Microweb School Management Software: Features, Pricing, Security and Buying Guide (2026)

Microweb School Management Software is a genuine India-focused school ERP from Microweb Solutions. Its web-based platform and role-based mobile access are marketed for admissions, student records, academics, fees, payroll, transport, communication and other school operations. It may suit Indian schools seeking customization and vendor support, but the public material does not provide an itemized price list, clear plan boundaries, detailed security documentation or independently audited service commitments. Treat it as a shortlist candidate—not a purchase decision—until a live demonstration, written quote, security review and customer references answer those gaps.

What Microweb School Management Software is

Microweb Solutions presents Microweb School Management Software as a cloud-based school ERP/SIS that can be accessed through internet-connected devices. The vendor also describes support for multiple institutes under one login, role-based access and companion experiences for administrators, teachers, parents and students. Its stated market is primarily Indian schools and educational institutions that need local workflow and reporting customization rather than a narrowly focused learning-management system.

Fees, payments and financial controls

Fee collection is one of the more specifically documented areas. Microweb advertises class-level, service and miscellaneous fees, transport fees, multiple fee accounts, staff and student concessions, fee projections, online gateway integration, dashboards and automated overdue reminders. A school should test a complete payment cycle: assessment, installment or partial payment, late fee, waiver or scholarship, failed transaction, refund, receipt, reconciliation and export. Confirm who pays gateway and SMS charges, whether sibling discounts and transport changes are supported, and whether accounting data exports to the school’s system. A TechJockey listing mentions Tally integration and payment gateways, but those points require written confirmation from Microweb.

Parent, teacher and mobile access

According to Microweb’s benefits page, parents may receive announcements, circulars, alerts, profile information, leave applications, homework, fee-payment access, bus tracking and teacher communication. Teacher functions may include timetables, homework, evaluation, lesson planning, leave requests, salary slips and performance tracking. The vendor says Android and iOS applications provide role-specific dashboards.

Do not assume current app-store availability, operating-system support, offline operation, notification reliability or feature parity with the web portal. During a demonstration, test password recovery, multiple children per parent account, regional languages, low-bandwidth use and payment confirmation.

Transport GPS and biometric integration

Microweb advertises GPS transport tracking that can show bus, driver, conductor, route, speed, delays and incidents to authorized parents. Ask whether Microweb supplies the tracking device, which third-party hardware is supported, who pays SIM/data costs, how often locations refresh and what happens when coverage fails. Confirm geofenced stop alerts, historical records and driver privacy.

For staff attendance, ask which biometric brands and protocols are supported and whether biometric information is stored by Microweb or merely imported. Payroll should be tested for overtime, deductions, loans, advances, bonuses, arrears and the school’s applicable tax and labor requirements; a feature labeled “payroll” may otherwise be only a report generator.

Hosting, security and data ownership

Microweb describes its service as cloud-based, SSL-protected and backed up. An AWS page refers to Amazon EC2 and an AWS relationship, but the page does not establish a particular AWS certification, architecture, security control or contractual responsibility. Cloud hosting, SSL, AWS and a backup statement alone do not prove secure operations or recoverability.

Before signing, request written answers covering:

  • Data-center location, residency and subprocessors
  • Encryption in transit and at rest
  • Backup frequency, retention, recovery-point objective, recovery-time objective and restoration testing
  • Tenant isolation, administrator audit logs, two-factor authentication and password policy
  • Account deprovisioning, retention and deletion after cancellation
  • Incident notification, privacy terms and breach responsibilities
  • Complete export format, timing and assistance if the school leaves

Limit permissions for parents, teachers, students, finance staff and administrators, and ask to see an audit log for fee, attendance and grade changes.

Pricing: what is and is not public

The reviewed official pages promote subscription-based, affordable or budget-friendly pricing and direct buyers to book a demo, but do not publish a current itemized price table. TechJockey lists the price as available on request and indicates that customization affects the quotation. Microweb’s testimonial page includes “Try It Free For 14 Days” as a promotional call to action; confirm whether a trial currently exists, its eligibility, included modules and payment requirements before relying on it.

Require a line-item quote separating:

  1. Base subscription and term
  2. Campuses or institutes, students and user limits
  3. Included modules and mobile access
  4. Setup, migration, training and customization
  5. Integrations, including payment gateways, accounting, biometric and GPS
  6. SMS or other message charges
  7. Hardware, connectivity and taxes
  8. Support tier, response targets and renewal increases
  9. Backup, recovery, export and exit assistance
  10. Cancellation and refund terms

This prevents a low headline quote from omitting variable costs such as messages, gateway processing, GPS connectivity, data cleanup or custom reports.

Evidence of credibility

TechJockey reports a 4.6/5 rating based on eight reviews, with scores for features, value, ease of use and support: TechJockey listing. Eight reviews are a useful signal, not evidence of broad market performance. Microweb’s own testimonials show customer deployments but are selected by the vendor and are not independent testing.

Ask for two current references: one school of comparable size and one multi-campus customer. Speak with the references about implementation time, support escalation, outages, exports, report-card changes and the total recurring bill.

Who should look elsewhere?

Consider alternatives if transparent pricing is mandatory before a sales call; the school operates outside India and needs country-specific tax, privacy or payroll support; independently audited security and uptime commitments are non-negotiable; or the primary requirement is a specialist LMS, virtual classroom, content platform or advanced assessment system. Schools unwilling to depend on a vendor for exports, custom reports or configuration should also weigh that risk carefully.

Demo and procurement checklist

  1. Send Microweb a written workflow brief covering admissions, timetable, attendance, examinations, fees, payroll, transport and parent communication.
  2. Request a live demonstration using the school’s actual report card, fee rules, approval paths and sample data.
  3. Confirm which functions are configuration, which require paid development and whether customizations survive upgrades.
  4. Test import of historical student, attendance, fee and payroll data and obtain an export in a usable format.
  5. Run a parent payment, failed-payment, refund, notification and bus-tracking scenario.
  6. Review role permissions, audit logs, backup restoration evidence, incident terms and data deletion language.
  7. Obtain the line-item quote and contract, including support targets, renewal increases, taxes and exit assistance.
  8. Call two comparable current customers before approval.

Verdict

Microweb is credible enough to request a demonstration, particularly for an India-based school seeking a broad, customizable ERP. Public evidence does not justify calling it the best, universally secure or independently proven. Proceed only when the vendor confirms plan inclusions, total recurring cost, integrations, payroll and board fit, security commitments, support targets and unrestricted data export in writing.
