The best email host depends on more than the mailbox price. Compare annual costs, renewal traps, storage, custom domains, privacy, app support, and migration risks.

A professional email address does not have to cost much, but the cheapest mailbox is not always the cheapest service to live with. Annual contracts, renewal prices, storage limits, app support, migration tools, and bundled office software can change the real value substantially.

For this ranking, the best choice depends on what you need beyond sending and receiving mail. Google Workspace and Microsoft 365 cost more than basic mailbox providers, but include substantial productivity software. Fastmail keeps the experience focused on email. Zoho, Namecheap, and Hostinger compete primarily on price, while Proton, Tuta, and mailbox.org emphasize privacy.

Google Workspace is the strongest all-around option when email is only one part of your work setup. Business Starter includes a custom Gmail address, Google Calendar, Docs, Drive, Chat, Meet for up to 100 participants, and Gemini access.

The important price distinction is billing. Business Starter is currently $7 per user per month on Annual/Fixed-Term pricing, but $8.40 per user per month on the Flexible Plan. The Starter, Standard, and Plus business editions are limited to 300 users; larger organizations need Enterprise.

  • Storage: 30 GB of pooled storage per user on Starter, rather than a completely separate quota for every mailbox.

2. Microsoft 365: best for Outlook, Office, and Teams users

Microsoft 365 Business Basic is the sensible starting point for a company built around Outlook, Word, Excel, OneDrive, SharePoint, or Teams. It includes custom-domain email, web and mobile Office apps, cloud storage, online meetings, identity management, spam filtering, and malware protection.

There are two prices that are often incorrectly collapsed into one. Business Basic with Teams costs $7 per user per month when paid annually, or $8.40 with monthly billing. The no-Teams edition is $5.40 per user per month annually, or $6.48 monthly.

Choose Microsoft 365 over Google Workspace if your existing files, workflows, and staff familiarity are centered on Microsoft products. Otherwise, compare the full software bundle rather than choosing based on the mailbox price alone.

3. Fastmail: best email-first service

Fastmail is a good fit for a freelancer, consultant, or small company that wants polished email without subscribing to a full office suite. Its Standard business plan supports custom business addresses, shared addresses such as [email protected], shared calendars, a shared company address book, scheduled sending, offline support, and third-party clients including Outlook, Apple Mail, and Thunderbird.

Standard provides 60 GB per user in total: 50 GB for mail, calendars, and contacts, plus 10 GB for files. Users on the same account can share a custom domain, although at least one user must be on Standard or Professional for other users to create addresses on that domain.

Fastmail offers a trial of up to 30 days. You can cancel at any time, but unused subscription time is not refunded, so an annual subscription should be timed carefully.

4. Zoho Mail: best value for small businesses

Zoho is one of the most attractive choices when keeping recurring costs low matters more than having Gmail or Outlook. Its Forever Free Plan can support one custom domain and up to five users with 5 GB of mail storage per user, but it is available only in select data centers.

The free plan also excludes IMAP, POP, and ActiveSync. That means you may be restricted to Zoho’s web and mobile experience rather than using every conventional mail application. If desktop-client access matters, check a paid plan before moving your domain.

Zoho Mail Lite adds custom email, mobile and desktop apps, MFA, and 5 GB or 10 GB of mail storage per user depending on the tier. Zoho says Mail Lite is billed annually rather than monthly. Mail Premium includes 50 GB of mail storage plus 50 GB of retention storage per user, along with retention, eDiscovery, S/MIME, and other administration features.

5. Proton Mail for Business: best for privacy-focused organizations

Proton’s Mail Essentials plan includes 15 GB per user, three custom domains, secure email and calendar, catch-all addresses, automatic forwarding, SMTP access, support for Outlook, Thunderbird, and Apple Mail, and Easy Switch migration.

Its privacy model makes it especially appealing for organizations handling sensitive client or financial information. Workspace Standard expands storage to 1 TB per user and supports up to 15 custom domains. Workspace Premium includes 3 TB per user and up to 20 domains, along with additional retention and privacy features.

Do not interpret “encrypted” as meaning every message is end-to-end encrypted with every recipient. Proton-to-Proton messages receive the strongest protection. For ordinary external recipients, Proton provides password-protected messages as an alternative.

6. Tuta Mail: best encrypted option for individuals and small teams

Tuta is designed around encrypted mail and calendar rather than office-suite integration. Its free plan includes 1 GB of storage, one calendar, and three labels, but it does not include custom domains, catch-all mail, offline support, or unlimited search.

The paid Revolutionary plan includes 20 GB of storage, unlimited calendars and labels, 15 additional addresses, and three custom domains. Paid plans also list catch-all email, offline support, shared mailboxes, and shared calendars. The Legend plan increases storage to 500 GB, adds 30 additional addresses, and supports 10 custom domains.

Tuta says its data is stored on its own servers in ISO 27001-certified German data centers and that its clients are fully open source. It is a better match for privacy-conscious users than for companies that depend heavily on conventional third-party mail clients and broad office integrations.

7. iCloud+ Custom Email Domain: best for Apple-centric households

iCloud+ lets you use a domain you already own with iCloud Mail. Apple permits up to five custom domains, with up to three personalized addresses per domain, and allows a domain to be shared with up to five other people.

