Start with a Microsoft invoice template for the quickest setup, or build your own sheet if you need more control. In either case, “automatic” means formulas calculate the figures you enter—it does not by itself create a permanent invoice register, send invoices, or confirm that your invoice meets local tax rules.
Choose a template or build your own invoice
Microsoft offers editable invoice templates for Excel. A template is the faster route: choose one, replace its sample details with yours, and check its formulas and layout. Microsoft’s invoice templates cover common information such as business and customer details, payment terms, items or services, quantities, rates, taxes, and totals.
A blank workbook takes longer to set up but gives you control over the columns, styling, and formulas. Whichever route you choose, inspect the formulas rather than assuming every template handles taxes, discounts, or extra charges the way your business needs.
Set up the invoice details
Include the information needed to identify the transaction and tell the customer how to pay. Common fields include:

- Your business name and contact details.
- The customer’s name and relevant contact or billing details.
- An invoice number, invoice date, and payment due date or terms.
- A description of each product or service.
- Quantity, unit price or rate, and line amount for each item.
- Clearly labeled subtotal, tax, discounts or other adjustments, and amount due, as applicable.
- Payment instructions.
Requirements vary by country, tax regime, and industry. Microsoft’s general template guidance is not a legal checklist, so confirm the required fields, tax treatment, and rounding rules where you operate.
Build the line-item calculations
For a simple custom layout, put Description in column A, Quantity in B, Unit Price in C, and Line Total in D. If the first item is on row 2, enter this formula in D2:
=B2*C2
It multiplies the quantity by the unit price. Copy the formula down the Line Total column for the remaining items. These cell addresses are examples for the layout described here, not a prescribed Excel template.
To total example item rows 2 through 10, enter this in the subtotal cell:

=SUM(D2:D10)
Excel formulas begin with = and can refer to cells or ranges. Relative references such as B2 adjust when a formula is copied to another row. Microsoft’s overview of Excel formulas explains references and formula basics; it lists Microsoft 365 and Excel 2024, 2021, 2019, and 2016.
Add tax using an explicit input
Enter the applicable tax rate in a clearly labeled cell rather than embedding a rate in several formulas. For example, if the subtotal is in D11 and the rate is in F2, a tax-on-subtotal formula would be:

=D11*$F$2
The dollar signs make $F$2 an absolute reference, so it stays fixed if you copy the formula. This example assumes tax applies to the subtotal. Taxable items, exemptions, tax-on-line rules, discounts, and rounding can differ, so verify the correct calculation for your situation before issuing an invoice. If tax should be calculated on individual lines, use a layout and formulas that reflect that treatment instead.
Calculate the amount due and check the result
Use a clearly labeled total section so the customer can distinguish the subtotal from tax and any adjustments. For the example above, if tax is in D12 and a discount is in D13, an amount-due formula could be:

=D11+D12-D13
Change the formula to match the rows and charges in your own sheet. Before sending an invoice, enter realistic sample quantities and prices, then check that the line totals, subtotal, tax, discounts, and final amount behave as intended. Microsoft’s template workflow also calls for reviewing totals, taxes, and discounts.

Create an invoice number—and keep a reliable record
A formula can display a sequence when filled down. For example, in a separate list with the first number on row 1, enter:
="INV-"&TEXT(ROW(A1),"000")
Copied down, it produces labels such as INV-001 and INV-002. This is a display sequence, not a dependable permanent invoice register: row-based numbering can change if rows are inserted, deleted, or rearranged, and a formula does not check whether an issued number has already been used. Excel has no dedicated automatic-numbering button; Microsoft describes filling a sequence and formula-based numbering in its guide to automatically numbering rows.
Once an invoice is issued, preserve its number and a copy of the final invoice in a separate log or saved record. Check that each new number is unique rather than relying on a formula that may recalculate after the worksheet changes.

Save and send the customer copy
When the figures and details are correct, save the workbook as your reusable working file and export or save the customer-facing invoice as a PDF. Microsoft also describes sharing an online OneDrive link. Keep the issued copy and the underlying records for future reference.
Know what an Excel invoice does not automate
Formula-based spreadsheets can calculate figures from entered data, but a single editable worksheet does not inherently provide a customer database, secure permanent numbering, audit controls, or automatic delivery. If you need those workflow and record-control features, dedicated invoicing software may be a better fit. For a reusable invoice with straightforward calculations, a carefully checked Excel template or workbook can be sufficient.
