The best choice depends on matching the software’s billing model to your customer volume, team size, and sales process.

HubSpot is a strong choice for a business that needs to organize contacts and deals without committing to a monthly software bill. Its free CRM includes contact management, deal pipelines, CRM import, Breeze Assistant, and reporting dashboards. There is no credit card requirement to begin.

HubSpot’s CRM product page lists paid CRM tiers from $15 per seat per month for Starter, $50 for Professional, and $75 for Enterprise. However, do not treat those figures as the complete price of every HubSpot sales feature. Smart CRM is the data and record-management foundation; Sales Hub is a separate layer for prospecting, pipeline management, coaching, and related tools.
Sales Hub also uses monthly HubSpot Credits: 500 for Starter, 3,000 for Professional, and 5,000 for Enterprise. Credits reset each month, do not roll over, and additional credits cost $0.010 each.
Best for: Startups and service businesses that want to start free and add paid capabilities later.
Watch the cost: Estimate paid seats, Sales Hub packaging, and possible credit usage separately rather than relying on the free CRM headline.
2. Zoho CRM: best value for customization
Zoho offers one of the broadest tier structures for a small business: Free, Standard, Professional, Enterprise, and Ultimate. The Free edition supports up to three users and includes core features such as leads, documents, and mobile apps.
Current annual-billing prices are $14 per user per month for Standard, $23 for Professional, $40 for Enterprise, and $52 for Ultimate. Monthly prices are higher: $20, $35, $50, and $65, respectively.
The practical difference between tiers is significant. Custom modules increase from 10 in Standard to 25 in Professional, 200 in Enterprise, and 500 in Ultimate. That makes Zoho more suitable than a basic pipeline tool when a company has different customer types, processes, or records to model.
Zoho uses a pay-as-you-go approach without a fixed contract. To change plans, sign in, click Upgrade on the Home page, then use the Subscription page.

3. Salesforce Starter Suite: best for a growth-oriented sales operation
Salesforce Starter Suite costs $25 per user per month and can be billed monthly or annually. It includes lead, account, contact, and opportunity management, built-in sales flows and lead routing, automatic syncing of emails, events, and contacts, plus dynamic email marketing and analytics.
Salesforce is appealing when a company expects its sales process to become more sophisticated. The higher tiers are Pro Suite at $100 per user per month, Enterprise at $175, Unlimited at $350, and Agentforce 1 Sales at $550. Those higher tiers are listed as billed annually.

4. Pipedrive: best for a clear sales pipeline
Pipedrive is centered on leads, deals, calendars, and sales activity rather than trying to be every department’s operating system. Its current plan names are Lite, Growth, Premium, and Ultimate; older comparisons using Essential, Advanced, Professional, Power, or Enterprise are out of date.

Freshsales Suite has a free plan for up to three users and a 21-day full-featured trial. If the trial ends without a paid plan, Freshworks says the account is suspended.
Annual prices are $9 per user per month for Growth, $39 for Pro, and $59 for Enterprise. Growth includes 500 marketing contacts, Kanban views, contact lifecycle stages, chat, email, phone, email templates, and custom fields.
Pro adds contact scoring, deal insights, custom sales activities, territory management, and sales sequences. Enterprise adds forecasting insights, field-level permissions, custom modules, sandbox access, and audit logs.

6. monday CRM: best for visual workflows and team coordination
monday CRM is built around boards, columns, dashboards, and customizable workflows. Basic costs $12 per seat per month when billed annually or $18 when billed monthly. monday states that annual plans receive an 18% discount.

Basic includes up to 1,000 active contacts and deals, one custom dashboard, five columns per board, and up to 20 quotes and invoices per month. Plans start at three users, so the advertised annual starting price implies a minimum starting commitment of roughly $36 per month before tax, not $12 for a one-person business. Teams above 40 users must request a quote.
There is a 14-day trial. After it ends, continued full-feature access requires a paid plan. To change a plan, go to Admin, select Billing, and choose Change plan. The company now calls its former Enterprise tier Ultimate.
Best for: Businesses where sales activity needs to be visible to operations, fulfillment, or project teams.
Watch the cost: Account for the three-user minimum and the limits on contacts, board columns, dashboards, and quotes.

Keap belongs in a different price category from basic contact-and-pipeline CRMs. It markets a broader platform combining CRM, sales and marketing automation, checkout forms, payments, and related business tools.
Pricing starts at $299 per month, shown as $2,988 per year when billed annually. Contact volume affects the price, and required implementation services are part of Keap’s onboarding model; the pricing page directs buyers to ask about implementation packages.
Text marketing can also add to the bill. The included Tier 1 provides 500 messages and 100 voice minutes. Higher tiers start at $24 per month for 1,000 messages and 300 minutes. Overages are listed at $0.015 per message and $0.01 per voice minute. Text marketing is currently available only in the U.S.; dedicated phone lines and one-to-one texts are available only to users in the U.S. and Canada.
Best for: Established small businesses that can justify automation, payments, and commerce tools in one platform.

How to choose a CRM without overspending
- Count active users, not potential users. Some products charge by seat, while monday CRM starts at three users. Determine who needs to edit records and who can use view-only access.
- Separate annual and monthly pricing. Multiply the actual billing rate by 12. A $14 annual-billing seat and a $20 monthly-billing seat are not equivalent offers.
- Measure contacts and communication volume. Marketing contacts, AI sessions, text messages, storage, and active deals can create costs beyond the base subscription.
- Price the next tier, not just the first tier. A free or cheap entry plan is useful only if the next practical plan remains affordable when your team grows.
- List required integrations. Check whether email, accounting, payment, website, calendar, and support connections are included or require a higher tier or add-on.
- Test data portability. Confirm that contacts, notes, deal history, and reports can be exported before committing important business records.
