Microsoft does not currently sell a mainstream product officially named “Microsoft Accounting Software.” For most small and midsize businesses, the current Microsoft product that most directly fits that description is Dynamics 365 Business Central. It combines accounting with sales, purchasing, inventory, projects, service, manufacturing, reporting and workflow management. Microsoft Office Accounting was a separate historical product and is discontinued.
What “Microsoft accounting software” means today
The phrase is commonly used as a search term or description, not as the formal name of one current application. Microsoft’s accounting-focused product page identifies Business Central as its solution for businesses and accounting practices: Microsoft’s Business Central accounting page.
Microsoft also sells other finance products, including Dynamics 365 Finance, aimed at larger or more complex organizations. That is different from the usual small-business search for accounting, invoicing and bookkeeping software.
What is Dynamics 365 Business Central?
Business Central is a cloud business-management and enterprise-resource-planning (ERP) system built primarily for small and midsize organizations. Accounting is its foundation, but transactions can flow through the same system from a sale, purchase, warehouse movement, project or service job into the financial records.

Microsoft emphasizes the online subscription edition, while its documentation also covers on-premises deployments. Online signup requires a work or school email address; a consumer address such as Gmail or Outlook.com is not accepted. A Microsoft 365 subscription is not required, although Microsoft 365 can provide a more integrated experience. What accounting work can Business Central handle?
General ledger and financial control
- Chart of accounts, journals and posted general-ledger entries.
- Customer and vendor ledgers, receivables and payables.
- Financial statements, budgets, analysis and role-based dashboards.
- Approval workflows, permissions and audit trails.
Sales, invoicing and receivables
Quotes and sales orders can lead to invoices, customer balances and payment tracking. Customer records, credit information and sales reporting remain connected to the accounting entries rather than being maintained in separate spreadsheets.
Purchasing and payables
Purchase orders, receipts and vendor invoices can be matched and posted through purchasing workflows. Approval rules can route spending to the appropriate manager before payment.
Banking, payments and reconciliation
Bank and payment processes support cash visibility and reconciliation workflows. Exact bank connections, payment formats and electronic-document capabilities depend on country, bank and configuration.
Inventory, costing and margins
Inventory movements, item costs and sales margins can update financial records. This is a major difference from basic bookkeeping applications that do not manage stock, warehouses or operational costing.

Fixed assets, projects and reporting
Fixed-asset records, depreciation, project accounting, budgets and financial analysis extend the system beyond simple income-and-expense tracking. Multiple companies and reporting across entities are possible when the appropriate licensing and configuration are in place.
Tax and localization
Tax calculations, withholding, e-invoicing and statutory reporting vary by jurisdiction and localization. Business Central is not a universal guarantee of compliance. Confirm the required country features and your partner’s experience before signing a contract.

- Purchasing, inventory and warehouse processes.
- Projects and job costing.
- Service management.
- Manufacturing.
- Workflow automation and approvals.

Check Microsoft’s current pricing page before purchasing. Microsoft says displayed prices can change with country, currency, regional version, checkout method, partner arrangements and licensing circumstances. Essentials and Premium are licensed per user; Team Members is a limited-access license, not unlimited free access. External accountant access and multiple-company rights are subject to licensing rules.
Budget for more than subscriptions. Implementation, data migration, chart-of-accounts design, configuration, training, support, extensions, integrations and renewals can materially increase total cost. Copilot agents may also require separate Copilot Credits, and Microsoft states that Azure is required for certain agent-billing arrangements.

Does it include payroll?
Do not assume Business Central is a complete native payroll system for your location. Payroll availability and integrations depend on country, partner and configuration. Before choosing it, verify U.S. federal, state and local taxes (or the equivalent in your country), W-2 and 1099 processing, time tracking, benefits, deductions and third-party payroll connections.
What is Microsoft Copilot’s role?
Microsoft is adding Copilot and agent capabilities for tasks such as forecasting, financial close, performance metrics, payables, electronic documents, expense reports and tax-related processes. The 2026 release plan labels some capabilities as planned. Availability can differ by region, license, preview status, tenant and administrator settings.
AI assistance does not transfer accounting responsibility. Treat generated suggestions, classifications and forecasts as items for review, with approval limits, segregation of duties and month-end controls defined by your organization.

Is Microsoft Office Accounting still available?
No. Microsoft Office Accounting was an older application that evolved from Microsoft Small Business Accounting and targeted smaller companies. Avoid unofficial downloads that claim to revive it.

- Growing businesses that have outgrown entry-level bookkeeping software.
- Companies whose accounting must connect to inventory, purchasing, projects, service or manufacturing.
- Organizations with multiple companies, locations, currencies or more demanding reporting.
- Businesses already using Teams, Power BI, Power Automate, Azure or other Microsoft services.
- Accounting practices managing multiple client environments.
- Organizations able to fund implementation, administration and ongoing support.
Microsoft also positions Business Central for small businesses at its small-business solutions page.
Who should choose simpler accounting software?
Business Central may be excessive for a freelancer, sole proprietor or very small service business that only needs income and expense tracking, a few invoices and basic reports. It is also a poor fit if you want a purely self-service setup, need only payroll or receipt capture, or cannot support partner-led configuration and administration. Microsoft 365 familiarity does not make Business Central an Excel replacement; it is a serious multi-user business system.
Business Central compared with common alternatives

How to evaluate Business Central before buying
- Document your current accounting and operational workflows.
- List required banking, payroll, tax, e-commerce, CRM and warehouse integrations.
- Separate essential capabilities from future possibilities.
- Map every user’s required access before selecting licenses.
- Ask a Microsoft partner for a demonstration using realistic transactions.
- Test migration with sample customers, vendors, items and chart-of-accounts data.
- Verify country-specific tax, payroll, e-invoicing and reporting requirements.
- Get implementation, support, storage, add-on and renewal costs in writing.
- Define approval limits, segregation of duties, month-end close and audit procedures.
- Keep the old system available during reconciliation and cutover.
Bottom line
Microsoft’s current accounting-centered product for small and midsize businesses is Dynamics 365 Business Central, not an application formally named “Microsoft Accounting Software.” It is a broad ERP that makes sense when finance must work alongside operations. For straightforward invoicing and bookkeeping, a simpler accounting product will usually be easier and less costly.
