University of York plumps for Workday to spruce up HR and finance

York is replacing fragmented HR and finance technology with Workday HCM and Financial Management, implemented with KPMG UK. The current phase-one launch date is 8 February 2027; £36m in savings is only a forecast.

The University of York has selected Workday Human Capital Management (HCM) and Workday Financial Management for a university-wide replacement of ageing HR and finance technology. KPMG UK is the implementation partner. York’s latest published plan puts the first phase into operation on 8 February 2027, while projected savings of £36 million over 14 years remain a university forecast, not a result achieved to date.

Why York chose Workday

York says its existing environment includes outdated and expiring systems, fragmented information and substantial manual, repetitive work. Workday’s announcement describes more than 30 separate HR and finance applications, plus 27 additional systems; that count is a vendor-reported description of York’s estate, not an independently audited total. The university’s evaluation concluded in August 2025 after what York calls a robust process. Workday publicly announced the selection on 10 December 2025. York’s stated objectives are to simplify work, improve data and reporting, automate routine activity and make responsibilities clearer across HR and finance. Nigel Alcock, York’s Chief Financial and Operating Officer, explained the decision in Workday’s release: “With critical system deadlines approaching and the complexity of managing numerous applications across HR and finance, we needed a partner that could deliver a scalable, integrated solution.”

Who is delivering the transformation?

Workday is supplying the HCM and Financial Management platforms, and KPMG UK is the named implementation partner. York staff are participating in analysing and configuring processes, rather than simply receiving a finished system. The university says it cannot promise every requested feature will be delivered at launch and expects to keep refining the service after go-live. (York common questions)

Which systems will Workday replace?

York’s system-change page distinguishes between applications that will be fully replaced and systems that will remain while connecting to Workday. The page says the changes take effect from the first phase on 8 February 2027. It also lists cases where a business process moves into Workday even though an associated application is not simply switched off. (York system changes)

The definitive list can change as design work continues, so the university’s system-change page is the appropriate reference for the latest status.

What staff and finance teams will do in Workday

The programme covers considerably more than payroll. York identifies work across the employee lifecycle and core financial operations:

  • advertising vacancies, recruiting and onboarding;
  • career development, performance and goals;
  • benefits and personal-information changes;
  • payroll, time and attendance;
  • financial strategy and reporting; and
  • selling departmental services.

The new service is intended to be available through a web browser or mobile app, protected by Duo two-factor authentication. That access model is a planned feature of the programme, not evidence that the system is already live. (York system changes)

When will York move to Workday?

The current official schedule identifies 8 February 2027 as the phase-one date. York’s programme timeline and system-change page are newer and more specific than an earlier 8 December 2025 HR news item that referred to switching by November 2026; the published plan has therefore moved to February 2027. “Phase one” matters: it is the first scheduled release, not a guarantee that every later refinement or integration will be complete on that date. York says continuous improvement is expected after launch.

What benefits does York expect?

More self-service and less manual work

York’s case for change is that staff should reach everyday HR and finance tasks more directly, with automation reducing repetitive handling and producing more consistent processes.

Better information and reporting

A more unified data structure is intended to improve reporting and give managers cleaner information for decisions. These are programme aims; York has not published post-implementation measurements because the system is not yet live.

A long-term financial forecast

York’s FAQ gives one quantified estimate. Charley, a Senior Business Analyst leading the cost-benefit analysis, says: “I’ve been leading the cost-benefit analysis around the transformation, and we expect it to save us £36m over the next 14 years.” This is the university’s expectation over a 14-year period, not a realised saving or an independent audit finding. What remains uncertain?

Implementation is still planned, so final integrations, delivery results and actual savings cannot yet be verified. Stakeholder involvement can improve the fit of configured processes, but it also means requirements may continue to change. York’s Director of IT, Tyrrell, states the trade-off plainly: “We can’t promise everyone everything – but we will be in a position to continuously refine after we go live.” (Computer Weekly, 12 December 2025)

Workday says more than 650 educational institutions across 19 countries had used its systems by 2025, and that Workday Student supported more than 3 million student records worldwide. Those are vendor-reported figures that provide sector context; they do not independently validate York’s timetable, implementation quality or £36 million forecast. (Workday, 2025)
