Point-of-Sale System: What It Is and How to Choose One

A POS system does more than take payments. Compare its hardware, software, fees and workflows to find the right fit for your business.

A point-of-sale (POS) system records and completes sales. Depending on the setup, it can also manage inventory, employees, customers, reporting, and sales across physical and online channels. The right choice depends on how your business sells—not on which provider is called “best” or advertises the lowest card rate.

For a small business, the key is to match the system to real workflows, then compare its full cost: software, payment processing, hardware, add-ons, support, and contract terms. A mobile seller may need little more than a phone and reader; a restaurant or multi-location retailer may need specialized hardware and operational tools.

What is a POS system?

The point of sale is the moment and place where a customer completes a purchase. A POS system records what was sold, calculates the price, discounts and tax, accepts or records payment, and creates a transaction record. Modern systems often connect that sale to inventory, employees, customer records and reports. Shopify’s POS overview describes common system components and uses.

A POS can support in-person checkout, mobile or tableside sales, online orders, pickup, local delivery, manually entered orders, payment links or recurring billing. Not every system supports every channel equally: some are designed primarily for retail, restaurants, appointments or ecommerce.

Term What it does

Complete POS system Combines software, hardware, payments and operational tools into a working checkout setup.

How does a POS transaction work?

  1. The customer selects a product or service, or an employee enters the order.
  2. The POS calculates the price, discounts and applicable tax.
  3. The customer pays using an available method, such as a card, mobile wallet, cash or gift card.
  4. The payment is authorized or recorded, and the POS saves the transaction.
  5. Depending on the configuration, inventory, customer records and reporting data update, and a printed or digital receipt is issued.

Refunds, tips, split payments, offline transactions and delayed payment processing can follow different rules. Confirm how the system handles the exact transactions your business makes rather than assuming that “accepts payments” covers every situation.

What does a POS system include?

Hardware

A setup can use a phone, tablet, computer or dedicated terminal, plus some combination of a card reader, customer-facing display, barcode scanner, cash drawer, receipt printer, label printer, kitchen printer or kitchen display. Restaurants may add handheld ordering devices; businesses selling by weight may need a compatible scale. A small mobile seller may need only a phone and reader, while a full-service restaurant may need several stations and kitchen equipment.

Hardware prices vary by vendor and configuration. Shopify’s hardware guide lists examples such as a $349 POS terminal, $49 card reader, $149 tablet stand, receipt printers from $289, barcode scanners from $209, a $139 cash drawer and label printers from $209. These are Shopify-specific examples, not industry-wide averages; see Shopify’s POS hardware guide.

Before buying, check device compatibility, Wi-Fi or cellular options, Ethernet, battery life, spill and drop resistance, printer and drawer connections, warranty, repair or replacement times, and whether hardware can be reused if you change providers. Shopify’s current POS Terminal page lists the device at $349 and says it requires a compatible phone or tablet running Shopify POS version 8.16 or higher. Software and business tools

Depending on the system and plan, software can provide a product catalog or restaurant menu, order entry, pricing and discounts, tax calculation, refunds and exchanges, inventory, purchasing, employee permissions, customer profiles, sales reports, loyalty tools and multi-location management. Booking, table management, time clocks, scheduling, payroll and marketing may be included, available on a higher tier or supplied by an app.

“Inventory” can mean no more than reducing a stock count when an item sells, or it can include variants, barcodes, purchase orders, receiving, transfers, low-stock alerts, ingredients, serial numbers, batches, expiry dates, multiple warehouses and margin reporting. Test the depth you need. For example, Shopify reserves advanced inventory management, purchase orders, low-stock alerts and other detailed retail tools for POS Pro; check its current plan page for inclusions.

Payments and connectivity

Payment processing may be built into the POS provider’s ecosystem, supplied by an integrated processor, or connected through a third-party gateway. Some hardware is restricted to one provider: Clover says devices purchased or leased through its system cannot be used with other payment processors. Treat this as a portability and contract consideration; review Clover’s pricing information and the specific agreement.

Most modern POS systems connect to the cloud for centralized reporting and synchronization, but cloud-connected does not mean fully usable during an internet outage. Ask which sales, payment methods, refunds, open checks, gift cards, loyalty lookups and inventory updates work offline, how long offline operation is supported, and how transactions reconcile after reconnection. Square says offline payments are processed after reconnection and may be declined if the device does not reconnect within 24 hours of the first offline payment. That is a Square-specific policy, described on Square’s pricing page, not a general rule for POS systems.

Power failure is separate from internet failure. Battery-powered devices, a UPS, mobile checkout, backup connectivity and a written manual procedure may each solve different parts of the problem.

Reporting, staff and customer records

Sales reports can show totals by product, category, employee, location, channel, payment method or time period. Financial reporting may cover taxes, fees, refunds, tips and payouts; management analytics may add margins, labor efficiency, customer retention or trends. A POS report is not automatically a complete accounting record, so verify how sales tax, gift cards, chargebacks, refunds, tips and payouts flow into accounting software.

