To make paper invoices searchable, scan each invoice into a legible PDF, run optical character recognition (OCR), verify the recognized text against the page image, and file the checked PDF using consistent names and index details. A PDF made from a scan is not necessarily searchable: without OCR, it may contain only a picture of the page.
What makes a scanned invoice searchable?
A scan captures the invoice’s appearance. OCR adds a text layer that lets you search for and select words and numbers. The image and the recognized text work together: the image remains the visual record, while the text layer supports search. Adobe explains the difference between image-only scans and searchable PDFs in its Acrobat scanning instructions and OCR guidance.
OCR does not guarantee that every character is correct. A misread invoice number may make a file hard to find; a misread amount or tax figure can also mislead bookkeeping. Treat recognition as a time-saving aid that still needs review.
Choose a capture method that fits your volume
For a handful of invoices, a phone scanning app or an existing all-in-one printer may be enough if it creates complete, legible PDFs. For recurring batches, a document scanner with an automatic document feeder can reduce page-by-page handling. You do not need to buy a scanner if your current equipment produces files you can inspect and retrieve reliably.

When comparing equipment or a scanning workflow, consider whether it can handle your typical volume, capture both sides when needed, produce clear images, save PDFs to your business repository, and let you verify the result. If invoices contain printing on both sides, confirm duplex capture is enabled and supported. Adobe’s scan workflow describes selecting a connected scanner, adjusting quality, choosing front-side or two-sided capture when supported, creating a PDF or appending pages, and optionally adding metadata.
Prepare and scan the invoices
- Sort and handle the paper. Group invoices into manageable batches and keep each invoice’s pages in order. Remove clips or staples when safe, flatten folded sheets, and set aside fragile or valuable originals rather than risking damage in a feeder.
- Set up the capture. Choose a color mode and quality that keep faint text, stamps, colored marks, and handwriting legible. Use duplex scanning for two-sided invoices if available. There is no single resolution or color setting that suits every invoice.
- Save coherent PDFs. Keep the pages of a multipage invoice together. Avoid combining unrelated invoices in a way that makes it unclear which pages belong to which transaction. Check the saved file before moving on to the next batch.
Apply OCR, then verify the PDF
Run text recognition for the invoice’s language. Depending on the software, OCR may be available during scanning or afterward for one or multiple scanned PDFs. If your file is image-only, open it in OCR-capable software and recognize the relevant pages. Adobe documents both approaches in its scanning instructions and OCR guidance.

After recognition, use this check before filing:
- Open the PDF and search for a supplier name or invoice number you can see on the page.
- Select or copy a passage to confirm the PDF contains searchable text, not just an image.
- Compare every page with the paper invoice to check that pages are present, readable, and oriented correctly.
- Verify the supplier, invoice number, date, totals, tax, currency symbols, and decimal points against the page image. Pay special attention to similar-looking digits and characters.
- If text is missing or wrong, correct it where possible or run recognition again, then repeat the check.
Keep the scanned page image as the visual evidence alongside the searchable text layer. For its covered permanent electronic records, the U.S. National Archives says OCR text must not change the source document’s content or appearance; that is archival guidance for a specific context, not a universal rule for business records. Name and index files so you can find them
Use a consistent filename pattern such as YYYY-MM-DD_supplier_invoice-number.pdf. Decide whether the date means the invoice date or another date, document that convention, and apply it consistently. Use the actual supplier and invoice details; avoid putting sensitive information in filenames if your business practices call for keeping it private.

Where useful, maintain index or metadata fields for supplier, invoice number, date, amount, currency, and accounting category. These are practical retrieval choices, not a filename format required by the IRS. Adobe’s scanning workflow includes an option to add metadata.
Attach the checked PDF to its bookkeeping entry when practical, or otherwise preserve a clear path from the ledger transaction to the source invoice. For specified U.S. electronic-recordkeeping contexts, IRS Revenue Procedure 98-25 addresses transaction-level detail sufficient to identify underlying source documents, audit-trail relationships, and documentation of processes and controls. Its requirements are context-specific; they do not mean that every business must create an electronic copy of every traditional paper document.

Store and back up the records
Keep the master files in a managed business repository, with access limited to people who need it. Maintain backups that remain useful if the primary device or account is unavailable. Periodically check that files open and that you can retrieve a sample invoice using its filename, search terms, or index fields. Choose access, backup, and integrity controls to suit the sensitivity of the records and your business obligations.
Can you discard the paper invoices after scanning?
Do not assume that scanning automatically makes it safe to discard every original. U.S. retention periods depend on the action, expense, or event recorded. The IRS says to keep records as long as needed to substantiate income or deductions; it states a minimum of four years for employment-tax records. Its guidance also says, “You may choose any recordkeeping system suited to your business that clearly shows your income and expenses.” See the IRS pages on recordkeeping and electronic recordkeeping.

Those federal sources do not settle every state, local, industry, contract, litigation-hold, or non-U.S. requirement. Check the rules that apply to your particular records and circumstances before destroying originals.
