Compare 10 accounting software options for U.S. businesses, including current standard prices, best-fit use cases, and key plan limits. Find the right tool for bookkeeping, invoicing, inventory, collaboration, or multi-entity accounting.

The right accounting software depends less on brand recognition than on how you earn and spend money. A freelancer who sends 10 invoices a month needs a very different tool from a retailer tracking stock, or a company consolidating several entities.

This comparison covers 10 accounting programs available in the U.S., using standard pricing and product information checked on August 8, 2026. Promotional introductory rates are excluded unless specifically noted. The list includes cloud software, desktop programs, free tools, and larger financial-management platforms.

1. QuickBooks Online: best overall for many U.S. small businesses

Standard pricing: Simple Start $38/month, Essentials $75/month, Plus $115/month, and Advanced $275/month, according to Intuit’s QuickBooks Online pricing page.

QuickBooks Online is the safest general-purpose choice when you want a large accountant ecosystem, extensive integrations, mobile access, invoicing, payment collection, transaction categorization, and a route to more advanced reports. Simple Start includes one billable user and access for two accountants. Essentials supports three users, Plus supports five, and Advanced supports 25, according to Intuit.

Simple Start may be enough for a solo consultant or small side business. Essentials becomes more relevant when you need additional users or bill-related functionality. Plus is the tier to examine for inventory, projects, and more developed business reporting.

Payroll is not included in the base accounting subscription. Bill-pay costs also need checking: standard ACH transactions are free only within the plan’s monthly allotment, with additional standard ACH transactions listed at $0.50 each. Advanced advertises AI features such as AI Chat and automated project-cost allocation, but those features are marked beta and should not be treated as universally mature, according to Intuit.

QuickBooks Online is browser-based and is not the same product as QuickBooks Desktop or QuickBooks Enterprise.

2. Xero: best for collaborative, growing businesses

Standard pricing: Early $25/month, Growing $55/month, and Established $90/month, according to Xero’s U.S. pricing plans.

Xero is particularly attractive when several people need to work in the books. Its plans include bank reconciliation, real-time reports, sales-tax tools, W-9 and 1099 management, and online bill payments. Growing removes the Early plan’s invoice limit and adds bill tracking, bill-entry automation, dashboards, and a 60-day cash-flow forecast. Established adds multi-currency transactions, project time and cost tracking, employee expenses, mileage claims, KPI analysis, and a 180-day forecast, according to Xero.

The inexpensive Early plan is not suitable for every small business. It allows only 20 invoices and five bills, and transactions initiated by connected app partners may count toward the invoice limit. A business that sends recurring invoices or processes sales through integrations could reach the ceiling sooner than expected.

Automatic bank reconciliation on Growing is labeled beta. Standard ACH bill payments are included, but same-day ACH, international, cross-border, and other payment methods may create extra charges. Xero subscriptions renew monthly, with taxes calculated at checkout.

3. Zoho Books: best value for price-sensitive businesses

Standard pricing: Free, Standard $20/month, Professional $50/month, Premium $70/month, Elite $150/month, and Ultimate $275/month. Annual billing can reduce the listed paid prices, according to Zoho Books’ U.S. pricing page.

Zoho Books offers unusually broad functionality at its lower prices. Its Free plan includes invoices, quotes, expenses, journals, bank reconciliation, recurring invoices, payment collection, W-9 and 1099 management, and more than 50 reports. Standard adds bank feeds, sales- and use-tax tracking, period locking, custom reports, and API access. Professional adds inventory, purchase orders, multi-currency transactions, timesheets, and project profitability, according to Zoho.

The word “free” has important conditions. The Free plan remains available indefinitely only while annual revenue is below $50,000. It also limits users to one user plus one accountant, invoices to 1,000 per year, and bills or expenses to 1,000 per year. Receipt autoscans are limited to 50 per month on Free and trial accounts, compared with 200 on Standard and Professional, according to Zoho.

To change a Zoho Books subscription, use Settings → Manage Subscriptions under Organization, then select Change Plan, as described in Zoho’s subscription help.

4. FreshBooks: best for freelancers and service businesses

Standard pricing: Lite $21/month, Plus $38/month, Premium $65/month, and Select at custom pricing, according to FreshBooks pricing.

FreshBooks is designed around estimates, time tracking, invoices, retainers, proposals, client communication, and service-project profitability. Lite allows unlimited invoices for up to five clients. Plus raises the limit to 50 clients and adds retainers, accountant access, proposals, accounting reports, receipt scanning, and e-signatures. Premium supports unlimited clients and adds accounts payable and project-profitability reporting, according to FreshBooks.

This is a strong fit for a consultant, designer, contractor, or small agency whose primary accounting activity is billing clients for work. It is less compelling for a product business with substantial stock, purchasing, or warehouse requirements.

“Unlimited invoices” does not mean unlimited customers. The client limits on Lite and Plus remain. Accounts payable is listed with Premium, not the lower plans. Select is quote-based and adds features such as lower payment fees, priority support, migration through Easy Switch, and two additional team-member accounts.

