What Invoice Data Do Lenders Need—and How Can You Share It Safely?

Lenders’ invoice requests vary by loan and collateral. See which supporting records may be requested and how to verify the recipient and protect files.

There is no universal invoice-data packet for a loan. What a lender asks for depends on the credit product, any collateral, and its underwriting process. For receivables-backed financing, expect invoices to be considered alongside records that help verify the receivable and its value. Before sending anything, confirm the lender’s exact list, required format, and approved submission channel.

What invoice data might a lender request?

For accounts-receivable financing, a lender may review invoices as collateral and ask for supporting records. FDIC materials describe examples of lending and examination practices, not a mandatory checklist for every lender.

  • Invoices: Copies of the invoices included in the financing request.
  • Proof of shipment or delivery: Shipping documents or delivery receipts that support the billed sale.
  • Accounts-receivable aging: A report showing how long balances have been outstanding.
  • Customer concentrations: Information about how much of the receivables comes from particular customers or debtors.
  • Adjustments to billings: Records of returns, allowances, or other reductions that affect gross billings.

In some working-capital or asset-based facilities, the lender may also request a broader borrowing-base package. Examples include accounts-payable aging, inventory detail, loan activity, or covenant-compliance certificates. The applicable records depend on the facility; ask the lender which items it needs and how it wants them prepared.

Why do lenders ask for supporting records?

An invoice shows that a payment is being claimed, but it may not establish on its own that the goods or services were delivered, that the balance remains collectible, or that the amount has not been reduced. Shipping or delivery records, aging reports, customer concentration information, and adjustment records can help a lender assess the receivables and the collateral tied to a financing request.

These are possible underwriting considerations, not a guarantee that a particular lender will request every record or treat each one the same way. Regulation B generally permits a creditor to request information in connection with a credit transaction, subject to applicable limits, including those concerning privacy, privileged information, and credit reporting. It does not mean every field is necessary for every loan. Ask the lender to confirm its current checklist and required file format before sharing records.

How can you share invoice files more safely?

  1. Verify the request and recipient. Confirm the lender, the person or team receiving the files, and the requested records. Use contact details you already know are genuine.
  2. Use a confirmed submission route. Prefer the lender’s authenticated portal or another channel the lender has confirmed. Do not assume that rules for third-party financial-data access apply to every invoice upload. For third-party access covered by Regulation 1033, review the authorization disclosure for the third party and data provider, the data categories, stated purpose, duration, and revocation method.
  3. Protect the files and account. Encrypt sensitive files when sending them outside your business, limit access to people who need the records, use a strong unique password for the portal account, and enable multi-factor authentication.
  4. Verify unexpected instructions independently. Do not follow an unsolicited email link or accept a sudden change to payment or upload instructions without checking. Navigate to the lender’s website independently, then call a number you already know is correct to confirm the request.
  5. Limit what you send. Share the records the lender requests, not unrelated customer, employee, or banking data. The minimum invoice fields depend on the lender’s purpose and request; confirm them rather than guessing or sending a larger file set “just in case.”

How should you compare submission options?

If the lender offers more than one way to submit documents, compare the safeguards and controls rather than choosing based only on convenience.

Lender confirmation The lender has confirmed that the channel and recipient are approved for the requested records.
Account protection The channel uses authenticated access and supports multi-factor authentication.
Transfer protection Sensitive files are encrypted during transmission or before being sent outside your business.
Recipient access Access is limited to people who need the records.
Third-party data authorization, where applicable The disclosure identifies the parties, data categories, purpose, duration, and revocation method.

A hardware security key can be an optional second factor if the lender’s portal supports it. It protects access to the account; it does not replace an approved transfer channel or file encryption.

Does small-business lending regulation set an invoice checklist?

No. The CFPB’s small-business lending rule concerns lender data collection and reporting; it does not define a universal invoice packet borrowers must provide. The CFPB resources page states that a final rule published May 1, 2026 extended the compliance date for portions of the rule to January 1, 2028, and that related implementation materials would be updated later. Consult the CFPB small-business lending resources for current implementation information.
