Identify the original message, ask for one specific update or action, and choose your timing and tone to fit the situation.
What to include in a polite chaser email
Keep the message short, but include enough information for the recipient to understand what you mean without searching or guessing. A useful chaser has five parts:
- Subject: Keep the existing thread if its subject still makes the topic clear. Otherwise, use a concise subject such as “Follow-up: [topic].” Clear, relevant subject lines are recommended by Monash University and Purdue OWL; neither requires every follow-up to be sent as a reply.
- Greeting: Address the person by name and use a level of formality that fits your relationship. In an ongoing exchange about the same subject, Purdue OWL says it may be acceptable to omit the greeting.
- Context: Mention the earlier email, conversation, or request. Add its date or a specific topic if that will help the recipient find it.
- Reason and request: Say why you are checking in, then ask for one clear next step—such as an update, confirmation, or decision. The Texas A&M University Writing Center advises making the desired action clear; the University of Houston Rockwell Career Center recommends providing context and ending with a call to action.
- Close: Thank the recipient, sign off appropriately, and include your name. Monash lists options ranging from “Regards” and “Yours sincerely” to the more familiar “Kind regards” and “Cheers,” depending on the relationship.
A polite chaser email template
Subject: Follow-up: [topic]
Hi [Name],
I’m following up on my email about [specific request or topic] from [date or context]. Could you let me know [one clear question or next step]?
If [real deadline or constraint], it would help to hear from you by [date].

Include a deadline only if one genuinely applies. Otherwise, ask when the person expects to be able to respond. This adaptable format reflects advice from the University of Houston Rockwell Career Center, the Texas A&M University Writing Center, and Monash University; it is not a verbatim template from any one source.
When to send a chaser
There is no universal waiting period. The University of Houston Rockwell Career Center offers 72 hours as a loose rule of thumb, while also advising readers to consider urgency, a timeline the recipient gave, and whether a reply or out-of-office response may have been missed. Purdue OWL likewise says reasonable timing depends on the recipient’s expectations and the subject.

Use the circumstances to decide when to follow up:
- A promised response date: If the recipient gave you a timeframe, use it as your guide.
- A real deadline: Follow up early enough for the recipient to act before it, and state the deadline plainly.
- An urgent matter: A prompt follow-up—or a more direct channel—may be more appropriate than waiting by default.
- No stated timeline: Allow a reasonable interval for the context, then ask for an update or an expected response date.
The University of Galway’s example of 48 hours concerns acknowledging receipt of an incoming message when a full reply is not yet possible; it is not a recommended waiting period before sending a chaser.

Be direct without sounding accusatory. A brief reminder of the earlier request gives context; a specific question tells the recipient exactly what would help. Avoid sending only “Following up on this!” because it leaves the person to work out what action you want.

Match your wording to the relationship. A more formal greeting and sign-off may suit a first contact or professional matter, while an established exchange can be less formal. Keep the subject informative, put the important point near the beginning, and use concise paragraphs. Monash advises clear, unambiguous subjects and messages; Purdue OWL recommends short, direct paragraphs.

Before you send it
- Check that the recipient has not already replied.
- Make sure the earlier request is identifiable from the subject or the context in your message.
- Ask for one clear action or update, and include a date only when it reflects a real constraint.
- Copy only people who need to be included, as advised by the University of Galway.
- If email is not moving the matter forward, consider whether a call or meeting would be more productive; the University of Galway guide recommends considering another channel.