5. Wave: best free option for basic bookkeeping

Standard pricing: Starter $0; Pro is $19/month or $190/year, according to Wave pricing.

Wave Starter covers the basic needs of a very small business: income and expense tracking, invoicing, and core bookkeeping. Pro adds automatic bank-transaction imports, automatic merging and categorization, unlimited digital receipt capture, expense tracking, and automated late-payment reminders.

Wave’s free accounting does not make the entire business free to operate. Online payment processing is separate. Starter lists card payments at 2.9% plus $0.60 per transaction. Pro lists 2.9% plus $0 for the first 10 cumulative monthly transactions, after which the fee becomes 2.9% plus $0.60; American Express uses different rates, according to Wave. Payroll, bookkeeping services, and coaching are also separate products or add-ons.

Bank connections use Plaid, and Wave says not every financial institution is supported. Pro is priced per business, not per owner, so multiple business profiles require separate Pro subscriptions. The current upgrade control is the peach Upgrade now button from the dashboard or invoicing/accounting areas.

6. Sage 50 Accounting: best desktop option for inventory and job costing

Standard pricing: Pro Accounting $128.67/month, Premium Accounting $182.50/month, and Quantum Accounting $271.17/month, according to Sage’s U.S. Sage 50 pricing page.

Sage 50 is a locally installed, desktop-oriented accounting system with cloud-enabled access, updates, backups, and collaboration. It is a better match than most cloud-first tools for businesses that need inventory management, purchase orders, job management, job costing, multiple companies, or a traditional desktop workflow.

Pro supports one user and includes invoicing, bills, expense management, bank reconciliation, inventory, cash-flow management, reporting, and job management. Premium supports one to five users and adds multiple companies, advanced budgeting and reporting, serialized inventory, audit trails, and advanced job costing. Quantum supports up to 40 users and adds role-based permissions and workflow management, according to Sage.

These are annual subscriptions paid monthly, with a minimum one-year commitment. If payment stops or the subscription ends, Sage says access becomes read-only until the account is brought current. Payroll is a separate subscription priced according to employee count. Do not confuse Sage 50 with Sage Intacct; they serve very different business sizes.

7. Patriot Accounting: best for simple bookkeeping plus Patriot Payroll

Standard pricing: Accounting Basic $20/month and Accounting Premium $30/month, before introductory discounts, according to Patriot’s pricing page.

Both Patriot plans include unlimited customers and invoices, unlimited vendors and contractors, automatic bank imports, income and expense tracking, payment acceptance, financial reports, and account reconciliation. Premium adds estimates, user-based permissions, recurring invoices, payment reminders, receipt and document management, and subaccounts.

Patriot is a practical choice for a U.S. small business that wants uncomplicated bookkeeping and may already be considering Patriot Payroll. The two products are separate, however; buying accounting does not automatically include payroll.

Patriot lists Basic Payroll at $17/month plus $4 per worker paid, and Full Service Payroll at $37/month plus $5 per worker paid, before discounts. Full Service Payroll charges $12 for each additional state beyond the included state-filing setup. Patriot’s bookkeeping service requires Accounting Premium, according to Patriot.

8. Odoo Accounting: best for accounting tied to an ERP

Standard pricing: Custom, based on users, applications, and deployment; Odoo’s ERP comparison explains that pricing depends on configuration.

Odoo is not simply an invoicing program. Its Accounting app supports double-entry bookkeeping, cash- and accrual-basis reporting, bank synchronization, reconciliation, budgets, asset management, multi-company accounting, multi-currency transactions, inventory valuation, and financial reporting. It can connect those functions to sales, purchasing, inventory, manufacturing, CRM, and other operational modules, according to Odoo’s Accounting documentation.

Odoo distinguishes its standalone Invoicing app from Accounting. Invoicing handles billing, while Accounting adds full financial reports, bank reconciliation, budgets, assets, and related accounting functions.

The trade-off is implementation work. Pricing depends on the number of users and apps, so a single “Odoo accounting price” can be misleading. The documented settings path is Accounting → Configuration → Settings. Multiple companies can exist in one database, but users work on one company’s accounting at a time. Country-specific localization packages support more than 100 countries, but tax suitability still depends on configuring the correct localization, according to Odoo.

9. GnuCash: best free open-source desktop accounting

Standard pricing: Free.

GnuCash provides genuine double-entry accounting without a subscription. It runs on Windows, macOS, Linux, BSD, Solaris, and related platforms. The project lists version 5.16 as its current stable release, according to the GnuCash project.

Features include checkbook-style registers, scheduled transactions, bank-statement reconciliation, invoices, customer and vendor tracking, bill payment, budgets, reports, graphs, multiple currencies, and QIF or OFX import, according to the GnuCash features page. It is a reasonable option for a technically comfortable individual, household, nonprofit, or very small business that does not need hosted collaboration.

GnuCash is primarily a local application, so the user is responsible for file security, backups, and access management. SQL database storage is documented as experimental, and the project warns that unusual cases can result in data loss. The manual uses menu-based workflows such as Tools → Assistants, with business tools appearing when appropriate to the current window and installed components.

