There is no universal winner. openSIS is easier to evaluate on price because it publishes staff-based plans, and it may suit a small school or institution seeking core school-management tools. PowerSchool is the more natural candidate for many complex K–12 district operations, especially where established workflows, extensive configuration, and existing PowerSchool products matter. Compare the actual modules, migration work, and five-year cost—not just feature lists or starting prices.

Both products advertise core SIS capabilities such as student records, attendance, scheduling, grades, reporting, and family or teacher access. The vendor descriptions do not establish that the features are equivalent in depth or included in every plan. openSIS presents a broader school-management platform for schools, colleges, training programs, and online education; PowerSchool SIS is positioned primarily for K–12 schools and districts.

openSIS
openSIS is a cloud-based student information and school-management system. Its published feature set spans student and staff records, parent access, attendance, scheduling, grading, communication, admissions, billing, reporting, and analytics. Its plans are organized around staff accounts, with some capabilities reserved for higher tiers or enterprise arrangements. Review the features and plan comparison against your specific workflows.
PowerSchool
PowerSchool SIS is a configurable K–12 system for student records, attendance, scheduling, gradebook, portals, communications, and reporting workflows. PowerSchool also sells products across enrollment, learning, analytics, forms, and communications. These can expand a solution, but should not be assumed to come with the base SIS: ask for each product and service to be itemized. PowerSchool became a private company after Bain Capital completed its acquisition in October 2024, according to the SEC announcement. That ownership fact alone does not establish future changes to pricing, product quality, or support.

Labels such as “reporting,” “LMS integration,” and “customization” can describe very different levels of functionality. A connector might be one-way or bidirectional; a mobile app may expose only selected tasks; and configurable fields are not the same as vendor-built development. Confirm the plan, module, limits, and service requirements for each item.
Pricing: compare the contract, not the headline
openSIS publishes staff-based plans
On the official pricing page, prices seen August 16, 2026, were Core/Startup at $4 per staff member per month with annual billing or $5 monthly; Essential at $8 annually or $10 monthly; and Advanced at $12 annually or $14 monthly. The page advertised annual billing as a 25% saving over monthly billing. The displayed Startup configuration began at five staff accounts, 50 students, and 100 parent accounts; Advanced listed a 10-staff minimum. District, state, or enterprise pricing was by sales contact, with a 200-staff-subscription minimum shown. These are time-sensitive listed prices, not a guaranteed quote; confirm current pricing, account limits, and what each tier includes on openSIS pricing.

PowerSchool pricing is quote-based
The PowerSchool SIS product page does not publish one universal retail price. Public contracts illustrate why: charges can vary with enrollment, base fees, maintenance and support, hosting, registration, forms, storage, Schoology, and contract term. These records are examples, not a price list.

Do not compare a per-staff subscription directly with a district contract priced by enrollment or bundled products. Ask both vendors for a five-year total using the same schools, student and staff counts, modules, hosting arrangement, support level, implementation scope, and contract term.
Build a five-year cost model

openSIS’s visible entry price can be attractive when enrollment is high relative to the number of staff accounts. The total advantage can narrow or disappear when a higher tier, enterprise implementation, many staff accounts, or custom work is required. Conversely, a PowerSchool quote may bundle products that would otherwise be separate purchases. The five-year model should reflect what the institution will actually use.

Administration and ease of use: make vendors perform the same tasks
The published product material does not establish which system is objectively easier to use. openSIS’s staff-based packaging and broad school-management presentation may suit an institution with a smaller administrative team. PowerSchool emphasizes configurability for district operations, which can help accommodate local policies but also requires decisions about configuration, permissions, training, and governance.
In a live demonstration, ask each vendor to complete the same tasks using your expected roles and data. Record screens and steps, required permissions, training assumptions, and any add-on or vendor assistance:

- Run a current state report and explain how an error is corrected.
- Send a parent communication and handle a withdrawn student who re-enters midyear.
- Configure a custom field without vendor help, export a complete student record, and audit a changed record.
Implementation and migration risks
openSIS advertises migration of student and staff records, grades, schedules, and history, with guided assistance. PowerSchool deployments should also have a written project scope; public procurement records show that arrangements can include maintenance, hosting, storage, or other components, so do not assume one deployment model. Ask for named project leads, milestones, responsibilities, and acceptance criteria.

Require these migration controls
- A source-to-target data dictionary covering students, guardians, staff, courses, sections, attendance, grades, transcripts, discipline, health, and special programs as applicable.
- Rules for duplicate records, historical grades, local course codes, parent/guardian relationships, transfers, withdrawals, and re-entry.
- A test migration with reconciliation reports and sign-off before production import.
- Validation of state reporting for the relevant jurisdiction and reporting year.
- A parallel-run period, legacy read-only access, documented export formats, and a cutover scheduled away from enrollment, grading, or scheduling deadlines.
- Retention, deletion, audit, and responsibility terms written into the contract.
A CSV export may omit relationships, history, or fields needed for reporting. Data cleanup, testing edge cases, staff training, and keeping the former SIS available can all take meaningful time; budget internal staff effort as well as vendor services.

Validate reporting in your jurisdiction
PowerSchool promotes compliance reporting support; openSIS lists state reporting and advanced reporting under higher-level or enterprise capabilities. Neither statement proves that a particular configuration satisfies every state or school-type requirement. Confirm the jurisdiction, current reporting year, required formats, applicable license, vendor or customer responsibility for configuration, and references from comparable institutions. Ask the vendor to demonstrate the actual submission and correction workflow.
Review privacy and security evidence
openSIS references FERPA, GDPR, COPPA, and ISO 27001:2022-related positioning on its site and features page. These vendor statements are not a blanket guarantee that a particular deployment meets every legal or institutional obligation. Review the applicable certification scope, contract, configuration, and your own controls.

New York City Public Schools says PowerSchool became aware on December 28, 2024, of a data-exfiltration incident involving student information; NYCPS also says its own system does not use PowerSchool SIS. This statement does not show that every PowerSchool customer or product was affected. Buyers should ask about incident scope, remediation, notification obligations, and evidence relevant to their deployment. See the NYCPS incident information.
For either vendor, request and assess:
- Current SOC 2 or equivalent reports, ISO certificates and their scope, and a penetration-test summary.
- Encryption in transit and at rest, MFA and SSO options, administrative controls, audit logs, and API-token management.
- Subprocessors, data residency, breach-notification timelines, backup practices, and disaster-recovery objectives.
- Data ownership, complete export rights, deletion after contract end, and access to records needed for audits.
Which is a better fit by institution type?
Small private school
Start with openSIS if public staff-based pricing, admissions, billing, and parent accounts align with your needs. PowerSchool may still be preferable where compatibility with a district, feeder network, state process, or existing PowerSchool products is essential.
Charter network or public district
PowerSchool is a natural candidate to evaluate for multi-school K–12 operations, complex scheduling, and established district workflows. Compare it with openSIS using actual state reports, role design, dashboards, data-warehouse needs, scale references, and implementation commitments rather than assuming advertised capabilities will meet district requirements.
College, training provider, or online school
openSIS explicitly presents itself for colleges, training programs, and online education, while PowerSchool SIS is primarily framed around K–12. Verify either platform against registrar, credit, transcript, degree-audit, admissions, and compliance workflows before selecting it.
Current customer considering a switch
For a PowerSchool-to-openSIS move, or an openSIS-to-PowerSchool move, model data conversion, replacement integrations, retraining, reporting revalidation, parallel operation, contract exit terms, and internal project time. A lower subscription amount does not guarantee a lower cost during the transition.
