It can make equipment costs and support more predictable, but the fee is worthwhile only if the services and financing justify the total cost compared with buying and managing devices yourself.
What PC as a Service includes
PCaaS, also called Device as a Service (DaaS), combines hardware, software, servicing and financing in one arrangement. A provider may manage the device lifecycle from selection and setup through support and retirement; the exact package depends on the contract.
- Device and software selection: Choose computers and software that match employees’ roles and business requirements.
- Configuration: Prepare devices for use through imaging, asset tagging and software packaging.
- Remote management: Manage device issues, break/fix service, security and network settings remotely.
- Asset recovery and replacement: Collect retired machines and provide replacements according to the agreed terms.
- Financing: Pay a fixed recurring subscription rather than handling every hardware purchase as a separate capital expense.
These are service categories, not a guarantee that every PCaaS plan includes every task. Confirm what is covered, what is an extra charge and which party is responsible for each step.
How a PCaaS subscription works
The organization and provider agree on device types, software, management, support, refresh timing and payment terms. The provider then supplies and prepares the equipment, while the business pays the subscription and uses the agreed support and lifecycle services. At the end of the term, the contract governs whether devices are returned, replaced, renewed or otherwise handled.

For a financial comparison, consider the full cost over the contract term—not just the monthly fee. Include the devices, software and services actually covered, as well as any setup, support, return, damage or early-exit charges. Compare that total with buying equipment and paying for internal or outside lifecycle management.
Potential benefits—and the trade-offs
- More predictable costs: Bundling equipment, software and services can turn several costs into a recurring payment, although the fixed fee does not by itself prove the arrangement is cheaper.
- Simpler sourcing and upgrades: A lease-style contract can make procurement and refreshes easier, and a provider may exchange older hardware for newer devices under agreed terms.
- Less routine work for internal IT: Outsourcing device setup and support may free staff to focus on security and other higher-value priorities; the effect depends on what the provider actually takes on.
- Potentially poor fit for a small organization: PCaaS may be uneconomical when a business has few devices or can manage their lifecycle at lower cost in-house.
- Hardware risk: Physical computers can become obsolete as cloud computing develops, so a long commitment or inflexible refresh schedule may be a disadvantage.
PCaaS versus Windows 365 Cloud PC
PCaaS generally describes managed physical devices and their lifecycle. Windows 365 is a cloud-PC option: users remotely access virtual endpoints, apps and data from registered devices. It may solve a different problem from supplying and maintaining physical computers, so compare it as an alternative only if a cloud-hosted desktop suits your users, connectivity and applications.

Windows 365 Business was described as aimed at organizations with 300 or fewer users and simpler prerequisites. Enterprise was described as adding custom images, endpoint analytics, advanced troubleshooting and on-premises connectivity. These are edition distinctions in the cited description; check Microsoft’s current plan details and eligibility before making a decision.
How to decide whether PCaaS is worth it
- Assess return on investment: Compare the subscription’s total contract cost with outright device purchases plus the software, staff time, support and replacement costs you would otherwise pay.
- Specify the service you need: Document device models, software, configuration, security, support hours, escalation, replacement cadence, asset return and data handling requirements.
- Check alignment: Confirm that the arrangement supports business and IT goals rather than adding services your organization does not need.
- Plan for staff workflows: Explain any changes to setup, support requests, device replacement or access so employees know how to get help.
- Read the contract carefully: Check financing terms, minimum users or devices, geographic coverage, refresh rules, damage and return obligations, and exit costs.
Ask prospective providers to specify each comparison point in writing. A low monthly charge is not directly comparable if it excludes support, security work, refreshes or end-of-term handling that another offer includes.

What does PCaaS cost?
There is no single PCaaS price established here: the subscription depends on the hardware, software, service scope, contract and organization. For context only, IT Pro reported a historical Windows 365 pricing snapshot of £17 to £134.60 per user per month excluding VAT in 2021. That is not a current quote and is not a price range for physical-device PCaaS. Obtain current, itemized quotes for the relevant geography and plan before comparing costs.

Frequently overlooked contract questions
- Which hardware, software and configuration tasks are included, and which are charged separately?
- What are the support hours, response commitments and escalation route?
- How often can devices be refreshed, and what happens if business needs change before then?
- Who securely handles data on returned devices, and what evidence of data handling is provided?
- What are the geographic service limits, minimum commitments, return rules and early-exit costs?