GnuCash does not include hosted payroll, payment processing, an app marketplace, or automatic cloud collaboration. Those are differences in product model, not features hidden behind a paid tier.

10. Sage Intacct: best for mid-sized and complex organizations

Standard pricing: Custom quote.

Sage Intacct is a cloud financial-management and ERP platform rather than a typical small-business bookkeeping app. Sage generally positions it for organizations with at least 20 employees, and its FAQ says it is typically suited to businesses with more than $4 million in annual revenue or more than 20 employees, according to Sage’s Intacct information.

The platform supports accounting, planning, analytics, HR, payroll, multi-entity operations, integrations, and financial controls. Its advertised AI capabilities include anomaly detection, accounts-payable automation, close-task assistance, and answering questions about financial reports.

There is no standard public price. The cost depends on the organization’s size, entities, users, modules, and requirements. Sage recommends expert implementation, and its current FAQ says implementation typically takes three to six months depending on scope and planning. Intacct generally uses an annual subscription, not a simple month-to-month plan.

It should not be treated as a direct replacement for Sage 50. Sage 50 is aimed at smaller businesses with more straightforward accounting, while Intacct is designed for scaling and mid-sized organizations that need stronger controls and multi-entity reporting.

How to choose accounting software

  1. Count your transactions and clients. Check invoice, bill, expense, receipt, and client limits rather than looking only at the headline monthly price.
  2. Decide whether you need cash or accrual accounting. A sole proprietor may start with cash-basis reporting, while inventory, receivables, payables, or outside financing may make accrual accounting more useful.
  3. List required add-ons. Price payroll, payment processing, extra users, additional businesses, inventory, and accountant access separately.
  4. Check integrations before subscribing. Confirm that your bank, payment processor, point-of-sale system, payroll service, and tax tools connect properly.
  5. Choose cloud or desktop deliberately. Cloud software simplifies remote access and collaboration. Desktop software can offer local control and specialized inventory or job-costing tools, but backups and access become your responsibility.
  6. Ask your accountant about the chart of accounts and tax setup. Automation can categorize transactions, but it cannot independently confirm that every transaction has been treated correctly.

Common claims that need a closer look

  • QuickBooks Desktop and QuickBooks Online are not the same product. They use different deployment models and have different features.
  • Xero Early is not unlimited. The U.S. plan allows 20 invoices and five bills, and some connected-app transactions may count toward the invoice limit, according to Xero.
  • Zoho Books Free is not unlimited. The $50,000 annual-revenue threshold and transaction, user, and receipt-scan limits matter, according to Zoho.
  • Wave is not completely free. Starter accounting is free, but Pro, payments, payroll, and other services are separately priced, according to Wave.
  • FreshBooks’ unlimited invoices do not mean unlimited clients. Lite and Plus still impose client limits, according to FreshBooks.
  • Sage 50 is not an ordinary month-to-month subscription. The listed plans require a one-year minimum commitment, and unpaid accounts become read-only, according to Sage.
  • Free software does not remove the need for accounting knowledge. You still need a suitable chart of accounts, accurate classifications, reconciliations, tax settings, and year-end review.

What is the best accounting software for a small business?

QuickBooks Online is the strongest general-purpose choice for many U.S. small businesses because of its accountant network, integrations, invoicing, reporting, and scalable plans. Xero, Zoho Books, Wave, or FreshBooks may be better when collaboration, low cost, free bookkeeping, or client invoicing is the priority.

What is the best free accounting software?

Wave is the simplest free cloud option for basic bookkeeping, while GnuCash is the stronger free choice for users who want desktop double-entry accounting and do not need cloud collaboration. Zoho Books also has a free plan, but it is limited to businesses below $50,000 in annual revenue and has transaction and user limits, according to Zoho.

Is accounting software worth paying for?

It can be, especially when automatic bank feeds, reconciliation, recurring invoices, tax reports, payroll connections, and accountant access save more time than the subscription costs. Compare the complete cost, including payment processing, payroll, extra users, and add-ons, rather than just the advertised entry price.

Should a freelancer use QuickBooks, FreshBooks, or Wave?

FreshBooks is strongest when client management, estimates, time tracking, retainers, and service invoicing are central. Wave is suitable for a very small operation with simple income and expenses. QuickBooks Online is the better long-term choice when you expect more complex reporting, integrations, inventory, payroll, or accountant involvement.

The Bottom Line

For most U.S. small businesses, QuickBooks Online is the most versatile starting point. Choose Xero when several people need collaborative access, Zoho Books when value and automation matter, FreshBooks for client-based services, and Wave for basic free bookkeeping.

Businesses that need local desktop workflows, inventory, or job costing should examine Sage 50. GnuCash is the no-subscription option for users comfortable managing files and backups. Odoo Accounting makes sense when accounting must connect to broader operations, while Sage Intacct belongs on the shortlist for larger, multi-entity organizations—not most solo businesses.
