Integrate finance orchestration software by defining which records move, which system owns each record, how accounts and counterparties map, and how failed transfers are reconciled. Then select a connector that supports your exact ERP or accounting edition, objects, direction of sync, and transfer timing. “Connected” is not the same as correctly posted: validate accounting treatment and exception handling before enabling production writes.
Decide what the integration must do
Start with the business workflow, not the connector list. Finance orchestration may coordinate approvals, bills, invoices, payments, or cash visibility, but the ERP or accounting ledger may remain the system of record for accounting entries. Define the boundary between them before configuration.
Inventory the records and events
List each object that must be created, updated, or read, such as vendor and customer records, bills, invoices, payment status, receipts, chart-of-accounts categories, bank transactions, adjustments, journal entries, reversals, and changes to financial accounting documents. For every object, record its source of truth, the system that receives it, the event that triggers transfer, expected frequency, and evidence that the destination accepted it.
For example, a bill might be created and approved in the orchestration workflow, posted to the ledger with a mapped vendor and expense category, and later updated with its payment status. A bank feed may instead bring transactions into a reconciliation workflow without executing payments. These are different integration jobs and may require different connectors.
#1 Best Overall
Specify direction and timing
Do not infer two-way synchronization from the word “integration.” SAP Central Finance third-party interfaces describe replication of specified FI and accounting-view data from a source system to a central system. Request Finance documents bill syncing into accounting software and payment-status updates. Agicap describes two-way synchronization. Ramp documents provider-specific bank feeds as well as a separate manual file-upload route.
For each flow, say whether it is source-to-orchestration, orchestration-to-ledger, ledger-to-orchestration, or genuinely bidirectional. Also establish whether it is continuous, near real-time, scheduled, dependent on a bank feed, or file-based. A workflow that can tolerate a daily file transfer has different requirements from one that needs payment status updated promptly.
Choose an integration method that fits the workflow
Compare methods against required objects, operations, freshness, accounting controls, and recovery needs. A connector that supports the right brand of accounting software may still lack the write operation or account type the workflow requires.
| Method | Best fit | Questions and trade-offs |
|---|---|---|
| Prebuilt connector | Common workflows on a supported ERP or accounting product. | Verify the exact edition, tenant, objects, read/write operations, sync direction, and unsupported cases. Request Finance lists QuickBooks Online, Xero, and NetSuite bill synchronization as early access in its setup and sync documentation; confirm access and availability before planning around it. Agicap describes prebuilt connectors, but coverage and capabilities are vendor-described and can change. |
| Native or unified API | Product teams building an integration that needs a consistent interface across accounting providers. | Knit describes a unified accounting/ERP API for objects including invoices, payments, expenses, journal entries, and purchase orders, plus passthrough access for custom objects or fields outside its normalized schema. Confirm each provider’s actual object behavior, write support, authentication, rate limits, and unsupported endpoints; a normalized interface does not remove provider-specific validation. |
| Bank feed | Transaction visibility and reconciliation for supported institutions and account types. | Coverage depends on provider and account. Ramp says its direct feeds cover selected providers for checking and operating accounts, not investment accounts. A feed is not, by itself, a bill-posting or payment-execution integration. |
| SFTP or managed file transfer | File-based exchange where a suitable API connector is unavailable or not the chosen architecture. | Agicap describes SFTP and API as integration methods. Confirm file format, schedule, delivery acknowledgement, duplicate handling, and who investigates rejected files. |
| Manual OFX or CSV exchange | An interim or fallback process for transferring supported transaction data. | Ramp documents OFX export and manual upload for ERP reconciliation. This route requires a person to export and upload files, so define ownership and controls around the handoff. |
| ERP-specific replication interface | A supported landscape that needs ERP-directed replication, such as a Central Finance scenario. | SAP’s Central Finance third-party FI interface is limited to documented landscape patterns and source-system constraints. Confirm the actual SAP release, source system, and applicable exceptions before treating it as an option. |
For payment execution, separately verify whether the connector supports the organization’s required banks, geography, domestic or international rails, and payment formats. Agicap lists UK and international payment methods, but that vendor-described scope does not establish support for every organization’s bank or region.

Map the workflow before connecting systems
Draw the end-to-end route from the event that starts the process through orchestration, ERP or ledger, and—if relevant—bank or payment provider. Mark where approval occurs, where accounting records are created, and where payment execution takes place. Assign one system as authoritative for each record to avoid competing updates.
| Workflow detail | Decision to document |
|---|---|
| Object and operation | Which record moves, and is it read, created, updated, reversed, or marked paid? |
| Ownership | Which system owns the authoritative vendor, account, bill, invoice, payment, or journal entry? |
| Direction | Which system sends the record, and does a response or later update flow back? |
| Trigger and freshness | What event starts transfer, and how quickly must the destination reflect it? |
| Accounting treatment | Which entity, currency, account, category, date, and counterparty should be recorded? |
| Confirmation and recovery | What proves successful posting, where are failures visible, and who can retry or resolve them? |
Use this map to compare connectors on platform and release coverage; objects and operations; directionality and latency; vendor, account, currency, and payment-method mapping; error visibility; reconciliation and audit trail; permissions; customization; and, if applicable, payment rails. This prevents a broad “supports ERP” claim from obscuring a missing object or unsupported account type.
Prepare master data and accounting mappings
Resolve identities and accounting treatment before allowing the integration to write production records. An integration can transfer a bill successfully while assigning it to the wrong vendor or ledger account, so technical success alone is not sufficient.
Match vendors and customers
Compare records across systems and establish how each orchestration-side identity corresponds to the accounting-system record. Request Finance’s setup documentation says the initial connection reads the chart of accounts and vendor list, and that vendor matching requires manual review. Its guidance also says a newly added vendor may need to be created in both systems and matched.

