An effective job description accurately explains the work, distinguishes essential duties from preferences, and gives candidates clear, accessible information to assess their fit. Use these 11 tips to write a role description that reflects the job people will actually do and supports a consistent hiring process. A job description defines the role; a job announcement is the public-facing posting that presents it to applicants.
How to write an effective job description

Start with the work, not a template
Talk with the manager and people familiar with the role. Identify what the position exists to accomplish, what work is actually performed, and what knowledge or skill it requires. In U.S. Equal Employment Opportunity Commission (EEOC) guidance, relevant factors for identifying essential functions include whether the position exists to perform a function, how many other employees can perform or share it, and the expertise or skill required. Separate essential functions from other duties
Identify the basic duties that matter to the role and make their importance clear. The EEOC defines essential functions as “the basic job duties that an employee must be able to perform, with or without reasonable accommodation.” A description prepared before advertising or interviewing can be evidence of those functions, but it is considered alongside actual work experience and other evidence—not as conclusive proof if the document no longer reflects the job.

Choose a clear title and opening summary
Use a title candidates can understand and an opening summary that explains the role and its purpose. Avoid internal shorthand or inflated labels that obscure the work. U.S. Office of Personnel Management (OPM) guidance recommends plain language in announcements, and its Agency Talent Portal guidelines say to use the job summary to explain the job. Describe duties and outcomes concretely
Use action-oriented descriptions of responsibilities and the results the role is expected to produce. Replace vague phrases such as “wear many hats” with the actual work: for example, name the reports the role prepares, the decisions it supports, or the customers it serves. Specific wording helps applicants understand the position and lets the hiring team evaluate job-related qualifications.

Keep qualifications necessary and job-related
Include the knowledge, skills, experience, education, or licenses genuinely needed to perform the stated duties. Review each criterion: would someone who lacks it be unable to do the work, or is it simply familiar from previous postings? OPM advises identifying and revising unnecessarily restrictive eligibility criteria and says minimum qualifications should relate to job duties.

Label required and preferred qualifications
Make the distinction explicit so a desirable extra does not read like a mandatory screen. GOV.UK’s inclusive-description guidance recommends training hiring managers to distinguish essential from desirable criteria and using more open wording for desired qualities. Use neutral, behavior-based language
Describe what a person needs to do rather than relying on subjective personality labels. GOV.UK advises avoiding gender-stereotyped terms such as “competitive” and “dominant.” Instead of asking for someone “reliable,” specify the relevant behavior—for example, handling confidential information privately—if that is genuinely part of the job.

Set out practical working conditions accurately
State relevant conditions such as work location, schedule, travel, or physical demands when they are part of the actual role. Be precise: explain the expected schedule or travel requirement rather than implying a condition that does not apply. There is no universal checklist for every position; include conditions that help candidates understand the work and assess whether it is suitable.

Make the information accessible
Use readable formatting that works across devices, provide accessible formats where needed, and explain how applicants can request adjustments. GOV.UK recommends accessible formats and options for requesting adjustments. U.S. OPM guidance calls for alternate formats and, in the federal context, communicating the intent to provide reasonable accommodation. The U.S. Department of Labor’s Office of Disability Employment Policy also offers applicant-access guidance.

Align the description, announcement, and selection criteria
Check that the public posting promises the same job the description defines and employees perform. The EEOC’s private-sector best practices advise accurate written descriptions of essential functions and warn against conflicts with announcements or actual duties. Set objective selection criteria and apply them consistently; do not advertise one set of requirements and screen applicants against another.

Review the description when the work changes
Before posting, ask the manager and people doing the work to verify the duties and requirements. Revisit the description when responsibilities, tools, reporting lines, or working arrangements materially change. This is a practical review recommendation: the EEOC considers actual work and other evidence alongside an early written description, and its cited guidance does not establish a universal review schedule.

What a job description should accomplish
A useful description is not defined by a particular word count or a fixed set of headings. It should give candidates an accurate picture of the role, identify the functions that matter, make requirements understandable, and stay consistent with the eventual announcement and selection process. Keep the detail needed to make those points clear, and remove criteria or claims that do not match the work.
Jurisdiction matters
The GOV.UK inclusive-description recommendations cited above apply to England, Scotland, and Wales. EEOC and OPM sources describe U.S. federal guidance; they are not a complete account of state, local, or non-U.S. law. Employers should check the rules applicable to their location and organization before treating a general drafting recommendation as a legal requirement.
