Local businesses can use social networks, marketplaces and hosted software without letting those services become the only place their identity, customer relationships or essential records exist. The practical aim is control and recoverability: keep business authority over key accounts, preserve usable copies of important information, and maintain more than one way for customers to reach you.
What it means to control your digital business assets
Control does not mean building every tool yourself or refusing to outsource. It means the business can administer or recover its identity, reach customers through another route if a platform is unavailable, access its records where permitted, and move providers without losing the basics of continuity.
A website, domain, business email, customer records, social profiles and cloud files serve different purposes. A platform can help people discover or book your business; a domain and direct contact route give you an identity and channel that are not wholly dependent on that platform. Ownership is practical: know which account is authoritative, who can access it, how it can be recovered, and what information can be taken elsewhere.
Why platform dependence creates a business risk
Discovery is not the same as control
A social profile or marketplace listing can be valuable for discovery and transactions, but it does not necessarily give a business full access to the customer information or audience data generated there. A 2018 European Commission study of platform-to-business relations found businesses often lacked access to data they valued for marketing, including customer email addresses, platform user profiles and behaviour data. It does not establish that every platform blocks every export: review the current terms and export tools of each service, and handle any customer data in line with privacy law. One account can become a point of failure
If customers can find you only through one platform, losing access to that account can disrupt communication and sales. A direct route—such as a business website, phone number or domain-based email—gives customers another way to find or contact you. It is a continuity measure, not a guarantee against outages or account disputes.
Business access is a financial and operational concern
In the UK Business Data Survey 2025–2026, 78% of surveyed businesses reported having a website; the base was 4,450 UK businesses. The estimate was 84% for micro businesses, 76% for sole traders and 92% for small businesses. Website management was mixed: among businesses with a website, 29% used both in-house and external support, 27% managed it entirely in-house, 24% used an external developer or platform entirely, and 17% managed it in-house using a platform provider. How to own your business website and domain
Keep the domain under business control
A domain may underpin both a website and business email. The UK National Cyber Security Centre warns that attackers who gain control of a domain may hijack websites, email accounts and other connected services. Register and manage the domain through an account controlled by the business or an authorised business-controlled identity—not solely a former employee’s or contractor’s personal account. Use a work-controlled recovery email, enable available protections, track renewal, and preserve transfer and recovery details. See the NCSC’s guidance on protecting your public domain name.

Outsource the work, not the keys
A developer or hosting company can maintain a site without being the only party able to administer it. Keep business administrator access, know which provider hosts the site, and retain source content or an export where available. Ask how access would be recovered and what can be moved if the provider relationship ends. The UK survey’s mix of in-house, external and platform-assisted website management illustrates why separating service delivery from account authority matters.
What to do if your business loses access to a platform account
Do not make a platform account your sole customer contact route. Keep direct contact details on your website and in customer communications, maintain a business email and phone channel, and document each account’s owner and recovery route. Restrict administrator access to people who need it, and remove stale staff or contractor access when roles change.

Secure the accounts that can unlock the others. The NCSC advises small organisations to secure email first, then review important accounts such as social media, online storage, the company website and domain hosting. Where available, enable passkeys for business-critical accounts; otherwise use strong, unique passwords and two-step verification. Keep recovery information in a business-controlled place. Email deserves particular attention because it may contain sensitive information and can be used to reset other accounts. The FBI Internet Crime Complaint Center reported a 9% increase in identified global exposed losses from business email compromise between December 2022 and December 2023. That is a dated change in identified losses, not an estimate of an individual business’s likelihood of being targeted. Can you take your customer list with you when switching platforms?
Sometimes—but do not assume you can export every customer detail or platform-generated insight. What is available depends on the service’s current tools and terms, the information involved, and applicable privacy and direct-marketing rules. The 2018 EU study is useful evidence that businesses may not receive access to all platform data they value; it is not a description of any named platform’s current policy.
Collect contact information through lawful, transparent methods and retain a usable copy in a business-controlled system when permitted. Explain what customers are signing up for, follow the rules that apply in your jurisdiction, and keep records in a format you can actually use. A platform audience is not automatically an exportable mailing list.
How to back up your website and customer data
Identify what the business could not afford to lose or recreate quickly. The NCSC’s small-organisation guidance includes websites, email, invoicing, documents, contacts and customer information among the data to copy. Keep at least one independent copy, stored online or on external media such as a drive or USB device. Store removable media securely and disconnect it when not in use. A backup is only useful if it can be restored, so periodically check that the copy is readable and the recovery steps work. Follow the NCSC’s backing-up guidance for small organisations.
A practical control checklist for a local business
- Domain: Confirm the business controls the registrar account, recovery email and renewal process; retain transfer and recovery information.
- Website: Keep administrator access, know the host, and retain content or an export where available.
- Email: Protect business email strongly and document a second authorised administrator or recovery route.
- Customer contacts: Capture and retain information only through lawful, transparent methods, and do not treat a platform audience as a portable list.
- Social and marketplace accounts: Record ownership and recovery details, limit admin access, and provide customers another contact route.
- Backups: Keep independent copies of important records and test restoration periodically.
- Access: Use passkeys where available or unique passwords with two-step verification; remove access that is no longer needed.
How to compare a hosted platform with an owned channel
There is no single setup that suits every local business. A small business may reasonably use a marketplace or hosted website service while retaining domain administration, data copies and direct customer contact. Before relying on a service, consider:

- Account ownership: Is the account registered to the business, and can the business recover it if a staff member or vendor leaves?
- Data access: Can customer information and content be exported in a usable format, subject to the service’s terms and privacy law?
- Portability: Can the domain, content, records and customer communications move to another provider?
- Customer reach: Are you relying on one platform’s discovery, or can customers also reach you directly?
- Continuity: Are independent copies available, and has restoration been checked?
- Security: Are passkeys or MFA, role-based access and recovery controls available and enabled?
- Effort and cost: What recurring fees, staff time, technical help and maintenance does the arrangement require?
