Use your employer’s usual request process; you generally don’t need to volunteer a private explanation for ordinary planned leave unless your workplace policy or the applicable leave process calls for more information. Medical, caregiving, or other potentially protected leave can have different notice and documentation rules, which depend on the leave type and where you work.
What to tell your manager
Keep the message brief and operational. Include the leave type—such as PTO, annual leave, or personal leave—the date or dates, and whether you are asking for approval or notifying them of an absence. Add a handoff only if something needs coverage: identify the task, where its status is recorded, or who can handle an urgent item.
“Personal day” is everyday wording, not one universal legal category. A planned vacation day, an unexpected sick day, and time away for a serious health or caregiving need may follow different workplace and legal processes.
Planned personal or PTO day
Hi [Manager], I’d like to use [PTO/annual leave/personal leave] on [date]. I’ll make sure [urgent task or handoff] is covered before then. Please let me know if you need anything else for the request.

Submit the request through the normal channel, such as your company’s leave system or the process your manager has specified. The U.S. Department of Labor’s FMLA notice fact sheet even uses a written request for a personal day as an example of notifying a supervisor; that example does not make FMLA rules apply to ordinary PTO. Unexpected absence
Hi [Manager], I’m unable to work today and need to use [leave type]. I’ll follow the usual call-in process and update you about my expected return when I can.

For same-day absences, follow your employer’s call-in or notification procedure and provide a return estimate only if you can. If the reason may qualify for a formal protected-leave process, say enough to identify the kind of need rather than relying only on a vague “I’m sick.”
How much explanation is necessary?
For routine annual leave, the answer can depend on local law and workplace terms. New Zealand’s Office of the Privacy Commissioner says employees do not need to tell an employer why they want annual leave, particularly when the reason is personal, private, or confidential. It also notes that the leave type should be identified and that contract terms or the circumstances of the work relationship may matter. This guidance is specific to New Zealand, not a global rule. If asked why you need a routine day off, you can answer without opening up personal details:
It’s a personal matter, and I’d prefer to keep the details private. I’m requesting [leave type] for [date] and will follow the usual process.
If the request is connected to medical or family leave, a little more context may be needed to start the right process. In the United States, the Department of Labor says an employee seeking FMLA leave does not have to disclose a diagnosis, but must give enough information for the employer to recognize that the leave may qualify. For example, saying “I need leave to care for my parent after surgery” can identify the type of need without sharing a diagnosis. The appropriate details depend on the circumstances. Match your message to the leave and timing

This is a practical distinction, not a universal legal chart. An employer’s policy, employment agreement, local law, and the specific leave category determine what applies.

Notice and evidence rules can differ
For U.S. FMLA leave, the Department of Labor says foreseeable leave generally requires 30 days’ notice when possible. If the need arises with less notice, notify the employer as soon as possible; for an unexpected need, give notice as soon as practical. Employees should follow the employer’s usual call-in procedures unless they are unable to do so. These are FMLA notice rules, not deadlines for ordinary PTO requests or rules for every country. Documentation also depends on the leave and jurisdiction. In Australia, the Fair Work Ombudsman says an employer can ask for evidence for sick or carer’s leave, usually a doctor’s certificate or statutory declaration. Fair Work Ombudsman: “Sick and carer’s leave”.
If your manager asks for more detail
- Ask what is needed to process the request. For example: “Could you let me know what information you need for this leave category?”
- Check the relevant policy or leave process. Look at your employee handbook, leave portal, agreement, or HR contact rather than assuming a routine PTO rule applies to medical or caregiving leave.
- Share only the information that fits the process. For a protected leave request, distinguish the information needed to identify eligibility or administer leave from a diagnosis or unrelated personal details.
In New Zealand, the Privacy Commissioner says an employer may ask why time off is needed only when necessary in the circumstances, and that privacy principles require explaining why information is collected, how it will be used, and the consequences of not providing it. Those statements apply to New Zealand’s privacy framework; they should not be treated as the rule everywhere. For health records in the UK, the Information Commissioner’s Office has guidance on handling sickness and injury information, but notes that its guidance is under review following changes made by the Data (Use and Access) Act. When to use HR or a formal leave route
Use the relevant HR or leave process if the time away is recurring, longer-term, related to a medical condition or caregiving responsibility, or may involve an accommodation or statutory protection. A short message to your manager can start the conversation, but it may not replace formal notice, forms, or evidence required for the applicable leave.
