A strong press release headline states the news and why it matters in clear, specific language. The examples below show ways to foreground a study, partnership, product, or audience benefit; the final two are original templates, not real announcements. Adapt the angle to facts your release can substantiate.
What makes a press release headline work?
The headline is a reader’s first clue about whether an announcement matters to them. Lead with the news value—such as timely relevance, audience impact, original data, a meaningful partnership, or a problem solved—rather than a vague claim that something is exciting.
- Be specific: Name the change, finding, launch, or benefit.
- Use active verbs: Words such as “opens,” “partners,” “reveals,” and “launches” make the news easier to grasp.
- Make every claim defensible: Verify figures, dates, comparisons, and superlatives against the announcement and its supporting evidence.
- Use a company name when it helps: Include it when recognition or the identity of the parties is part of the story; otherwise, use the space for the news itself.

A headline is a promise: the release’s lead and supporting details must substantiate it.

Why it works: The contrast creates a point of tension, while “four possible futures” makes the study’s scope concrete. Use this kind of framing only when the report genuinely supports the alternatives. -

Why it works: A recognizable company, an active verb, and a connection to an industry trend quickly identify the announcement. The product or solutions should be explained in the release, not left as a trend label. -

Why it works: The finding is placed up front and gives the announcement a data-led angle. The more-than-80% figure belongs to the research behind this specific headline; do not present it as a general market statistic without checking the original study. -

Why it works: A time-specific report is paired with an explanation of where the recommendations came from. “Must-visit” is promotional language; the release should make the list’s basis clear. -
“Ulta Beauty Teams Up with Instacart to Deliver Beauty in a Flash Nationwide”
Why it works: The headline combines named partners with a consumer-facing benefit and a claim of nationwide reach. The release should clarify availability and what “in a flash” means in practice. -
“Pimax debuts world’s first retina-level VR headset Crystal Super at CES2025”
Why it works: It identifies a product launch and anchors it to an industry event. “World’s first” is a broad comparative claim; use it only if the company can substantiate the comparison and define the claim clearly. -

Why it works: It connects a concrete action to a stated community impact. Use this structure only if the pantry opening, location, and capacity figure are documented; the example itself is not a verified announcement. -
Illustrative template: “New City Grant Funds 40 Heat Pumps for Low-Income Households”
Why it works: It puts the funding and intended beneficiaries in the headline. Confirm the grant, number of heat pumps, and eligibility details before adapting it; this is a template, not a real release.
How long should a press release headline be?
Published recommendations use different measures: PRSA advises fewer than 10 words, Cision cites 51–75 characters as a range associated with higher engagement, and PR Newswire suggests staying below 100 characters when possible. These are working limits, not universal rules or guarantees of performance.
Put the main news early enough to remain visible if a channel truncates the headline. Check the actual display in the intended email, newsroom, search result, or social post; a headline that fits one placement may be cut off in another. A practical process for writing your own headline

State the core news plainly. Write one sentence that says what happened, without promotional framing.

Identify why it matters now and to whom. Consider the audience affected, a timely connection, or a problem the announcement addresses.

Choose the strongest concrete angle. This might be a result, scale, impact, solution, partnership, or timely connection. A number can make the angle specific, but it cannot replace a meaningful story.

Draft several versions. Try different angles, use active verbs, and remove filler. Compare each version for clarity and relevance to the people you want to reach.

Check the evidence. Verify every proper noun, number, date, comparison, and superlative against the release materials. If the body cannot support the headline, revise the headline or strengthen the evidence before publication.

Preview it in the intended channel. Check its length and display in the placements that matter, and move the essential news earlier if it is likely to be cut off.
Make sure the release delivers on the headline
A headline earns attention only if the release answers the questions it raises. PR Newswire describes the release structure as a headline followed by a dateline, a lead covering who, what, when, where, and why, and supporting body information. PRSA likewise recommends an inverted-pyramid order, with the most important information first: PRSA’s press release format guidance.
For example, a headline announcing a partnership should be followed by the specifics of what the partners are doing and who benefits. A data-led headline should identify the study and provide enough context to understand the finding. If a bold phrase depends on a comparison or a particular definition, explain that basis in the release rather than leaving readers to infer it.

Data can make a headline more concrete when it is accurate, properly attributed, and relevant to the announcement. Cision reports that 61% of journalists rank original research and market data among the content most wanted from PR teams, attributing the figure to PR Newswire’s 2024 State of the Press Release Report. That reported preference does not mean a data-led headline guarantees coverage; the figure and its source still need to be clear.
Cision also reports that 26% of PR professionals use AI for press releases and that nearly half of that group specifically use it for headline writing, citing PR Newswire’s 2024 State of the Media Report. Those are usage figures, not evidence that AI-written headlines perform better. AI can help generate alternate wording, but a person should verify the news angle, facts, and claims against the release.
