Depending on the model, it can take card tap, insert and swipe transactions, UPI QR payments, wallets and EMI, while also offering receipts, settlement reports and business apps.
A payment terminal is not automatically a complete POS system. A terminal processes payments; a full POS system additionally manages products, inventory, invoices, returns, staff permissions, tax settings and reports. The right choice depends on whether you need only payment acceptance, mobile collection, printed receipts or complete retail billing.
What does a POS machine do?
A terminal sends a card or UPI transaction through the acquiring and payment network to the customer’s bank. The terminal displays (and sometimes announces) approval or decline, but that message is not the same as immediate settlement into your bank account. Settlement timing, cut-offs and instant-settlement availability depend on the provider and your merchant agreement.
Card payments
- The cashier enters the amount or sends it from billing software.
- The customer taps, inserts or swipes the card.
- The terminal reads the card credential and requests a PIN when required.
- The acquirer routes the authorisation to the issuing bank.
- The terminal shows the result and creates a receipt where enabled.
- The provider settles the transaction according to its schedule.
UPI payments
UPI can use a static QR, a dynamic QR linked to a specific invoice, a QR displayed on the terminal or an integrated billing-to-payment flow. Dynamic or integrated QR generally reduces amount-entry errors and improves reconciliation. Pine Labs describes static, dynamic and integrated DigiQR options at Pine Labs UPI options.

Best for: Supermarkets, electronics shops and medium retailers needing printing, EMI and integrations. Best for: Retail and restaurant counters using Razorpay or requiring printer-equipped Android billing. How much does a POS machine cost?
Separate the hardware or rental from MDR and software. Vendor starting prices visible on their pages included Pine Labs Mini ₹75, Go ₹200, Touch ₹350 and Duo ₹450 per month. These are starting prices, not guaranteed quotes, and were displayed on August 18, 2026. Zoho POS software lists ₹649, ₹1,299 and ₹2,099 per location per month when billed annually for Standard, Professional and Premium, respectively, plus a free plan (Zoho POS pricing).
Budget separately for GST, installation, deposits, SIM/data, paper, software subscriptions, extra users or outlets, replacement, refunds, chargebacks, instant-settlement fees, minimum tenure and device-return obligations.
MDR and settlement
MDR varies by card or UPI method, network, merchant category, transaction value, acquirer and promotion. BharatPe publishes starting figures of 0.40% for debit cards, 1.25% for credit cards and 0% for RuPay debit cards; these are provider figures, not universal rates (BharatPe). Paytm publishes different rates by method and category (Paytm pricing). Ask for the rate, GST treatment, settlement cycle, cutoff, reversal handling and any instant-settlement charge in writing.

- Kirana or low-volume shop: Choose a UPI soundbox or hybrid such as Pine Labs Mini if card tap is also needed.
- Pharmacy or restaurant: Prefer a printer-equipped terminal if paper receipts and reprints matter.
- Delivery or field sales: Choose a handheld 4G device or SoftPOS; prioritise battery and digital receipts.

Onboarding and documents
Providers commonly request owner and business details, PAN, bank-account information, address or shop proof, KYC and, where applicable, GST and merchant-category details. Exact requirements differ by provider, entity type and risk review.

Common problems and fixes
Customer debited but terminal says failed
- Do not immediately retry.
- Record the transaction reference.
- Check the merchant dashboard and the customer’s bank status.
- Raise a dispute if it remains pending; refund or recollect only after status is clear.
Delayed settlement
Check for a reversal, bank timeout, incorrect settlement account, cutoff delay or pending transaction. A successful terminal message does not guarantee instant credit.
Fake UPI screenshot
Use a soundbox or verify the transaction in the merchant app or dashboard rather than relying on a customer’s screenshot.
Network or printer outage
A device may switch from Wi-Fi to 4G, allow offline billing only or lose payment connectivity. Do not assume offline card or UPI payments are supported without provider documentation. Keep digital receipts available if the printer jams or runs out of paper.
Refunds and cancellation
Distinguish a full or partial refund from a reversal or cardholder chargeback. Before accepting a rental, check minimum tenure, notice, pickup, damage liability, deposit refund and final billing.
Security essentials
- Customers should shield PIN entry; staff must never record PINs or photograph cards.
- Disable a lost terminal promptly and use individual dashboard logins where available.
- Restrict refund permissions and update firmware through the provider’s supported process.
- Encryption and PCI DSS statements should be treated as provider claims unless independently verified; Pine Labs makes such claims for Touch (Pine Labs Touch).
Software-first alternatives
Zoho POS
Suitable for inventory, purchasing, barcode scanning, multi-location management, reports and offline billing. It may still need a separate payment terminal or QR workflow (Zoho Payments POS).
myBillBook
Runs on Android, iOS and the web and offers invoices, inventory, barcode tools, POS billing and UPI options. Its POS page shows a starting figure of approximately ₹142 per month, while plans and billing bases vary (myBillBook POS; myBillBook POS billing software). Software does not itself replace a card terminal.

Is a POS machine necessary for a small shop?
No. A UPI QR or soundbox may be enough if you do not need card acceptance, printed receipts or inventory billing.

Can a POS machine accept UPI?
Many current terminals support static or dynamic QR, but confirm that UPI is enabled for your merchant account.
Can it work without internet?
Some devices can switch networks or permit offline billing. Do not assume offline card or UPI payments are available unless the provider documents that mode.
Is a soundbox the same as a POS machine?
No. A soundbox primarily announces UPI payments; a POS terminal can accept cards and may provide printing or business applications.
Can I use a phone instead?
Yes, SoftPOS services such as Worldline Tap on Mobile can accept compatible contactless cards on supported NFC Android phones.
Do POS machines support EMI?
Selected devices do, subject to participating banks, cards, products, transaction values and merchant eligibility.
Can a POS machine generate GST invoices?
Payment acceptance alone does not make a terminal a GST-compliant billing system; use compatible billing software and verify tax features.
