For most structured SEO teams, Asana is the safest project-management pick: it supports dependencies, templates, custom fields, forms, timelines, and dashboards without requiring the team to build its own system from scratch. ClickUp is a strong value and customization alternative; monday.com suits teams that prefer visual boards and cross-functional dashboards. None replaces an SEO data platform such as Semrush or Ahrefs: project-management software coordinates the work, while specialist tools provide much of the keyword, crawl, ranking, and backlink data.
There is no universal winner. The right choice depends on whether you are coordinating a solo content calendar, multiple agency clients, or technical SEO work inside engineering sprints.

What SEO project-management software does
It gives the team a shared place to track who does what, by when, in what order, and with what approval status. Typical work includes keyword prioritization, search-intent mapping, briefs, content production and refreshes, internal linking, technical fixes, schema implementation, Core Web Vitals work, link building, local or international SEO rollouts, approvals, publishing, and post-publication measurement.
The platform does not make strategic decisions for you or guarantee rankings. It makes the work and its ownership visible. A board with columns labeled “Keyword Research” and “Published” is still only a workflow unless the team defines the tasks, evidence, responsibilities, and success measures behind those labels.
How to evaluate a platform for SEO
Campaign structure and fields
Check that the tool can represent your actual scope: portfolio, site or client, campaign, workstream, task, and subtasks. It should handle recurring work, multiple sites or markets, and dependencies among content, SEO, design, and engineering. Add fields for information the team needs to act on, such as target URL, primary keyword, intent, content type, current and proposed URL, priority, owner, brief link, CMS status, publication date, refresh date, and measurement status. These are usually fields you create; do not assume a PM product supplies SEO data natively.
Keep large keyword lists, crawl exports, backlink records, and analytics datasets in a specialist platform or data warehouse. Link the actionable finding or report to the task rather than copying every row into the PM system.

Workflow, dependencies, and intake
A content task may depend on research, then briefing, drafting, SEO review, stakeholder approval, and publication. A migration may require redirect mapping before launch and validation afterward. A dependency feature helps make blockers visible instead of leaving sequence in comments or people’s memory.

Use an intake form for content requests, technical issues, redirect requests, new-page proposals, or client changes. Ask for enough context to avoid clarification loops, but keep it short enough that people will use it. Agree on one place to submit work; if requests keep arriving through email, chat, and meetings without being captured, the PM tool will not be a reliable source of truth.
Collaboration and reporting
For a mixed team, assess task-level comments, documents and files, proofing, approvals, external guests, notifications, and integrations with the team’s existing communication tools. Agencies should test exactly what clients can see and do, and whether external collaborators consume paid seats.

Rankings, organic clicks, impressions, conversions, indexed pages, crawl errors, backlinks, and revenue generally require data from Search Console, analytics, or an SEO platform. Semrush describes Google Analytics and Search Console integrations, scheduled reports, PDF exports, and external integrations on higher reporting add-ons on its SEO pricing page. A project marked complete is not proof that organic performance improved.

Asana: best overall for structured SEO teams
Asana is the most balanced starting point for teams that want repeatable projects, visible dependencies, and manageable setup. Build templates for content production, technical audits, refreshes, and site migrations; use custom fields for URLs and priorities, forms for intake, and timelines to expose sequencing. Starter’s listed feature set covers many needs of a growing team, while portfolios, workload, and approvals are among Advanced’s additions. The main drawback is that SEO-specific fields and measurement still need to be configured or connected.
Choose it if you need structure without building a highly customized database. Look elsewhere if engineering tickets need deep software-development workflows or if keyword and crawl data must be native to the same product.
ClickUp: best value and customization
ClickUp suits teams that want tasks, Docs, time tracking, multiple views, dashboards, and dependencies in a configurable workspace. It can accommodate an elaborate SEO schema, but that flexibility can turn into a maintenance job. Assign someone to own templates, fields, statuses, permissions, and cleanup before rolling it out broadly. The published comparison lists Free Forever, Unlimited at $7 per user/month, and Business at $12 per user/month with annual-billing context; confirm the plan page for current availability and limits.

It is a strong option when the team will actively manage its workspace. A group seeking a deliberately simple interface may adopt a more constrained tool more consistently.
monday.com: best for visual, cross-functional campaigns
monday.com is a good fit when marketing, content, design, and other functions want visual boards, forms, automations, and dashboards. Its portfolio and resource-management features can help teams view work beyond one board. The current pricing view displays a free plan for up to two seats and Basic at $9 per seat/month billed annually; cost depends on selected seat quantity, product edition, geography, and other terms. Choose it for visible coordination across functions, not for built-in SEO intelligence. It may be less attractive if seat economics or configuration complexity outweigh the value of its visual approach.
Teamwork: best to evaluate for client-service agencies
Agency work often requires more than task tracking: client separation, workload, time, and service delivery matter too. Teamwork is worth evaluating in that context. Before committing, test client permissions, project isolation, guest-seat treatment, time and billing workflows, and reporting against your actual agency process. Wrike is a candidate when several teams need portfolio visibility, workflow controls, reporting, permissions, and resource management. Those controls can bring implementation overhead, so define the governance requirements that justify them and confirm relevant security, support, and plan details on Wrike’s pricing page. It is unlikely to be the simplest choice for a solo SEO or a small content operation.
Trello: best for straightforward Kanban
Trello is useful when a freelancer or small team needs a low-friction content calendar or simple pipeline. Cards can hold checklists, due dates, and links to briefs, but a basic Kanban flow is not a substitute for portfolio reporting, workload planning, or robust dependencies. Check current plans at Trello’s pricing page before deciding whether its limits fit multiple clients or collaborators.

