How to Build a Marketing Plan for a Managed Service Provider

A practical MSP marketing plan starts with business outcomes, then connects a focused audience and clear service offer to channels, owners, budget, and measurable tests.

A useful MSP marketing plan connects a business goal to a specific audience, a clear service offer, a manageable set of channels, a budget, and measures that show whether the work is producing qualified opportunities. Build it in that order, then test and refine it; no single channel ranking or marketing-spend percentage is established as right for every provider.

1. Set the business outcome before choosing tactics

Decide what the plan needs to accomplish and over what period. The priority might be winning new recurring-service accounts, expanding existing client relationships, improving retention, or building demand for a particular service line. These objectives lead to different audiences, offers, and measures.

Translate the business priority into a measurable marketing objective. For example, instead of “do more marketing,” specify a target number of qualified opportunities from a named market or a target number of discovery conversations for a service during the plan period. Choose measures that fit your sales process; the available guidance does not establish a universal MSP conversion benchmark.

Barracuda recommends documenting objectives, tactics, and key metrics in a 12-month plan. Treat that as a planning framework, not a guarantee that every MSP needs the same duration or targets. Set a budget from your commercial goals, delivery and follow-up capacity, and the actual costs of the activities you select; the cited guidance does not support a universal marketing-budget percentage.

2. Choose a market you can serve well and an offer buyers understand

Define the organizations most likely to benefit from your capabilities and that your team can serve reliably. Useful filters may include industry, organization size, location, technology environment, or a specific business situation. A specialist focus can help make the message concrete, but there is no single vertical that every MSP should target.

Describe the offer in terms of the customer’s business problem and result, not only the technical components. For example, explain how a service helps reduce disruption, support a distributed workforce, or manage security responsibilities—provided those claims accurately reflect what you deliver. MSP-focused guidance recommends identifying target customers, differentiating the provider, and connecting technical expertise to customer outcomes.

Make sure the promise matches delivery. A campaign that attracts organizations outside your service geography, support model, or technical capacity can create activity without producing viable accounts.

3. Audit the website and customer path

Your website is often where prospects check whether your message, services, and next step make sense. Before paying to drive traffic, review whether the site supports the audience and offer you chose. Barracuda’s planning checklist recommends a critical website review, clear service content, and an SEO evaluation; Cloud Secure Tech places website and search early in its recommended channel sequence. Those are planning recommendations, not proof that one channel order works for every MSP.

  • Service clarity: Can a prospective customer quickly understand what is included, who the service is for, and what problem it addresses?
  • Evidence and differentiation: Does the site explain what sets the MSP apart without relying on vague claims?
  • Next step: Is there a clear way to ask a question, book a conversation, or request an assessment?
  • Search and content: Do pages address the language and questions of the chosen audience, and are important service pages easy to find?
  • Follow-up: Is someone responsible for responding to enquiries and recording their source and outcome?

Fix material gaps before launching campaigns that depend on the site. Otherwise, a campaign may generate visits without giving a suitable prospect a clear reason or route to engage.

4. Select channels for audience fit and team capacity

Potential tactics in the sources include search visibility, educational content, email, reviews and directories, paid promotion, referrals, social media, local events, and vendor or distributor programs. Choose a small set your team can execute consistently and measure against the objective. Compare options by audience fit, cost, effort, time horizon, ability to track qualified opportunities, and whether the work builds an owned audience or depends on paid exposure. The sources do not provide comparable cost or conversion data, so a universal “best channel” order would overstate the evidence.

Channel When it may fit Planning consideration
Website, search, and educational content When prospects research problems or compare providers before contacting sales. Requires useful service pages and sustained content or search work; track relevant enquiries and opportunities, not just traffic.
Email When you have an appropriate contact list and a relevant reason to stay in touch. Plan who receives each message, what useful offer or information it contains, and how replies or resulting conversations are handled.
Reviews and directories When prospects use reputation and local or industry listings to assess providers. Keep listings accurate and assign responsibility for requesting and responding to reviews.
Paid promotion When the target audience and offer are clear and there is capacity to respond to leads. Set a defined test budget and success measure; paid visibility alone does not establish lead quality or profitability.
Referrals and social media When existing relationships or relevant professional communities can introduce the offer to suitable buyers. Specify the intended audience and follow-up process rather than measuring only posts or introductions.
Events When target buyers attend relevant local or industry gatherings and the MSP can follow up afterward. Include attendance or sponsorship costs, staffing, lead capture, and post-event follow-up in the plan.
Vendor or distributor activity When the MSP’s channel relationships and target customers align with partner opportunities. Check what co-marketing or sales support is actually available and whether the program fits the provider’s region and strategy.

The Channel Company reported in 2025 that almost 90% of partners said face-to-face events were very important to their marketing strategy. Its State of Partner Marketing study, conducted by IPED, drew on an online survey of 151 solution providers and researcher interviews; the reported sentiment is not established as MSP-only, and it does not show that events outperform digital channels for a particular provider.

Local activity may be useful for an MSP whose buyers and delivery footprint are local. A 2020 industry article also recommends checking distributor and vendor support. Cisco’s report, using Canalys data, says channel partners delivered US$122 billion in managed IT services in EMEA in 2022, with EMEA managed IT services revenue up 14% that year. Those are historical, regional figures—not a current global market size or a forecast—and do not establish the likely return from any provider’s partner activity.

5. Assign owners, costs, and dates

Turn the selected tactics into an execution calendar. For each activity, record the intended audience, offer or content asset, owner, expected cost, launch date, follow-up responsibility, and measure. Include the work needed to convert interest into a sales conversation; publishing or sponsoring an activity without follow-up is not a complete campaign.

Plan item What to record
Audience and objective Who the activity is for and which business or marketing objective it supports.
Offer or asset The service, information, event, or next step being presented.
Owner and follow-up Who prepares and runs the activity, responds to interest, and updates the outcome record.
Cost and timing Expected spend and staff effort, start or launch date, and any dependencies.
Measure The activity signal and the business outcome used to judge progress.

A 12-month view can make seasonal activity and longer-term work visible, while quarterly review points are a practical way to check whether the plan still fits. Match the calendar to the team’s real capacity: a few completed, followed-up campaigns are more useful than a long list of tactics no one can maintain.

6. Test, measure, and refine

Start with a bounded campaign rather than assuming a tactic will work because it is popular or because competitors use it. Barracuda’s checklist recommends testing an initial campaign, evaluating results, and fine-tuning. Decide in advance what evidence would justify continuing, changing, or stopping the activity.

  • Activity measures: Record indicators such as relevant page visits, email responses, event attendance, or enquiries.
  • Sales-quality measures: Track qualified opportunities, discovery conversations, and progression through the MSP’s sales process.
  • Business outcomes: Where timing allows, assess converted recurring contracts, service expansion, retention, or other objective selected at the outset.

Use activity measures to diagnose reach and engagement, but do not treat them as substitutes for business outcomes. Review the results with the people responsible for marketing and sales, identify where prospects disengage, and adjust the audience, message, offer, channel, or follow-up before the next cycle.
