5 Company Data Providers to Compare in 2026: A Use-Case Guide

There is no universal best company data provider. Compare five options by the company, contact, financial, regional, and prospecting data your workflow needs.

There is no evidence-based universal winner among company data providers, and the available comparisons do not establish which providers were best in 2025. This current-use shortlist compares five services by the jobs they are positioned to support: company and financial research, contact discovery, regional prospecting, and broader sales workflows. The descriptions reflect commercial or vendor-authored comparison pages, not independent tests.

What a company data provider does

A B2B data provider licenses structured information about businesses and, depending on the service, contacts, financials, ownership, technology, or intent. Organizations use these datasets to build account lists, enrich CRM records, find prospects, and conduct company or risk research. Some services bundle data with prospecting and engagement tools; others focus more on company identity, financials, or ownership.

The right choice depends on the information and workflow you need, the countries and businesses you target, and the contract terms. A large database or a low advertised starting price does not by itself establish that a provider has usable records for your market.

Five providers to shortlist by use case

The following are five use-case options, not a ranked top five. The descriptions summarize positioning reported by CompanyData.com and, for Cognism, Cognism’s own comparison. Those pages are commercial sources, so treat their descriptions and figures as claims to verify with vendors.

Provider Reported positioning Useful question to ask
ZoomInfo CompanyData.com and another reviewed comparison position it for North American enterprise outbound and broad go-to-market workflows. Does its coverage and workflow fit your target accounts, required fields, and enterprise buying process?
Apollo Reviewed comparisons position it as combining firmographic search, contact discovery, and outbound execution. CompanyData.com reported a starting price of $49 per month in Q3 2026; this is a comparison-page figure, not a quote. Can you use the combined search and outreach functions you need, and what limits or commitment apply to the quoted plan?
Cognism Cognism’s own comparison positions it around EMEA contact data and compliance-oriented prospecting. CompanyData.com reported a Diamond price of $2,500 or more per month in Q3 2026; this is not a quote. Attribute claims about EMEA reach or quality to Cognism. How well does its sample cover your target countries, industries, and buyer roles, and what controls support your permitted-use requirements?
Dun & Bradstreet Reviewed comparisons position it for company identity, corporate hierarchy, firmographics, and credit-related information. CompanyData.com described 500 million or more business records; that is a publisher-reported scale claim, not an independently audited count. Does the product provide the company identity, hierarchy, or credit information your work requires?
Moody’s Orbis / Bureau van Dijk The reviewed comparison positions Orbis for private-company financial information and ownership structures. CompanyData.com lists 400 million or more companies in one section and 374 million or more company financials in another, without consistently explaining the different measures. Which specific financial and ownership fields are available for your target companies, and how does the vendor define its coverage figures?

Do not treat database counts as comparable measures of usable coverage. For Orbis in particular, the reviewed page gives differently labeled counts that should not be combined into one database-size claim.

How to choose for your actual market

Define the job before comparing vendors

Write down the countries, company sizes, industries, and buyer roles you need to reach. List the fields required and the task they must support: company identification, contact discovery, financial or credit research, ownership analysis, intent signals, or an integrated prospecting workflow. This prevents a broad platform comparison from obscuring whether you need company data, person-level data, or both.

Evaluate coverage and freshness with a relevant sample

Ask each shortlisted provider for a small sample matching your ideal customer profile (ICP). Check whether the companies and roles you expect are present, whether contact details are verified, and where records have gaps. Ask how each field is sourced and verified, how frequently it is updated, and what happens when a record is wrong or outdated. Comparison pages recommend sample-based evaluation; they do not establish a neutral, independently measured accuracy winner.

Daniel Conn, identified by CIENCE as Co-Founder of graph8 and a GTM Strategist, says he judges providers by the records he can route that week, including direct dials, verified emails, intent, and a replacement process. In the CIENCE comparison, Conn also cites a 22.5% annual list-decay figure. That figure is part of his quoted statement, not an independently established market-wide rate.

Check activation and governance

Confirm that the data can reach the systems and workflows you use. Ask about CRM synchronization, API access, bulk exports, enrichment, sequencing, and any export or usage limits. Separately, review sourcing transparency, suppression controls, retention, permitted uses, and the requirements that apply in your jurisdictions. A provider’s compliance claims do not, on their own, make a particular outreach campaign compliant.

Compare the full commercial terms

Look beyond a starting price. Clarify the number of seats, included credits, data add-ons, export caps, annual commitments, and overage charges, then compare the total cost for your expected use. CompanyData.com’s Q3 2026 comparison reported starting prices of $15,000 or more per year for ZoomInfo, $2,500 or more per month for Cognism Diamond, and $49 per month for Apollo. These are comparison-page figures, not vendor quotes or guaranteed current prices; request current terms directly. The page also says some per-record figures assume 10,000 records and, for Apollo and D&B, an annual commitment, so those figures should not be treated as general rates.

A practical evaluation sequence

  1. Specify your target. Record the geographies, company sizes, industries, roles, and fields you need.
  2. Choose the data category. Decide whether the core requirement is company identity or financial information, contact discovery, intent, or a combined prospecting workflow.
  3. Request matched samples. Ask each provider for records aligned to your ICP and assess match rates, verified-contact rates, coverage gaps, and usefulness in your actual workflow.
  4. Verify operational and governance details. Confirm field-level sourcing, verification and refresh practices, correction or replacement terms, integrations, and permitted-use controls.
  5. Review the complete contract economics. Compare seats, credits, add-ons, export limits, term length, and overages; confirm current pricing with the vendor before committing.

Evidence and date limits

The comparisons used here are current 2026 material, including pricing described as Q3 2026. They do not establish a 2025 ranking, a common independent scoring exercise, or market-wide accuracy statistics. Accordingly, this guide updates the title’s year rather than presenting a retrospective claim about which services were best in 2025. Vendor positioning and comparison-page figures should be checked against current product documentation and a quote before purchase.
