What Does a Bookkeeper Do for a Small Business?

A bookkeeper organizes a small business’s financial records, tracks bills and customer payments, reconciles accounts, and may prepare routine reports. Payroll and tax work depend on the agreed scope.

A bookkeeper keeps a small business’s financial records organized and up to date. The work commonly includes recording and classifying transactions, tracking bills and customer payments, reconciling accounts, checking entries, and preparing routine reports. The exact service varies by provider: payroll, tax-return preparation, and tax advice should never be assumed to be included.

What a bookkeeper does day to day

Bookkeeping is the ongoing work of turning business activity into reliable financial records. A bookkeeper may use accounting software, spreadsheets, paper journals, or a mix of methods. Typical tasks include:

  • Recording sales, receipts, purchases, bills, payroll transactions, and other activity.
  • Classifying income and costs into appropriate accounts and keeping transaction summaries.
  • Tracking accounts receivable—the amounts customers owe—and accounts payable—the bills the business owes.
  • Reconciling bank or other account records against the books and investigating differences.
  • Checking entries and reports for completeness and accuracy.
  • Preparing routine reports, such as income statements, balance sheets, or totals by account.

Some bookkeepers also handle billing, purchasing, payroll, or overdue-account follow-up. These are possible responsibilities, not a standard package. The U.S. Bureau of Labor Statistics description of bookkeeping, accounting, and auditing clerks notes that duties vary: some workers maintain an organization’s full books, while others take on specific tasks.

What the records help an owner do

Organized books help an owner see how the business is performing and provide a basis for financial statements and tax preparation. The IRS says good records can help monitor progress, identify income sources, track deductible expenses, prepare tax returns, and support the items reported on them. They do not guarantee lower taxes or business success.

Routine financial reports

An income statement summarizes business income and expenses over a period. A balance sheet shows assets, liabilities, and equity at a particular date. A bookkeeper may prepare these and other account summaries, but the frequency and level of analysis depend on the engagement. The IRS explanation of why businesses should keep records describes how records support statements and tax reporting.

What records a small business should keep

The IRS says a recordkeeping system should summarize transactions and show gross income, deductions, and credits. Supporting documents can include invoices, receipts, paid bills, deposit slips, sales slips, and canceled checks. Which records a business needs depends on its activities.

As the IRS puts it in Publication 583: Starting a Business and Keeping Records (December 2024), “A good recordkeeping system includes a summary of your business transactions.” The IRS allows businesses to choose a system suited to their needs. Journals and ledgers, spreadsheets, and electronic accounting software are options; no particular product is required, provided the records meet the applicable principles.

A practical recordkeeping rhythm

IRS Publication 583 advises recording expenses when they occur and says it is generally best to record transactions daily. It also recommends reconciling the checking account monthly so the bank statement, checkbook, and books agree and errors can be identified. Treat this as the publication’s guidance, not a universal deadline that overrides the needs of a particular business.

Does a bookkeeper do payroll or taxes?

Sometimes, but the title “bookkeeper” alone does not establish that either service is included. Payroll may be part of a role or handled by a separate provider. Agree explicitly on who processes payroll, handles payroll filings and payments, and keeps related records.

Likewise, bookkeeping can prepare organized records that support a tax return, but it does not automatically include filing the return or giving tax advice. Tax obligations depend on the business’s structure and location. The U.S. Small Business Administration’s business-management guidance distinguishes basic day-to-day bookkeeping from the more tailored services a CPA may provide. Confirm qualifications and scope directly with any provider, and establish who is responsible for each filing and payment.

Bookkeeper, accountant, and CPA: how to think about the difference

For a small business, bookkeeping usually means the continuing organization and recording of financial activity. Accounting or CPA services may add analysis, tailored advice, or tax work, depending on the person’s qualifications and the agreement. These labels do not guarantee a fixed set of services, so compare the actual work offered rather than relying on the title alone. The SBA notes that a bookkeeper can provide basic day-to-day functions and that a CPA generally has formal accounting education and can offer more tailored services.

What to agree on before hiring

Ask for a written scope so both sides know what is covered, what the owner must provide, and what remains the owner’s responsibility. Useful questions include:

  • Are payroll processing, payroll filings, sales-tax records, or tax-return preparation included—or handled separately?
  • How often will the books be updated, and how often will reports be delivered?
  • Which receipts, invoices, statements, or other source documents must the owner provide, and how should they be submitted?
  • What software or recordkeeping method will be used, and who can access the records?
  • How are errors or corrections handled, and who coordinates the year-end handoff to a tax preparer?
  • Who is responsible for submitting and paying each required tax?

When comparing an employee, independent bookkeeper, CPA, or online service, weigh the fit with your business, experience with similar work, communication, reporting cadence, payroll coverage, and whether tax preparation or advice is separately included. Service packages vary, so request a clear description of scope rather than assuming a standard bundle.