Jira: best for engineering-led technical SEO
Use Jira when SEO fixes belong in the same backlog as bugs, releases, and developer sprints. A ticket can include affected URLs, reproduction evidence, acceptance criteria, and validation steps. That makes ownership and release tracking easier for engineering teams, but may feel cumbersome for writers, editors, or clients. Notion or Airtable: best for documentation or database-first systems
Notion can combine briefs, guidance, databases, and lightweight tasks; Airtable can model keyword inventories, URL catalogs, and editorial calendars. Both reward careful design, but neither should be selected on flexibility alone if the team needs mature dependency management, resource planning, or operational reports with little setup. Score each candidate from 1 to 5 against your real workflows, then multiply by the weight. The weights below are a starting point, not an industry benchmark.

Do not award points just for feature volume. A capability matters only if the team can configure it, people will use it, and it reduces coordination friction. Test the real seat mix: full members, guests, contractors, writers, developers, and clients may be treated differently. Also verify billing cadence, minimum seat blocks, automation quotas, dashboard and permission limits, storage, AI credits, API access, reporting add-ons, taxes, regional currency, and cancellation terms.

Usually, yes, if the team needs dedicated SEO research and measurement. The tools serve different jobs:
- Project-management platform: owners, deadlines, dependencies, approvals, and campaign status.
- Semrush or Ahrefs: keyword and competitor research, audits, rank tracking, backlink analysis, and related SEO reporting, depending on plan.
- Search Console and analytics: first-party search and site-performance data.
- CMS, GitHub, or Jira: publishing and implementation systems, where applicable.

Ahrefs’ pricing page displays Lite at £99/month, Standard at £199, Advanced at £359, and Enterprise at £1,199, while also advertising annual-payment savings. Separate Ahrefs help pages show Starter at $29 and Lite at $129, so the product surfaces show different currency or billing contexts. Do not compare those figures as though they were the same offer: verify the plan, currency, and billing terms on Ahrefs pricing, its Starter documentation, and plan comparison.
Keep the actionable URL, query, issue, or report link on the relevant task so the team can connect execution to results. Do not treat a completed-task percentage as an SEO outcome.
Set up a repeatable SEO workflow
Build the workspace around actual ownership
A practical hierarchy is a portfolio for the SEO program, projects for each website, client, country, or major initiative, workstreams for content, technical SEO, internal linking, digital PR/link building, local SEO, and reporting, then tasks for deliverables and subtasks for research, drafting, review, implementation, and validation.
Choose a small set of custom fields that enables decisions: workstream, URL, primary keyword, search intent, content type, priority, impact and effort estimates, owner, reviewer, client approval, developer status, publication date, last updated, next review date, and measurement status. Avoid copying the full SEO data warehouse into the PM system.

Keep statuses simple
A content workflow might use Backlog, Prioritized, Research, Brief ready, In production, SEO review, Stakeholder review, Approved, Published, Measurement, Refresh required, and Complete. Use these only when each state drives a real handoff or report. A small team may be better served by Backlog, In progress, Review, Published, and Done; too many statuses make adoption and reporting less reliable.
Use task templates with acceptance criteria
A content task should be more specific than “write blog post.” Include its target audience, search intent, primary query, internal-link needs, source requirements, metadata expectations, reviewer, and conditions for publication. A reusable sequence is:
- Confirm the target query and intent.
- Review current search results and competing URLs.
- Identify content gaps and create the brief.
- Assign the writer and draft the page.
- Complete SEO, editorial, and any legal review.
- Publish, then validate indexability, links, metadata, and schema.
- Add the page to rank and traffic monitoring.
- Schedule a results review after a defined interval.
A technical SEO task should identify affected URLs, describe the issue and evidence, state expected impact, define acceptance criteria, name an engineering owner, and link any relevant ticket, pull request, or release. Test in staging where appropriate, validate in production, then monitor crawl, indexing, performance, and ranking effects before closing with evidence.
Make post-publication ownership explicit
Publishing is a handoff, not necessarily the end of SEO work. Assign a person and date for measurement and potential iteration. The interval should reflect the page and campaign rather than an assumed universal waiting period.
Common mistakes that undermine an SEO workflow
- Running a second inbox: If requests stay in email, chat, and meetings, the board becomes incomplete. Set one intake route and make it easy to use.
- Over-engineering statuses and fields: Add complexity only when it changes a decision, handoff, or useful report.
- Disconnecting data from execution: Link relevant SEO evidence and reports to tasks so completed work can be evaluated against outcomes.