Staff tools may include unique accounts, role-based access, manager approvals, refund and discount controls, time clocks, schedules, commissions and audit logs. Customer features may include purchase history, profiles, loyalty points, gift cards, memberships, marketing or saved preferences. These are most valuable when repeat visits, appointments or customer relationships are central to the business.

Which type of POS fits your business?

Retail store or boutique

Prioritize product variants, barcodes, purchase orders and receiving, exchanges, store credit, location-level stock, ecommerce synchronization, gift cards and employee permissions. A business already centered on Shopify may value its shared online and in-store catalog and order structure; Shopify explains how its POS can support those channels. More demanding purchasing, warehouse or inventory requirements call for a closer look at advanced retail systems and their implementation needs.

Restaurant, quick-service counter or food truck

Restaurants commonly need menu and modifier management, table or open-check workflows, split checks, tips, kitchen routing, handheld ordering, online ordering and delivery connections. Ingredient tracking, labor tools, multiple revenue areas and offline procedures may also matter. Toast positions its platform around restaurant orders, payments, inventory, staff, customers and multi-location operations; see Toast’s POS product page. A general retail system should not be assumed to handle kitchen, table and service workflows well.

A quick-service operator or food truck may need a smaller footprint and faster order entry, portable checkout, kitchen routing, pickup status, simple inventory and reliable connectivity. Test rush-hour ordering and outage handling, not just a quiet demo.

Salon, spa or appointment-based business

Look for booking and staff calendars, client records, deposits, cancellation fees, packages or memberships, tips, commissions, product inventory, reminders and room or resource scheduling. If a retail POS relies on separate booking software, ask how appointments, customer records and payments synchronize; disconnected systems can create duplicate records or reconciliation work.

Mobile service, market vendor or pop-up

A service business may prioritize invoices, estimates, payment links, deposits, recurring billing, customer history, accounting integration and low hardware cost. A market vendor may need phone-based checkout, a portable reader, adequate battery life, cellular operation, digital receipts, simple inventory and a clear offline policy. A full countertop setup is unnecessary unless its inventory, customer or online-sales tools justify the extra cost.

Ecommerce-plus-store or multi-location business

For an online seller adding a physical location, shared products, orders, customer records and inventory may reduce duplicate work. For multiple locations, verify central catalog controls, local pricing and tax settings, transfers, consolidated reporting, location permissions, purchasing, synchronization, replacement procedures and data export. Ask how quickly changes appear across channels and what staff should do if synchronization is delayed.

How much does a POS system cost?

There is no useful universal “average” cost without specifying the business, hardware, plan, processing volume and sales mix. Build a total-cost estimate rather than comparing subscription prices or transaction rates in isolation.

  • Fixed costs: software subscriptions, per-location or per-register fees, advanced modules, hardware purchase or lease, installation, training, support, required apps, data migration and backup connectivity.
  • Variable costs: processing percentages and per-transaction fees, online or keyed-card rates, chargebacks, instant payouts, third-party payment-provider fees, app usage, messaging and marketing.
  • Exit costs: early termination, equipment return or payoff, data export and cancellation of separate apps or services.

Use these estimates with your own sales and transaction counts:

Annual POS cost = subscriptions + payment-processing fees + hardware amortization + required apps + support and training + payment, chargeback and payout fees

Annual processing cost = annual card sales × percentage fee + number of card transactions × per-transaction fee

The fixed fee matters more when average tickets are small. For example, a 10¢ transaction charge is a larger share of a $5 sale than of a $100 sale. To compare quotes meaningfully, use the same monthly volume, average ticket, card-present versus online mix, transaction count, number of locations, refund rate and plan assumptions.

How to interpret advertised rates

A quoted rate may apply only to card-present sales, a specific plan or card type, a certain monthly volume, a provider’s own processor, or a negotiated agreement. Online and manually entered payments can be priced differently. Ask for a written schedule of rates and fees that covers the transactions you actually take.

As US pricing signals checked around August 16, 2026, Shopify’s pricing pages listed in-person rates beginning at 2.6% + 10¢ on Basic, 2.5% + 10¢ on Grow and 2.4% + 10¢ on Advanced, alongside monthly plan costs and potential third-party-provider fees. These figures are plan-specific, not a universal quote; check Shopify POS pricing and Shopify’s general pricing page for current terms. Square says fees vary by plan and businesses processing more than $250,000 annually can contact it about custom pricing; see Square’s current pricing page.

