That is different from annotating a PDF, pasting a typed name, scanning a handwritten signature, applying a cryptographic digital signature, notarizing a document or verifying a signer’s identity. A product can support one without supporting the others.

Proposify is proposal-first software with e-signature capability. It suits agencies and sales teams creating branded proposals, not buyers who already have final contracts and need only a signature request. View pricing.
How to choose a free plan without surprises
- Identify the billing unit. Confirm whether your allowance is documents, envelopes, signature requests or recipients. A three-signer agreement may consume three recipients but one envelope.
- Separate permanent access from trials. A trial may require a card and convert to paid service; a permanent free plan continues after the trial period.
- Check the free workflow. Look for templates, branding, reminders, storage period, downloadable audit reports and integrations, not just the headline number.
- Model your busiest month. Determine whether the service freezes sending, charges overages or requires an upgrade when the cap is reached. PandaDoc states unused documents do not roll over and describes additional-document charges on some paid plans.
- Confirm recipient friction. Email-link signing and mobile-browser support usually improve completion. Dropbox Sign explicitly says recipients do not need an account.
- Test the compliance requirement. For sensitive contracts, verify authentication, identity proofing, retention, data residency, SSO, role permissions, encryption and admin logs on the exact plan.
Legal validity: what “compliant” does and does not mean
In the United States, the federal ESIGN Act and state laws such as UETA generally recognize electronic records and signatures, but no software makes every transaction enforceable automatically. Consent, intent, attribution, record retention, document integrity and the type of transaction still matter. Vendor statements such as Dropbox Sign’s claim that its signatures are legally binding describe that service, not a universal legal guarantee.
In Europe, eIDAS distinguishes simple, advanced and qualified electronic signatures. A basic click-to-sign workflow is not a qualified signature; qualified signatures may require a qualified trust-service provider and stronger identity controls. “ESIGN/UETA/eIDAS compliant” is therefore not the same as suitable for every regulated or high-value transaction. Obtain jurisdiction-specific legal advice when the consequence of a disputed signature is significant.

Security, integrations and API checks
- Integrations: confirm that Dropbox, Google Drive, OneDrive, Box, Microsoft 365, Salesforce, HubSpot, Zoho, Zapier, Make, Power Automate or payment tools are included in your plan, not merely advertised by the vendor.
- Auditability: require timestamped events, signer identity, IP and authentication events, tamper evidence or a document hash, a completion certificate and downloadable reports. Long-term retention may be a paid feature.
- Authentication: passcodes, SMS, knowledge-based checks and identity verification provide different assurance levels. Do not treat them as interchangeable.
- API and embedded signing: check REST endpoints, SDKs, webhooks, template IDs, redirect flows, sandbox access, rate limits, data-processing terms and whether API requests are billed separately. Dropbox Sign lists API pricing separately from its sender plans: API pricing.
- Healthcare and regulated data: a “HIPAA” or security label does not cover your entire workflow. Verify the exact plan, business associate agreement, access logging, retention and deletion controls.
Common failure cases
The signer cannot open the email
Check spam and quarantine folders, corporate link scanners, expired invitations, browser compatibility and device restrictions. Resend or extend the request, use an alternate email when permitted and determine whether the platform can generate a direct signing link.
The document contains an error
Void or correct the envelope according to the platform’s process and issue a new version. The original request and its audit trail should remain identifiable; silently replacing a signed file undermines document integrity.
Signers need a particular order
Choose sequential signing when one person must approve before another, or parallel signing when order does not matter. Check delegation, reassignment and approval-before-signature controls.
You need notarization
An e-signature service is not automatically an online-notarization service. Verify notary functionality and jurisdictional availability separately.
