Understanding Bookkeeping Services: What They Do and When to Hire One

Bookkeeping services organize business transactions and may handle tasks such as reconciliation, payables, receivables, cash tracking, and payroll. Scope varies, so know what to ask before hiring.

A bookkeeping service records and organizes a business’s financial transactions so its books show income and expenses clearly. Depending on the provider and the scope you agree on, it may also reconcile bank accounts, track bills and invoices, monitor cash, or run payroll. Before hiring help, decide which tasks you need, what records you can provide, and who will handle tax preparation or more specialized advice.

What does a bookkeeping service do?

Bookkeeping turns business transactions into organized records and useful summaries. The IRS says a recordkeeping system should summarize transactions in the business’s books—ordinarily journals and ledgers—and show gross income, deductions, and credits. Those records can help you monitor business progress, prepare financial statements and tax returns, identify where receipts came from, track deductible expenses, and support reported items if the IRS examines a return. See the IRS’s recordkeeping guidance and Publication 583, revised December 2024.

The actual work varies. The SBA identifies accounts receivable, accounts payable, available cash, bank reconciliation, and payroll as functions owners should ensure are managed. Do not assume every bookkeeping service includes all five: ask the provider to specify what it will do and what remains your responsibility. The SBA’s Manage your business guidance discusses accounting help and these functions.

What records should I keep?

Keep the evidence behind each transaction as well as the summaries in your books. The IRS lists sales slips, paid bills, invoices, receipts, deposit slips, and canceled checks as examples of supporting documents. They help substantiate bookkeeping entries and tax-return items.

For each expense, retain enough detail to identify who was paid, how much, when, and what the payment was for. A payment record by itself may not establish that an expense is deductible; other documentation may be needed to show the nature of the cost.

Organize records in a way you can maintain and retrieve—for example, by year and by income or expense category. The right arrangement depends in part on the type of business. The IRS does not require one universal folder structure or software package; it says a business may choose a system suited to it if that system clearly shows income and expenses.

Do I need bookkeeping software?

No single format is required by the cited IRS guidance. Electronic accounting software is one option, while paper records can also work if they clearly show income and expenses. Journals and ledgers are traditional tools for summarizing transactions; IRS Publication 583 says they can be purchased online or at an office-supply store. A journal or ledger does not replace receipts, invoices, bills, or other supporting documents.

Choose a system you can keep current and that lets you locate the underlying evidence for entries. If you hire a service, ask which software it uses, whether you can access the records, how documents are shared, and how the books will be transferred if you change providers.

Should I hire a bookkeeper, a CPA, or use an online service?

These options are not interchangeable packages, and responsibilities depend on the agreement. The SBA describes a bookkeeper as someone who can provide basic daily functions without a CPA’s formal accounting education. It says a CPA typically costs more than online services but can provide more tailored help. That is a broad distinction, not a guarantee that every bookkeeper or CPA offers the same services.

Start with the work you need done, then compare providers on scope and fit rather than title alone. The IRS and SBA do not set standard service tiers, and the guidance cited here does not establish a general provider price. Costs vary by provider and the work included, so request current quotes for your specific needs.

How to evaluate a bookkeeping service

  1. List the tasks. Ask whether transaction recording, bank reconciliation, accounts payable, accounts receivable, cash tracking, and payroll are included. Get any exclusions in writing.
  2. Describe your records and workload. Explain your transaction volume, business type, current recordkeeping system, and any reporting you need. Ask whether the provider’s process and software fit those needs.
  3. Clarify document handling. Find out how you will submit receipts and invoices, how often records will be updated, and how you can retrieve supporting documents.
  4. Set reporting expectations. Agree on which summaries you will receive and how often. Confirm who will answer questions about entries or missing documents.
  5. Plan the tax and advice handoff. Ask who prepares tax returns and who handles questions requiring more specialized accounting or tax advice. Do not assume bookkeeping automatically includes either service.
  6. Compare proposals on the same scope. Request provider-specific pricing and compare the tasks, reporting, software fit, and responsibilities included—not just the headline fee.

When is bookkeeping help useful?

Consider getting help when you need regular transaction recording or reconciliations, want clearer records for financial statements or tax preparation, or cannot reliably keep books current yourself. A provider may also be useful when your business needs support with payables, receivables, cash tracking, or payroll—but confirm those functions are part of the proposed scope.

If your records are already manageable, an appropriate paper or electronic system may be enough. Whichever route you choose, the essential requirement in the IRS guidance is that the system clearly show income and expenses and that supporting records substantiate the entries.