Setup is available at Settings → [your name] → iCloud → Custom Email Domain on an iPhone or iPad. On the web, use icloud.com/icloudplus → Custom Email Domain.

This is excellent value for a household already paying for iCloud+. It is not a replacement for managed business email: Apple requires two-factor authentication and a primary iCloud Mail address, and Custom Email Domain does not support managed accounts.

The main financial and operational risk is shared storage. Custom-domain mail uses iCloud storage. If the account runs out of storage, it cannot receive new messages at the custom addresses until you delete data or buy more storage.

8. Hostinger Mail: best budget option when bundled with hosting

Hostinger’s promotional pricing is unusually low, but it requires careful reading. On the displayed four-year plan paid upfront, Starter works out to $0.39 per mailbox per month, Standard to $0.99, and Premium to $1.99.

Plans include spam, virus, and phishing protection, forwarding, aliases, auto-replies, migration, audit logs, and catch-all handling. Premium includes a free domain for one year. The service can be used with a domain hosted elsewhere, so you do not have to move your website to Hostinger.

The headline price is not a month-to-month price. Compare the upfront commitment and later renewal amount with a provider that bills annually before deciding.

9. Namecheap Private Email: best for Namecheap customers

Namecheap Private Email is a practical, conventional mailbox service for customers who already manage their domains at Namecheap. Plans purchased from June 2, 2026 use the Launch, Expand, and Scale structure:

All three plans list a 30-day trial, catch-all, forwarding, calendar, filters, auto-reply, CalDAV/CardDAV, IMAP, SMTP, POP3, anti-spam protection, 2FA, and an AI email assistant. Additional mailboxes cost $8.88 per year on Launch, $25.88 on Expand, and $39.88 on Scale.

Aliases are not separate inboxes. They normally deliver to an existing mailbox, so do not count an advertised alias allowance as additional users or storage.

10. mailbox.org: best European privacy alternative

mailbox.org’s Standard plan costs €4 per user per month and includes 20 GB of mail storage, 10 GB of Drive storage, office tools, Meet, and custom-domain support. It includes up to 50 aliases for custom domains. Premium costs €12 per user per month, raises mail storage to 50 GB and Drive storage to 100 GB, and supports up to 250 custom-domain aliases.

It is a strong choice for European organizations and users who want office tools alongside privacy-oriented hosting. The migration sequence matters: mailbox.org warns that changing MX records before creating the destination accounts can cause incoming messages to be rejected as “User unknown.”

How to choose without overpaying

  1. Count real users. A mailbox is usually a login and storage allocation. An alias such as [email protected] is generally just another address delivering to an existing inbox.
  2. Separate email from collaboration. If you already pay for Microsoft Office or Google tools, the bundled service may be cheaper overall. If you need only email, Fastmail, Zoho, Namecheap, or Hostinger may offer better value.
  3. Check annual versus flexible billing. Calculate the first-year cost and the renewal cost separately. Hostinger’s promotional equivalent requires four years paid upfront; Google and Microsoft charge more under flexible or monthly billing.
  4. Confirm client support. Zoho’s free tier excludes IMAP, POP, and ActiveSync. Namecheap explicitly supports IMAP, SMTP, and POP3, while Proton supports common clients on its business plans.
  5. Decide how much privacy you need. Proton and Tuta make privacy central. Google and Microsoft offer mature security and administration, but their value proposition is broader productivity and business integration.
  6. Check storage at the account level. iCloud storage is shared with other Apple services. Google Workspace uses pooled organizational storage. A full account or pool can create an email-delivery problem.

Moving a custom domain safely

  1. Export or migrate old mail first. Keep access to the old provider until you have verified that historical messages, contacts, calendars, and aliases arrived.
  2. Create every destination mailbox and alias. Do this before directing mail to the new service. If the receiving mailbox does not exist, messages may bounce.
  3. Publish the provider’s verification records. These are commonly TXT or CNAME records. Follow the provider’s exact host and value formatting.
  4. Change MX records only after the accounts exist. Remove unrelated records pointing to the old provider. Leaving old and new MX records together can produce inconsistent delivery.
  5. Configure SPF, DKIM, and DMARC. These DNS records help receiving providers authenticate outgoing mail and reduce spoofing. Use the provider’s current values rather than copying records from an old host.
  6. Test both directions. Send to and from Gmail, Outlook, and at least one mobile client. Test aliases, replies, attachments, forwarding, and password recovery messages.
  7. Allow for DNS delay. Delivery will not switch everywhere instantly. mailbox.org says DNS synchronization can take up to 48 hours, and messages may continue arriving at the old service during that period.

What the cheapest option leaves out

A low monthly price may exclude features that matter later. Free or inexpensive plans can lack desktop-client access, retention, eDiscovery, shared mailboxes, audit logs, compliance controls, or reliable migration tools. Conversely, an expensive office suite may be wasteful for a single address.

Also treat catch-all mail carefully. It accepts messages sent to nonexistent addresses at your domain, which can reduce losses from typos but may increase unwanted mail. It is not a spam-control feature.
