Keep receipts, payroll, bills and records moving by confirming the bank’s dates and instructions, mapping every account-related transaction, updating the people and services that use your banking details, and keeping the old account open until its activity has cleared. A bank merger and a voluntary switch can require different actions, so first establish exactly what is changing and when.
First, find out what kind of change is happening
A bank acquisition, a system conversion, a branch change and a business-initiated move are not interchangeable. The bank’s instructions—and whether your account number, routing details, services or agreements will change—depend on the event and your account. Ask your bank for written, account-specific details rather than assuming that a merger will automatically move every service without interruption.
Request the effective date, any new account or routing information, instructions for each affected service, expected downtime, and a contact for exceptions. Also confirm whether you need to take action or whether the bank will migrate particular services for you.
The FDIC’s guidance on a bank branch relocating or closing explains that account terms and services can be affected by a merger. Your bank’s notice and agreements determine what applies to your business.

Make a complete inventory of money in and out
List every transaction, payment instruction and connection that relies on the old account. For each item, record the person responsible, the action needed, the due date, and how you will verify the change. Include items that happen infrequently, not just the transactions visible in a typical month.
- Money coming in: customer ACH and wire payments, card settlements, e-commerce payouts, and deposits from clients.
- Payroll and taxes: employee pay, payroll taxes, and other tax-payment workflows.
- Regular business bills: vendors, rent, utilities, insurance, and loan payments.
- Account activity: automatic debits, scheduled transfers, online bill pay, checks, debit cards, and withdrawals.
- Connected tools: accounting software, payroll services, payment processors, e-commerce platforms, and bank feeds.
For a practical tracker, note the counterparty or service, the old instruction, the new instruction, who owns the update, when it was submitted, and whether a successful transaction has confirmed it. That last check matters: changing a saved bank detail is not the same as confirming that a payment reached the right account.
Prepare the destination account and access
Before redirecting cash flow, confirm that the new account is ready for the way your business operates. Check its ownership and authorized signers, user permissions, transaction limits, tokens or other access credentials, statements, and alerts. Make sure the people responsible for payments can access the account and that approval controls still match your company’s processes.
If you are choosing a new bank, compare the services your business actually uses—not just a headline rate or introductory offer. The FDIC recommends weighing the benefits and costs of moving accounts, and Chase’s business switching guidance identifies fees, rates, features, service and digital tools as comparison factors.

Update deposits, payments and connected services
Once the destination is ready, give the correct account details to each person or service that sends money to or withdraws money from the account. Follow the receiving organization’s process and ask when its change will take effect; payment instructions may not update immediately.
Redirect money coming in
Update customer payment instructions for ACH and wires, card processors, e-commerce payout settings, and any clients who pay by deposit. Confirm which account will receive settlements during the transition and check the first deposits after the change.
Redirect money going out
Update payroll and tax-payment workflows, vendor payment details, rent, utilities, insurance, loan payments and other automatic debits. Review scheduled transfers and online bill pay separately: they may be instructions held by the bank rather than by the counterparty.

Reconnect the tools that rely on the account
Update the banking information in accounting software, payroll services, payment processors and other third-party tools. If your accounting software imports transactions automatically, verify that the new feed is connected and that imported entries are appearing in the correct account.
Chase specifically calls out accounting software, payment processors, payroll, vendors and customers who pay through deposits in its business account-switching guidance. The FDIC also notes that automatic payments may need updated account information after a bank change.
Keep an overlap period and watch both accounts
Where the bank allows it, keep both accounts available while payments and services move. Leave enough money in the old account to cover outstanding checks, card activity, automatic payments, withdrawals and any other transactions that have not posted. Monitor transactions and statements on both accounts as changes take effect.
Set a reminder to check each flow you updated, especially payments with a long processing or setup time. If a payment is rejected, delayed or sent to the wrong account, contact the counterparty and the bank promptly; use the bank’s instructions for correcting the specific transaction.

The FDIC advises keeping an old account open until checks, card payments, withdrawals and other transactions have posted. Chase also recommends transferring remaining funds after transactions and services have moved. See the FDIC’s account-moving guidance and Chase’s business switching guidance.
Close the old account only after reconciliation
Before closing an account you are leaving, check for outstanding checks, pending card settlements, returns, refunds, transfers, fees and scheduled debits. Confirm that expected transactions have cleared and that the services using the account have been moved. Then transfer any remaining funds and download statements and transaction history for your records.
If the account is closed, securely retire old checks and cards so they are not used by mistake. Do not close an account simply because the new account is open: an uncleared payment or forgotten debit can disrupt cash flow.

A bank acquisition does not automatically mean your loan has been rewritten. The FDIC says acquired loans remain subject to their loan contracts. Deposit-account terms may change when the contract permits it and required notice is given. A failed-bank acquisition can involve a new deposit contract, so read the notice and confirm with the bank which agreement governs your account.

Review notices for changes to deposit terms, loan servicing, payment addresses, treasury products and wire instructions. Verify new payment details through a trusted bank contact before sending money, particularly when instructions arrive unexpectedly.
The FDIC says deposits transferred after a merger are insured separately from deposits already held at the assuming bank for at least six months, subject to ownership-category rules. That general rule is not a determination of your company’s coverage: the result depends on the accounts and ownership categories involved. Ask the bank or the FDIC to assess your specific balances. Keep clean business records through the transition
Keep statements, transaction histories, bank notices, payment confirmations and records of the account changes together for your accountant or bookkeeper. Reconcile the old and new accounts across the transition so that deposits, fees, transfers and outstanding payments are recorded in the correct period and account.
The FDIC notes that a separate business checking account can make tax-time recordkeeping easier. Its business deposit guidance covers business deposit needs and commercial-account protections: Your Business, Your Deposits. Retaining transition records also gives your bookkeeper a clear trail when a payment appears on an unexpected statement.
