Money Order vs. Cashier’s Check: Limits, Cost, Timing, and Safety

Money orders are inexpensive, prepaid, and widely available; cashier’s checks are bank-guaranteed and usually better for larger official payments. Compare limits, fees, timing, acceptance, and fraud procedures before choosing.

Use a money order for a relatively small payment when you want a prepaid instrument that is inexpensive and available without a bank account. Use a cashier’s check for a larger, formal payment when the recipient wants funds guaranteed by a bank or credit union. The right choice depends on the amount, fee, where you can buy it, whether the payee accepts it, and how each issuer handles replacement and fraud.

What is the difference?

Money order

You buy a money order by paying the face value plus a fee to an issuer such as the U.S. Postal Service, a bank, or a retail money-service location. An account is generally not required. Because you pay in advance, the recipient does not rely on your personal checking balance.

Cashier’s check

A bank or credit union issues a cashier’s check after taking your money into its own account. The institution, rather than your personal account, guarantees payment. The FDIC describes both instruments as safer forms of payment than a personal check, while noting that neither is immune to counterfeiting.

When a money order is the better choice

  • Your payment is $1,000 or less. A single domestic USPS money order cannot exceed $1,000, so larger totals require multiple instruments or another payment method.
  • You do not have a bank account. You can buy one with accepted funds at USPS or another participating seller.
  • You are mailing a payment. A money order avoids putting cash in an envelope and does not expose your checking-account number.
  • Cost matters. USPS charges $2.65 up to $500 and $3.75 from $500.01 through $1,000, although other sellers use different prices.

USPS money orders do not expire. Keep the purchase receipt because it provides the information needed to check status and pursue a claim if the instrument is lost or stolen. USPS also allows a money order to be cashed at a Post Office without a cashing fee.

When a cashier’s check is the better choice

  • The payee requires bank-guaranteed funds. Real-estate closings, vehicle sellers, landlords, schools, and government offices may specify a cashier’s check.
  • The amount is above the money-order limit. Your bank or credit union can tell you its maximum, identification requirements, and acceptable funding sources.
  • You need one formal instrument. A cashier’s check can represent a large payment without assembling numerous money orders.

Ask the recipient exactly how the check must be payable, whether a date or memo is required, and whether it must come from a local or specific institution. A cashier’s check can still be rejected for an incorrect payee name or amount.

Access, deposit timing, and availability of funds

Buying the instrument

Money orders are commonly available during USPS or retail money-service hours. Cashier’s checks generally require a branch visit or another channel offered by the issuing bank, and the institution may verify your identity or account. If you need the payment outside branch hours, check availability before the deadline.

Depositing it

Under CFPB guidance, government, cashier’s, and certified checks deposited in person or at the institution’s ATM generally must be available by the next business day. A bank may apply a longer hold when it suspects fraud, the account is new, or the deposit exceeds $5,525. “Available” funds are not proof that the instrument is authentic or that a later reversal is impossible.

Fraud risks and safe handling

Prepayment or a bank guarantee reduces the risk of an ordinary bounced personal check, but counterfeit money orders and cashier’s checks circulate. The most important warning sign is an unknown buyer who sends an instrument for more than the sale price and asks you to refund the difference. Do not send money, goods, gift cards, or wire transfers in response. Contact your bank or credit union and let its fraud team verify the instrument; a counterfeit deposit can be reversed after provisional funds appear.

  • Verify the issuer independently, using a phone number or website you locate yourself rather than contact details printed in a suspicious message.
  • Confirm the payee name and amount before leaving the issuing location.
  • For a money order, retain the receipt and serial information.
  • For a cashier’s check, ask the issuing institution how a recipient can authenticate it and what its replacement procedure is if it is lost.
  • Do not treat a released deposit as final until your institution confirms that the payment has cleared its fraud checks.

Large purchases and transaction records

Federal Reserve Regulation 1010.415 requires financial institutions to keep specified records for currency purchases of cashier’s checks, money orders, and similar instruments totaling $3,000 to $10,000. The records can include the purchaser, date, serial number, and amount. This is a recordkeeping requirement, not a rule that automatically prohibits a purchase above $3,000.

USPS separately requires a customer who buys $3,000 or more in money orders in one day to complete a Funds Transaction Report and show identification. Plan extra time and bring acceptable identification if your same-day total reaches that threshold.

A practical decision checklist

  1. Confirm the amount. If one USPS money order would exceed $1,000, ask whether the payee accepts multiple money orders or requires a cashier’s check.
  2. Ask the payee what it accepts. Written instructions can prevent a rejected payment at a closing, dealership, or government office.
  3. Compare the total fee. Include purchase fees, travel, expedited services, and any replacement cost.
  4. Check access and deadline. Verify branch or Post Office hours, identification rules, and whether you can obtain the instrument in time.
  5. Plan for loss or fraud. Keep receipts, photograph the completed instrument for your records, and use only the issuer’s verification and claim process.