Map categories, accounts, and payment methods
Assign each bill line item a valid accounting category. Map each payment method or wallet to the intended cash or asset account. Request Finance documents payment-method-to-asset-account mapping as a setup requirement; it also lists missing account or category, vendor, asset account, and currency among sync errors. Check that each mapping exists in the destination and has the correct accounting meaning.
Validate currencies and system-controlled accounts
Test currencies and account types explicitly instead of assuming every destination category is writable. Request Finance lists missing currency and unsupported system-controlled Xero categories among bill-sync errors. Its guide describes a product-specific crypto accounting approach that values a bill at end-of-day pricing on the issuance date and records gains or losses separately according to the configured cost-basis strategy. Do not apply those valuation details to other products without their own documentation.
Connect the right environment with the right permissions
Use an authorized administrator to connect the exact company file, ERP tenant, or environment intended for the workflow. Confirm whether the connection is pointed at production or a test environment, and approve only the access required for the planned operations. Keep ownership of credentials and permission changes explicit.
Request Finance says its setup and syncing require an Admin, Finance Manager, or Accountant role. Its documented connection reads the chart of accounts and vendor list and permits bill creation or editing. Ramp’s troubleshooting guidance identifies authorization and mapping validation as possible causes of a failed QuickBooks Online connection. If authentication succeeds but data does not move, check that the account has sufficient access and that required mappings are valid.

For SAP Central Finance, check the actual source landscape rather than assuming the third-party FI interface accepts any SAP system. SAP Help Portal documentation for Central Finance 2025 FPS01, dated February 2026, says SAP ECC and SAP S/4HANA source systems are unsupported through that third-party system interface for stated consistency, compliance, maintenance, and compatibility reasons, while documenting specific exceptions for SAP Business One and some older releases. The applicable SAP release documentation and notes determine whether an exception fits a particular landscape.
Test representative records end to end
Before go-live, test realistic cases from initiation through destination posting and reconciliation. The test should verify accounting outcomes and traceability, not merely that a record appears in the other system.
- Test creation: Send a representative bill or invoice and confirm the destination record has the intended vendor or customer, account category, currency, date, amount, and reference.
- Test updates: Change a supported field or workflow status and check whether the change travels in the documented direction without overwriting authoritative data.
- Test payment and reversal paths: Where supported, verify payment-status updates, voids or reversals, and partial or adjusted payments. Do not assume every connector exposes these operations.
- Test reconciliation: Compare the orchestration event with the ledger posting and, where relevant, the bank transaction. Confirm identifiers or references make the records traceable.
- Test failure handling: Use a controlled test case with a missing or invalid mapping in a non-production environment, if available, and confirm the failure is visible, actionable, and recoverable without creating a duplicate.
For each test, retain the source record identifier, destination record identifier, expected accounting result, actual result, and any exception. This gives finance and integration teams a shared basis for sign-off.

Make monitoring part of the operating model. Request Finance documents the states Not synced, Synced, Syncing in progress, and Sync failed. Its listed failure causes include a missing connection, account or category, vendor, asset account, or currency. Use the status and error details to route a record to the person able to fix its underlying cause rather than repeatedly retrying it.

SAP’s Central Finance replication documentation describes reconciliation reports and drill-down to original source transactions. Where a connector provides comparable traceability, agree on who reviews unmatched and failed records, how often they do so, and how the team records resolution. Preserve identifiers linking orchestration events to ERP postings so that an apparent mismatch can be investigated across systems.
Request Finance says source account and vendor lists may refresh on a 24-hour schedule. A new vendor or payment method may therefore need to be created, refreshed, and matched before a bill can sync. Set expectations for mapping changes and provide a queue or escalation path for items held up by that delay.
Assign ownership for changes and failures
Integration work continues after launch because vendors, accounts, payment methods, credentials, and provider behavior change. Assign accountable owners for:
- Connector authentication, access approvals, and credential maintenance.
- Vendor and customer identity matching and chart-of-accounts changes.
- Retries, duplicate prevention, and resolution of failed or unmatched records.
- Reconciliation review and escalation to the software or integration provider.
- Updates to custom fields, objects, API behavior, and any file-transfer format or schedule.
If a unified API or integration layer is involved, decide how provider-specific fields and unsupported operations will be handled. Knit describes normalization of data models, authentication, and API differences, with passthrough access for fields outside its unified schema. That can simplify multi-provider development, but teams still need to validate each provider’s behavior.
Confirm platform scope before committing
Vendor support varies by product, edition, release, geography, account type, and workflow. Request Finance’s QuickBooks Online, Xero, and NetSuite bill synchronization is described as early access in its setup and sync documentation, so confirm current access with the provider before relying on it. Ramp’s direct feeds cover selected providers and checking or operating accounts, not investment accounts; its manual OFX/CSV route is distinct from those direct feeds.
Agicap reports more than 400 connected banks, ERPs, and accounting platforms, and says more than 8,000 companies trust it. These are vendor-reported coverage and customer-count claims; they do not establish a connector’s fit, reliability, or payment-rail availability for a particular organization. Confirm the current supported systems, protocols, banks, geography, and execution methods for the intended deployment.
Product capabilities and availability can change. Use the vendor documentation for the exact current edition and landscape when approving a design, especially where early-access status, SAP source-system exceptions, bank coverage, or payment execution affects the decision.
