Before goods move, verify the e-way bill (EWB) in the official portal using its EWB number, date, generator ID and document number. Then compare the result with the underlying invoice or other document, the goods and the conveyance that will actually carry them. A generated number alone does not prove those details are correct.
How do I verify an e-way bill?
- Open the official E-Way Bill Portal and use its search or verification option.
- Enter the EWB number, EWB date, generator ID and document number. These are the details the portal’s official FAQ specifies for checking authenticity or correctness.
- Compare the returned record with the invoice, bill of supply, delivery challan or bill of entry, as applicable. Check the parties, document reference, goods and movement details.
- Check Part B against the vehicle or transport document that will be used. The conveyance recorded in the EWB should match the one actually carrying the goods.
- Confirm the EWB is generated and within validity, and that the person in charge has the accompanying document. The EWB may be carried electronically as a copy or number, according to the official FAQ.
Do not mistake a Part-A Slip for a completed EWB
A Part-A Slip temporarily stores document details. For a road movement, entering the vehicle number in Part B completes generation; for other modes, enter the relevant transport-document details. Verify the resulting EWB before dispatch.
What should I do if an e-way bill has wrong details?
The remedy depends on which part is wrong, whether movement has started, and whether the bill can still be cancelled. The portal FAQ says an EWB generally cannot be edited after generation except for Part-B updates. The GST E-Way Bill Rules and portal FAQ allow cancellation within 24 hours of generation when goods are not transported or are not transported according to the bill. An EWB already verified in transit cannot be cancelled.
| Problem | What to do before further movement |
|---|---|
| Wrong invoice, party, goods or other Part-A detail | If eligible and within 24 hours, cancel the EWB and generate a fresh one with correct information. If it has been verified in transit, it cannot be cancelled under the portal FAQ. |
| Wrong vehicle or transport details in Part B | Update Part B so it reflects the conveyance actually carrying the goods. Part-B changes are permitted within the EWB’s validity period. |
| Vehicle number rejected for format | Check the registration certificate and the format guidance currently shown in the portal. An invalid-format alert means the entry does not fit the expected format; old examples may not cover current validation. |
| Vehicle number triggers an alert or Vahan mismatch | NIC’s vehicle FAQ says an alert can indicate the vehicle is unavailable in Vahan or its record is duplicated across RTOs. The owner should contact the concerned RTO to update registration data. If Vahan shows the vehicle but the EWB portal does not, submit a grievance to the EWB helpdesk. |
| Vehicle breakdown or transshipment | Update Part B with the replacement vehicle before movement resumes. Repeated Part-B updates are permitted during validity. If the EWB is assigned to another transporter, the latest assigned transporter may update Part B. |
| Generation or update fails | Record the exact portal error text or code. The API error catalog distinguishes issues such as invalid vehicle format, lapsed validity during a vehicle update and an EWB verified in transit that cannot be cancelled. Check current portal announcements and help material because validations change. |
How long is an e-way bill valid?
The current EWB FAQ gives regular transport one day for every 200 km or part of 200 km, and Over Dimensional Cargo (ODC) one day for every 20 km or part of 20 km. Validity expires at midnight on its last day. The clock starts with the first Part-B entry and is not recalculated when Part B is updated later.

There is a source-version discrepancy worth noticing: the Rules PDF still displays the older regular-transport rate of 100 km per day, while the portal’s current FAQ uses 200 km and the portal notice says the change took effect on 1 January 2021. For current portal calculations, use the later notice and FAQ rather than treating the older table as current.
Do not move goods after the EWB expires. The FAQ describes an extension process for exceptional circumstances and transshipment, including an eight-hour timing condition; an extension is not automatic. Check the current portal workflow and rules for the specific movement.

Can I edit an e-way bill after generating it?
Not generally. Part B can be updated, but incorrect Part-A information—such as the invoice reference, parties or goods—requires cancellation and fresh generation if the EWB is eligible for cancellation. Cancellation must occur within 24 hours, and a bill verified in transit cannot be cancelled. Do not rely on a new vehicle entry to correct a different error in the bill.
What should the recipient check?
A recipient can review an EWB created against its GSTIN and reject it if the details are wrong. The portal FAQ describes non-response within 72 hours of generation or before delivery, whichever comes first, as deemed acceptance. The Rules phrase the clock as 72 hours after the details are made available on the portal. This deemed acceptance is not proof that the recipient independently checked the bill or that the dispatch details are accurate.

Does every movement need an e-way bill?
No universal answer applies to every movement. Applicability depends on current central rules, notifications, exemptions and relevant State or Union Territory provisions. Check the rules for the goods, movement type and jurisdiction instead of assuming that every consignment requires an EWB or that one threshold applies everywhere.

Dispatch-ready checklist
- Look up the EWB using all four identifiers: number, date, generator ID and document number.
- Match parties, document reference and goods to the source document.
- Confirm Part B reflects the actual vehicle or transport document.
- Check validity and ensure the accompanying document is available with the person in charge.
- Resolve mismatches before movement; use cancellation and regeneration only where permitted, and escalate registration-data problems to the RTO or EWB helpdesk as appropriate.