How to choose a POS system

  1. Write down your workflows. Map how customers order, where orders are fulfilled, how many checkout stations you need, which channels you sell through, how inventory is tracked and which other systems must connect. Include your 10–20 most common transactions and five difficult exceptions.
  2. Turn requirements into tests. Make a must-have list based on actual work: for example, exchange a size across locations, split a check three ways, receive part of a purchase order, approve a remote refund or continue an open tab during an outage.
  3. Estimate total cost. Use your own card volume, average ticket, transaction count and sales mix. Include hardware, subscriptions, necessary apps, support, training and contract costs.
  4. Check payment flexibility. Confirm which processor the hardware supports, whether rates can change, what applies to online and keyed transactions, and whether a different processor is allowed.
  5. Verify integrations and data access. Ask whether accounting, payroll, ecommerce, booking, delivery, loyalty and inventory connections are native or third-party, one-way or two-way, real-time or scheduled, and included or separately billed. Confirm export formats and access after cancellation.
  6. Test routine work with staff. Have employees create products, scan items, apply discounts, take tips, split payments, issue refunds, close a shift and reconcile cash. Count the steps and check where errors or manager approvals arise.
  7. Test failures, not just the happy path. Simulate a slow response, internet loss, device swap and reconnection. Find out what can be sold, refunded or looked up offline, and how to avoid duplicate charges.
  8. Review security and support. Ask about unique logins, multifactor authentication, terminal updates, audit logs, lost-device procedures, support hours, outage notices, replacement hardware and onboarding.
  9. Read the agreement before accepting hardware. Check contract length, auto-renewal, termination costs, leases, ownership, processing commitments, rate-change clauses, app cancellations and equipment return rules.
  10. Confirm the exit plan. Verify that you can retrieve transaction, tax, customer, product and inventory records in usable formats and understand whether purchased hardware can be reused.

Questions to ask in a POS demo

  • Can you show the refund, exchange, void, split-payment and tip workflows we actually use?
  • What works offline, for how long, and what happens to a transaction that cannot reconnect?
  • Can I export all transactions, tax reports, customer records, products and inventory after cancellation?
  • Can I use another processor, and are any devices tied to your payment service?
  • Are hardware and software agreements separate? Who owns or leases each device?
  • Are purchase orders, low-stock alerts, staff permissions, booking or kitchen functions included in this quoted plan?
  • How do tips, gift cards, refunds, chargebacks and payouts appear in reports and accounting exports?
  • What support is available during business hours, and how quickly can failed hardware be replaced?
  • Which integrations are native, what data moves in each direction, and are there extra fees?

Security and PCI responsibilities

A vendor’s PCI-related hardware or payment environment does not automatically make the merchant compliant. Responsibilities depend on how the merchant’s terminals, network, staff and payment flows are configured. Ask who completes the merchant questionnaire, whether payments are tokenized, whether staff ever handle full card numbers, how terminals are updated, and what documentation the vendor provides.

The PCI Security Standards Council publishes guidance and different self-assessment questionnaires for different payment environments. The applicable questionnaire depends on the actual setup; consult the Council’s small-merchant payment-system guidance and PCI DSS v4.0 SAQ B-IP, and confirm requirements with your acquiring bank or qualified adviser.

Common POS buying mistakes

  • Choosing on the transaction rate alone. A low rate can be outweighed by subscriptions, hardware, add-ons, keyed or online fees and contract costs.
  • Buying a generic feature rather than testing a workflow. “Inventory” or “offline mode” does not tell you whether the system supports your receiving, returns, open checks or outage recovery.
  • Overbuying hardware. A mobile reader may be enough for occasional event sales, while a busy counter needs a printer, drawer or customer display.
  • Assuming cloud means always available. Confirm internet and power failure behavior separately, including the limits on payments, refunds and synchronization.
  • Skipping contract and portability checks. Proprietary hardware, payment exclusivity, app dependencies and inaccessible data can make switching costly.
  • Giving all employees broad permissions. Use individual accounts, role controls and approvals for sensitive actions such as refunds, voids and discounts.
  • Assuming the POS guarantees tax accuracy or PCI compliance. Configuration and merchant responsibilities remain important; validate settings and obligations for your business.

POS system options by use case

These are fit categories, not universal rankings. Prices, terms, hardware and features can change; vendor pages are useful for understanding each company’s offer, but confirm details in a written quote and agreement.

Square Small businesses seeking straightforward setup for mobile payments, simpler retail, service or restaurant needs, with options to expand into online selling or other tools. Fees vary by plan; custom pricing may be relevant above $250,000 in annual processing. Its offline-payment reconnection condition is vendor-specific. Review Square’s pricing page.
Shopify POS Retailers already using Shopify or prioritizing shared online and physical products, orders and inventory. Advanced in-person capabilities may require POS Pro, which the pricing page lists as an additional $89 per month per location at the pricing check around August 16, 2026. Its US plan page listed Basic starting at $39/month, Grow at $105/month and Advanced at $399/month; confirm current terms at Shopify POS pricing.
Toast Restaurants needing restaurant-oriented ordering, kitchen, payment, staff and multi-location workflows. Pricing depends on hardware and software selection and is commonly provided by personalized quote rather than one public figure. It may be excessive for a low-complexity retailer. Clover Businesses seeking dedicated hardware, packaged tools and an app marketplace. Pricing and terms may vary by bank, reseller or other supplier. Clover says devices bought or leased through its system cannot be used with other processors, so review the written agreement and Clover pricing information.
Lightspeed Retailers or hospitality operators that need more advanced inventory, reporting or multi-location controls. Get a current US quote and confirm which features and services are included; cost and implementation complexity may be hard to justify for occasional mobile checkout. Stripe Terminal Developer-led businesses building custom checkout, apps, marketplaces or specialized sales workflows. It is payment infrastructure, not a turnkey retail or restaurant back office.
