashboard label alone: it may show that a transaction was broadcast, not that it was confirmed.
- Being first to see a transaction: there is no globally consistent first-seen order across the network.
- A non-RBF indicator: it does not establish that no conflicting transaction exists or will be seen by your node.
- A transaction score or monitoring service as a guarantee: these can help identify risk but cannot make zero-confirmation acceptance risk-free.
- A fixed confirmation-time promise or an assumed fraud percentage: block timing is probabilistic, and the cited guidance does not establish a current merchant fraud-rate statistic.
